    Administrative Assistant, Department of Medicine

    Job Summary

    The position holder is required to provide efficient administrative support services to Section Heads in the Department of Medicine (DOM).

    Responsibilities

    1. Assisting faculty in typing and printing medical reports.
    2. Support faculty by facilitating reports and liaise with care managers
    3. Assisting with insurance pre-authorization forms.
    4. Support DQIPS, monthly meetings
    5. Working closely with section Nurse manager to help with collection and analysing quality improvement data.
    6. ID and Cardiology Fellowship Support

    Clinical Practice Educator, Intensive Care Unit

    Responsibilities:

    1. Leads the team in development, implementation and monitoring of unit based clinical policies and procedures
    2. Guides nurses in the assessment of patient care needs and the planning, implementation, and evaluation of nursing interventions
    3. Identifies learning needs of the nurses and assumes responsibility for development and implementation of unit‑based in-service programs for all nursing staff
    4. Makes daily rounds of all patients in the unit while reviewing patient allocation to determine correct patient assignment to the nurses

    4. Certification in BLS, ACLS, ATLS will be an added advantage

    Project Coordinator, Department of Pathology

    Job Summary

    This position will assist in the implementation of an antimicrobial stewardship (AMS) training program for primary care providers in Aga Khan’s outpatient centres and in Penda Health clinics as part of a Pfizer-sponsored grant. The coordinator will work in collaboration with a team of AMS experts at Aga Khan and at the University of Washington to ensure that all elements of the project progress according to a planned timeline and that quality data are obtained.

    Responsibilities

    1. Identifying 30 outpatient centers for project implementation and establishing collaborative relationships with leadership at each (15 Aga Khan and 15 Penda Health).
    2. Overseeing data collection activities in all 30 sites.
    3. Working with leadership at each site to identify individuals to complete project activities, including participation in data collection.
    4. Reviewing clinical records and capturing data from clinical records.
    5. Overseeing AMS training activities, including a pilot of an AMS training e-Learning program.
    6. Leading weekly team meetings and managing action items and forward progress toward program goals
    7. Regular review of data and ensuring quality data collection.
    8. Dissemination of program results, including presentations at conferences and contributing to writing reports for publication
    9. Manage required expenditures within budgetary requirements
    10. Maintain compliance with financial, ethical and other requirements
    11. Write reports for institutional, funder and other appropriate people or institutions
    12. Organize the activities of the project to keep it on schedule according to the timeline

    Requirements

    1. Bachelor’s degree preferred
    2. 2-3 years experience in program management or project coordination
    3. Experience working on multidisciplinary teams
    4. Familiarity with research and data collection
    5. Ability to work independently and as part of a project team
    6. Excellent written and verbal communication skills in English

    Co-ordinator CoEWCH , Obstetrics and Gynaecology

    Job Summary

    The role exists to provide public health expertise and general support to the CoEWCH and its work, to ensure smooth planning and coordination of CoEWCH activities including project management and implementation, budgets, defining work plans with deliverable goals and other related project work in conjunction with team members and partners. Proper coordination of the work-streams will contribute to furthering knowledge for those who the CoEWCH serves. The position holder will report to the Director of the CoEWCH and the position is based in the Aga Khan University, Nairobi but will involve travel to study sites counties in Kenya mainly in the coast region.

    Responsibilities

    1. Management, administration support and other identified work as agreed with the Director
    2. Support to some ongoing projects within CoEWCH:
    3. A Perinatal Mental health intervention development (INSPIRE study)
    4. Providing technical assistance to the coastal counties in Kenya on Adolescent SRHR strategy and implementation development together with the WHO
    5. Assisting the development of an adolescent pregnancy strategy for a county
    6. Supporting work with vulnerable adolescents and young people as part of a social football programme

    Requirements

    1. Must possess a Master’s degree in Public Health, Reproductive Health or related subject such as Social Sciences, Project Planning and Management, Community Health or Health Systems Management
    2. At least 2 years’ experience as a coordinator or similar role with research experience preferably in mixed methods in Reproductive, Maternal, Child and Adolescent Health.

    Data Coodinator, Department of Haematology and Oncology

    Job Summary

    The position holder will be responsible for Initiating and maintaining accurate and current data on participants enrolled in clinical trials. The incumbent will report to the Manager, Research.

    Responsibilities

    1. Collect clinical trial subject data and ensure all current source documents are available
    2. Complete Electronic Data Systems (EDCs) or Case Report Forms (CRFs) for appropriate data documentation within the timelines specified in Standard Operating Procedures (SOPs), or as agreed upon.
    3. Capture all record deficiencies in all patient and participants file documentation for internal and external review
    4. Provide records to Sponsors/representatives, internal reviewers, Regulatory Authorities, and/or Ethics reviewers, as required, and ensure data is accurate and complete for interim monitoring visits and data related deadlines
    5. Interact with clinical trial monitors to provide accurate CRFs and complete corrections as appropriate
    6. Harmonize files from audit/monitoring results and correct errors with relevant personnel
    7. Review participant charts to collect required data for reporting purposes and to ensure compliance with study protocol
    8. Maintain and quality check clinical trial study/data statuses and participant information in the clinical research database, accurately and timely
    9. Generate data queries to clinical nurses/coordinators for clarification of data and ensure resolution
    10. Collect, compile, review, and/or analyze cancer patient data using NCI-KE (or equivalent) tools, as needed
    11. Support colleague’s in the daily use of data systems and ensure adherence to legal and research standards
    12. Ensure digital data base and archives are protected from security breaches and data loses
    13. Collaborate with research and standard of care staff in review of randomly selected files for quality assurance purposes
    14. Create, ensure, and update processes for data management at CRU, Cancer Center, and/or Department of Haematology/Oncolog

     Requirements

    1. Diploma in Health Records and Information Technology or any related field from a recognized Institution
    2. At least 3 years work experience in a health facility
    3. In depth knowledge of medical abbreviations, medical terminologies, human anatomy and physiology. Preferred: knowledge in oncology terminology and medical records experience
    4. Proficient in MS Office applications
    5. Proficient planning, typing and organizational skills
    6. Effective analytical, technical, and problem solving skills
    7. Strong multi-tasking skills
    8. Ability to work with mathematical concepts such as probability, statistics and statistical concepts.
