    Office Support Staff – Cleaner

    The Office Support Staff – Cleaner will be responsible for performing a variety of cleaning duties effectively and efficiently, to maintain a high level of cleanliness and hygiene to create a pleasant environment for the Organization’s staff and external visitors.

    Key Duties and Responsibilities: 

    • Empty waste bins and transporting waste material to designated collection points.
    • Sweep floors with dust control mops.
    • Mop floors with wet or damp mops.
    • Dry and damp dusting of furniture and fittings.
    • Dust, damp wipe, wash, polish furniture, windowsills, external surfaces of cabinets, shelves, and fittings.
    • Replenish consumable items (soap, toilet rolls, hand towels).
    • Clean the toilets, urinals, hand basins, sinks.
    • Undertake wall washing, window and louvers.
    • Washing skirting, trucking, and panels.
    • Report any repair work that needs to be done.
    • Any other assigned duties and responsibilities that may be assigned from time to time

    Academic and Professional Qualifications

    • Valid KCSE Certificate.

    Work Experience

    • Two (2) years working experience as a cleaner in a cleaning company/or other organizations of a similar scope.

    Office Support Staff – Messenger

    The Office Support Staff – Messenger will be responsible for the efficient and timely delivery and collection of documents, packages, and other items within and outside the organization’s premises. This role requires a reliable, organized, and responsible individual with excellent communication skills.

    Key Duties and Responsibilities: 

    • Ensure effective records management by delivering mail and messages as required across the Organization.
    • Use various means of transport to move from one destination to another to deliver messages or materials.
    • Effectively plan and follow the most efficient route to ensure timely delivery of letters/parcels/goods.
    • Unload and sort items collected along delivery routes in an efficient and secure manner.
    • Collection and delivery of mail and other documents/packages or materials to their destinations in a timely and efficient manner.
    • Ensure the office and meeting rooms are clean and all equipment is in good working condition.
    • Maintain accurate records related to the receipt and delivery of packages, documents, messages, and other items.
    • Participate in departmental initiatives and development activities.

    Senior Security Officer

    The Senior Security Officer will work in the assigned operational unit as directed by the Line Manager. They will be responsible for advising and assisting in planning, conducting, and supervising the Unit’s day-to-day security operations while performing executive duties. The officer will conduct threat assessments, provide executive chauffeuring, and provide close protection during travel, meetings, and public appearances.

    Key Duties and Responsibilities:

    • Execute daily work instructions in accordance with the work schedules in the Executive Office and liaise with the Transport Office on matters needing attention.
    • Punctuality in reporting to work on time and maintaining general cleanliness of vehicles assigned.
    • Represent Security Officers in management meetings and relay any information, directive or instructions on matters concerning security operations.
    • Monitor the performance standards, operational effectiveness, and general attentiveness of the security personnel and advise the Unit management on the suitability and assignment of the personnel in the workstations.
    • Ensure compliance with the Organization’s transport operating procedures, traffic laws and regulations.
    • Deliver vehicles for scheduled and ad-hoc repairs and maintenance at the Organization’s appointed garages and arrange collection upon completion of the job.
    • Prompt reporting of accidents and incidents to the immediate supervisor.
    • Daily vehicle inspections and prompt reporting of any malfunctions or defects that need attention to the immediate supervisor.
    • Ensure security and safety of the vehicle, passengers and/or goods therein.
    • Ability to maintain and care for vehicle work ticket(s) for vehicle(s) assigned.
    • Maintenance of good working relationships with internal and external clients.
    • Ensure assigned work assignments are complete and may be required, from time to time, to work past working hours/weekends to ensure task completion.
    • Adhere to the Organization’s policies, procedures and guidelines.
    • Perform particular tasks and missions and any other duties that may be assigned.

    Academic and Professional Qualifications

    • Disciplined force/service training.
    • A certificate/ diploma/degree in administration/security related field from a recognized institution will be an added advantage.
    • Counter terrorism training will be an added advantage.

    Work Experience

    • At least four (4) years’ post qualification experience in the disciplined service field.
    • Proven track record of providing close protection to high-profile individuals will be an added advantage.

    Senior Driver

    The Senior Driver will work in the assigned operational unit as directed by the Line Manager and is responsible for overseeing and ensuring safe transportation of staff, goods and people in the organization’s assigned vehicles.

    Key Duties and Responsibilities:

    • Ensure safe driving of Organization’s vehicles and comfort for passengers.
    • Daily cleaning and inspection of motor vehicles.
    • Comply with traffic rules and regulations.
    • Diagnosis and minor repair of motor vehicles.
    • Deliver vehicles for service/repair and confirm that the job is done properly on collection.
    • Ensure the safety of motor vehicles outside workstations.
    • Report accidents /incidents promptly.
    • Maintain good working relationships with customers and service providers.
    • Any other roles and responsibilities that may be assigned from time to time.

    Academic and Professional Qualifications

    • Kenya Certificate of Secondary Education (KCSE) D+ (Plus).
    • For Driver/Mechanic – Trade Test III.
    • Possession of a valid class J or Class A Driving license, or class B, C and E.

    Work Experience

    • At least five (5) years driving experience.
    • Experience in close protection or security driving is an added advantage.

    Senior Secretary

    The Senior Secretary will be responsible for managing the department’s office operations, coordinating stakeholders, organizing meetings, and ensuring seamless communication within and outside the office. This role requires a highly organized and professional individual with strong discretion and the ability to handle multiple tasks efficiently.

    Key Duties and Responsibilities:

    • Manage the Head of Department’s office operations, ensuring efficiency and confidentiality.
    • Schedule and manage the Head of Department’s appointments, meetings, and travel arrangements.
    • Act as the first point of contact for internal and external stakeholders visiting the Head of Department and ensure all procedures are observed.
    • Handle and screen incoming calls, correspondence, and emails and any other communication to the office of the Head of Department.
    • Manage communication flow (oral and written) to and from the Head of Department (including correspondence worked on by the Department, dispatch of letters, etc.).
    • Assist in preparing and organizing materials for meetings, presentations, official correspondence, and conferences, including agendas, briefs, reports, speeches and presentations.
    • Provide editorial and proofreading services on documents for Head of Department’s review and sign off.
    • Organize and coordinate meetings, conferences, and engagements, ensuring that these activities are seamlessly executed and professionally handled.
    • Work closely with staff supporting the Head of Department and coordinate with other offices in the Organization, when called upon.
    • Develop and maintain an up-to-date filing system for correspondence (hard and soft copies) relating to the functions and/or roles handled by the Senior Secretary on behalf of the Head of Department.
    • Ensure Head of Department’s Office is sufficiently equipped and always supplied.
    • Ensure safe custody of documents and information for confidentiality and ease of retrieval.
    • Handle confidential documents ensuring they remain secure.
    • Other duties assigned by the Head of Department.

    Academic and Professional Qualifications

    • A Diploma in Office Management and other relevant courses from a recognized institution.
    • A degree in any business-related field will be an added advantage.
    • Professional Certification in Administration or Corporate Governance being an added advantage.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    Work Experience

    At least five (5) years of experience in an executive secretarial or administrative support role, with at least three (3) years in a similar position supporting C-suite executives in a corporate or financial institution.

    Senior Executive Assistant

    \The Senior Executive Assistant will be responsible for managing the day-to-day operations of the Executive office, providing high-level administrative support, preparing executive business reports and presentations, and coordinating key activities with efficiency and confidentiality.

    Key Duties and Responsibilities

    • Oversee the day-to-day operations of the Managing Director’s office and provide general administrative support to the Executive office.

    • Document preparation – Prepare and organize materials for meetings, presentations, official correspondence, conferences, and publications, including agendas, briefs, reports, speeches and presentations.
    • Monitoring and Tracking activities – Coordinate and track progress with relevant departments implementing assignments and activities emanating from engagements with the Executive Office and Organization’s Departments.
    • Filing and safe custody – Ensuring safe custody of documents and information for both confidentiality and ease of retrieval.
    • Supervisory support – Supervise and manage administrative and support staff in the Managing Director’s office.
    • Special Projects Management – Assist in planning and executing high-priority initiatives and special projects as assigned by the Managing Director/Executive Officer.
    • Adhere to the Organization’s policies, procedures, and regulations, including confidentiality required in the Executive Office.
    • Any other roles and responsibilities as may be assigned by the supervisor.

    Academic and Professional Qualifications

    • Degree in Business Administration, Social Science, or a related field.
    • Professional Certification in Administration, or Corporate Governance or other relevant field or domain is an added advantage.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

    Work Experience

    The candidate must have a minimum of seven (7) years of experience in executive support roles, with at least three (3) years in a similar position supporting C-suite executives in a financial institution or corporate environment.
