    Programme Management Assistant

    Responsibilities

    • Provides assistance in support of planning and implementation activities/processes for, typically, a large and highly complex component of the departmental programme/project initiatives.    
    • Researches, compiles, analyses, summarizes, and presents basic information/data on specific programmes/project and related topics.  
    • Assists in the coordination of programme/project planning and preparation; monitors the status of programme/project proposals; follows up to ensure project documents are completed and submitted to relevant parties for approval.  
    • Assists in the preparation and analysis of programme/project budget proposals; provides assistance in the interpretation of budget guidelines; reviews and coordinates submissions of programme proposals and budget estimates.    
    • Assists in the monitoring and evaluation of programmes/projects; categorizes, updates, tracks, and analyses data related to programmes/projects; carries out periodic status reviews, identifies issues and initiates requisite follow-up actions; follows up on the preparation of  revised budget estimates  and clearances of budget revisions, expenditures, and obligations; initiates verification of the availability of funds; ensures necessary approval and entry in the computerized budget system; and initiates financial authorizations for expenditures by finance colleagues.  
    • Collaborates with programme/project managers on performance reporting; provides assistance on reporting requirements, guidelines, rules, and procedures; and ensures the completeness and accuracy of the data submitted.  
    • Drafts programme/project summaries, coordinates review and clearance processes.  
    • Serves as focal point for coordination, monitoring and expedition of programme/project   implementation activities, involving extensive liaison with diverse organisational units to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions and issues related to project implementation, e.g. recruitment and appointment of personnel, travel arrangements, organisation of and participation in workshops, authorization of payments, disbursement of funds, procurement of equipment and services.  
    • Prepares, maintains, and updates files (electronic and paper) and internal databases; designs and generates a variety of periodic and ad hoc reports, statistical tables, graphic content, and other background materials and notes.    
    • Drafts correspondence and communications related to all aspects of programme/project administration, as well as compiles unit contributions for a variety of periodic reports.  
    • Provides general administration support to the team.    
    • Assists with the collection and analysis of data as well as the preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning, and decision-making.  
    • Assists with visualizations and updating information material such as web pages or brochures.    
    • Performs other duties as assigned.

    Education

    • High school diploma or equivalent is required.

    Job - Specific Qualification

    • Additional technical training in Programme, Administration, Accounting, Finance or other relevant field is desirable.    

    Work Experience

    • A minimum of seven (7) years of experience in programme or project administration, technical support, or other related fields is required. 
    • The minimum number of years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher.    
    • Experience in the monitoring and evaluation of programmes/projects is desirable.    
    • Experience with Global funds such as the Global Environment Facility (GEF) is desirable.    
    • Experience working with an enterprise resource planning (ERP) system is desirable.    
    • Experience working with an international organization is desirable.   
    • One (1) or more years of experience in data analytics or a related area is desirable.

    Knowledge Management and Communications Consultant

    TERMS OF REFERENCE

    • Supporting dissemination of information, knowledge, and results, including through development of a Congo Basin Impact Programme newsletter.
    • Overseeing the development and management of Congo Basin IP and Congo Basin Peatlands project websites.
    • Populating and managing the online communication content for both the GEF Congo Basin IP and the Congo Basin peatlands project.
    • Developing a comprehensive national and regional media list and undertaking targeted outreach to promote discussion on key issues and profile the projects and their achievements.
    • Providing training, and technical support to and building networks and partnerships with journalists to strengthen communication and visibility around the Congo Basin Forests, the Congo Basin Peatlands, and the contributions of the projects to their effective conservation and management.

    Qualifications/special skills

    • Degree in communication, development studies, international relations, social sciences, or closed related disciplines and at least 7 years’ experience in subjects related to knowledge management (ideally with substantive knowledge in natural resources management, biodiversity conservation and international environmental policy community-based natural resource management) is required.
    • At least 7 years of demonstrated experience in knowledge and communication management work for environmental programmes, particularly complex multi-country programmes
    • Demonstrated knowledge and mastery of facilitation and learning methods and tools.
    • Ability to translate complex data sources and information into easily usable tools and resources to support policy and action at multiple levels, and to meet the information and knowledge needs of multiple audiences.
    • Demonstrated knowledge and skills in designing and leading impactful communications campaigns to drive transformational change in policy, action and at behavioural level using multiple tools and approaches.
    • Excellent interpersonal skills and a demonstrated ability to work within complex multistakeholder contexts at all levels, including facilitating meetings and making public presentations.
    • Demonstrated ability in translating data and information into stories and briefings for various audiences.
    • Strong ICT skills, including experience in the use of common website management and graphic design platforms.
    • Experience in website and social media management.
    • Proficiency in web-site design and management and developing social network groups.
    • Previous experience with UN or international projects will be an advantage.

    Programme Management Officer

    Responsibilities

    • Develops, implements, and evaluates assigned programmes/projects; monitors and analyzes program and project development and implementation; reviews relevant documents and reports; identifies problems and issues to be addressed and initiates corrective actions; liaises with relevant parties; ensures follow-up actions.  
    • Select, recruit and supervise project consultants.  
    • Researches, analyzes and presents information gathered from diverse sources.

    Education

    • A first-level university degree in combination with qualifying experience may be accepted in lieu of the advanced university degree.  Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is a desirable.

    Work Experience

    • A minimum of seven (7) years of progressively responsible experience in project or programme management in biodiversity management and ecosystem related programmes including at least three (3) years working at the international level and in developing countries, is required.    
    • Experience in coordinating diverse stakeholders and partners for impact is required.    
    • Supervisory experience in managing a multi-cultural team is highly is desirable.    
    • A minimum of two (2) years or more of experience in data analytics or a related area is desirable.

    Public Information - Digital Strategy

    Under the direct supervision of the Chief, Digital Strategy, the intern will:

    • Research, compile, draft and edit basic information for use in the preparation and production of social media and web content, often under tight deadlines.
    • Monitor analyze statistics related to digital content.
    • Gather social media and web content at special events (film screenings, concerts, exhibits, etc.).
    • Assist in the creation of original content for digital platforms.
    • Attend meetings as an observer.
    • Manage meeting agendas and draft meeting notes.
    • Create presentations and training curricula.
    • Carry out research tasks and provide inputs into digital strategy planning and activities.
    • Assists with special projects as assigned.

    Qualifications/special skills

    • Applicants must meet one of the following requirements: Be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher); Be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent).
    • Preferred areas of studies: Communications, Information Science, Computer Science, Information Systems, Media Studies, Journalism, or related field.
