    Platform Manager - Peace Building & Conflict Transformation

    • (REF: ACT-PMPBCT/1/2025)

    Key Responsibilities

    • Program Management
    • Be part of Act! Senior Program Management & Leadership Team.
    • Provide strategic visioning, guidance and technical leadership to the PBCT platform.
    • Work with the head of programs and other senior managers in designing effective PBCT programming strategies.
    • Lead new business development (resources mobilization) efforts and the identification of new potential partners and initiatives under the PBCT platform.
    • Collaborate with the other platform managers and the broader program team members to ensure that all current and future programs are delivered according to the approved plans and that adequate consultations happen with all key stakeholders (internal and external).
    • Ensures that staff and partners within the existing PBCT programs engage effectively with target communities, CSOs partners and the government (National and Sub National).
    • Ensures that the platform undertakes regular political, economic and conflict analyses to inform choices and design of interventions (evidence-based programming).
    • Financial Management
    • Responsible for the overall PBCT Platform budget within Act!.
    • Provide oversight in budget preparation and tracking for all programs within the platform.
    • Provide oversight for all expenditures related to grants and administration within the platform.
    • Provide up-to-date advice to the CEO on the financial health of the platform.
    • Provide oversight to the budgeting process for all proposals submitted within the platform.
    • Work closely with the Grants departmental Lead, in providing up-to-date reports on partner’s performance.
    •  Monitoring Evaluation Reporting & Learning
    • Collaborate with the MERL team to design and operationalize integrated platform-level MERL plans which are linked to the overall Act! organizational MERL framework.
    • Develop content for relevant internal publications and liaise with Act! communication team for production (case studies, end-term reports, biennial impact reports, and features, etc.) for the Platform.
    • Provide technical support to research experts, consultants and internal teams by coordinating their work ensuring coordination, process thoroughness and high-quality final outputs.
    • Participate in setting baseline and target indicators in line with the overall strategic goals of the individual programs/projects.
    • Lead the timely preparation of all periodic technical reports and financials, coordinating downstream partners’ reporting while linking with donor partners’ contact persons on high-quality deliverables.
    • Lead the archiving and efficient storage of all communications and documentation related to the platform in the central repository for knowledge management.
    • Capacity Development
    • Provide technical inputs to the design of responsive Capacity Development plans for PBCT Program partners and collaborators in close consultation with the Act! CD team.
    • Provide leadership in training and delivery of PBCT training for Act! Partners/subgrantees.
    • Provide leadership in mentoring and coaching for partners through accompaniment and quarterly site visits.
    • Ensure all capacity development needs for the partners are addressed in a timely manner.
    • Prepare of CD and training materials and content modules that respond to the training needs identified and feedback from the Organizational Capacity Assessments (OCAs).
    • Program Staff Supervision
    • Provide leadership for the Performance Management of all staff within the PBCT Platform.
    • Provide mentorship and technical support to Program Managers and Senior Officers, and ensure that officers supervising others do the same.
    • Ensure that all staff within the platform are adequately supported to develop objectives and work plans in line with their agreed objectives.
    • Ensure that all staff within the platform are adequately appraised by filing timely reports with the HR department.
    • Provide advice and technical support to the Program Team within the platform.
    • Provide targeted mentorship and technical support to all staff under their supervision. Ensuring that all staff under their supervision are performing to their best.
    • Networking and Representation
    • Maintain good external linkages with all actors including national and county government, and the community.
    • Establish and maintain regular contact with beneficiary groups and partner organizations, and to liaise and coordinate with the appropriate government and non-governmental bodies whenever appropriate to ensure successful project progress.
    • Negotiate collaboration with partner institutions and government departments in support of Act!.
    • Represent the PBCT platform and Act! when called upon at relevant meetings, forums and processes to stay up to date with unfolding events or issues and ensure that Act! is best placed to advise donors and other stakeholders.
    • Resource Mobilization
    • Responsible for the sustainability and steady growth of the programs under this platform.
    • Leads active and ongoing research on the funding landscape to identify opportunities for new partnerships and collaboration.
    • Ensures all partnerships and collaborations with key actors and stakeholders are guided by the Act!
    • Partnerships development strategies and are sustained.
    •  Strategic Planning
    • The PBCT Platform Manager is part of the core team managing and ensuring delivery of the relevant
    • Strategic Plan objectives assigned to this platform within the broader framework of the organization.
    • Participate in program planning, review, coordination and lessons learning meetings.
    • Contribute to the formulation and review of the platform strategy and business planning.
    • Provide management support to the Head (Director) of Programmes and the Chief Executive Officer of Act!.

    Key Performance Indicators

    • The following performance indicators are pertinent to the evaluation of the job holder’s performance (targets will be set on an annual basis):
    • Compliance of program to donor, Act!’s and Government of Kenya requirements, standards and policies.
    • Programs compliance with approved budgets.
    • Timeliness in program implementation.
    • Complement of qualified program staff in accordance with program structure and donor requirements.
    • Timeliness, accuracy and completeness of quarterly and annual program reports.
    • Completeness and accuracy of records for MERL.
    • Level of staff engagement in the platform.
    • Timeliness in provision of resources to programs.
    • Number of new initiatives in program management or new programs.

    Qualifications, Experience and Essential Skills:

    Academic Qualifications

    • Masters’ degree in Peace & Conflict Studies or Social Studies or other related fields.

    Professional Qualifications

    • Post-graduate qualification in Project Management or any specialized subject in the area of PBCT.

    Relevant Field & Managerial Experience

    • Minimum 10 years’ demonstrable experience (post-graduation) experience in PBCT-related programs management - including budget oversight, grants management, programs design, project proposal development, reporting and relationship management. One must demonstrate that they have spent the last five years leading multiple programmes and teams at any one given time.

    Platform Manager – Democracy Governance & Human Rights

    • (REF: ACT-PMDGHR/2/2025)

    Key responsibilities:

    Specifically, the Platform Manager will be responsible for but not limited to:

    • Program Management
    • Be part of Act! Program Technical & Management Team
    • Support the CEO in providing strategic visioning, guidance and leadership to the DGHR portfolio.
    • Work closely with the Resource Mobilization teams in the identifying potential funders and initiatives to be undertaken by Act! specifically, the DGHR Platform Manager will be responsible for identifying and provide leadership in responding to funding opportunities to support DGHR work.
    • Develop DGHR detailed program work plans, including activity descriptions and manage the implementation of these activities so as to ensure the program’s activities and outputs are executed on time and to adequate quality standards.
    • Ensure that current programs are delivered according to plan and that adequate consultation happens with key stakeholders.
    • Ensure that staff and partners within existing programs in the platform engage effectively with communities, CSOs and Government partners.
    • Ensure that the DGHR portfolio undertakes regular analysis to inform its program interventions.
    • Conduct follow-ups through site visits and mentor partners in areas of program/project design and implementation, reporting, strategic planning, advocacy, communication, building coalitions and networks.

    Executive Assistant

    • (REF: ACT-EA/3/2025)

    Main Responsibilities

    • The Executive assistant will perform the following services and deliver:
    • Stakeholder Engagement Strategy and Contact Matrix (Due Month 1)
    • Conduct stakeholder mapping and engagement across African governments, multilateral bodies, philanthropic actors, and technical agencies.
    • Draft compelling communications materials (e.g., talking points, presentations, reports) for use in high-level engagements and partner outreach.
    • Staff the CEO in high level engagements during Programme, Fundraising, networking and Sector leaders Engagements.
    • Concept Notes and Policy Briefs for targeted convenings. Partnership, fundraising and stakeholder (Due Monthly)
    • Develop concept notes, briefing documents, and policy narratives to position Kenyan CSOs leadership in PBCT, DGHR and SNRM system strengthening through innovative programming and financing.
    • Conduct fiscal and macroeconomic analysis to inform the design of innovative funding mechanisms and assess the enabling environment for programme funding. This includes analyzing development financing sustainability, public investment trends, private sector partnerships and collaboration, and macroeconomic risks relevant to project preparation and fundraising strategies.
    • Briefing and engagement materials tailored for key policymakers and sector leaders to ensure alignment and clarity during fundraising and partnerships-related events (as needed).
    • Identify and support participation in key regional, national and global convenings, including (but not limited to) the KDCWG, DSWG, Devolution Conference, PBCT Convenings, Climate and Environment Convenings, Democracy and Human Rights Convenings, African Union CSOs Summits, and the African Development Bank Annual CSOs Convenings, etc.
    • Analytical Report summarizing global and local examples of innovative financing in ENRM, DGHR & PBCT.
    • Research and document case studies from within Africa on funding-for-development, swaps, pooled funding models, and climate financing synergies.
    • Operational Framework for Act Change Transform - aligned development project preparation platforms and Synthesis Report.
    • Engage with partners to co-design and operationalize project preparation facilities and technical assistance platforms that support the structuring and fundraising for bankable, investment-ready development projects.
    • Draft Synthesis report with summary of key engagement outcomes, opportunities, and strategic recommendations for implementation by the Act! leadership team.
    • Administrative Function
    • Provide day-to-day support to the CEO by managing executive communications, stakeholder correspondence and internal coordination.
    • Oversee special projects and initiatives assigned to the CEO.
    • Maintain oversight of critical deadlines ensuring accountability across executive level tasks.
    • Develop systems for tracking executive level commitments and deliverables.
    • Collate action points from all executive engagements and liaise with members of the executive management for execution.
    • Support preparation of high-level presentations, reports, board briefs and leadership meeting materials.
    • In liaison with the Platform Managers, Human Resource & Finance, maintain an accurate calendar of CEO engagements, proactively managing schedules and related logistics.
    • Support planning and execution of internal events, executive offsites and leadership engagements.
    • Conduct research and compile background briefs and intelligence ahead of strategic meetings with various external stakeholders in collaboration with the Senior Management Team.
    • Maintain discretion and confidentiality in all matters relating to the CEO’s Office.
    • Offer advisory support to the CEO as and when required.

    Qualification, Experience and Skills:

    Academic Qualifications

    • Bachelor’s degree in Business, Communication, or a related field.

    Experience

    • At least 5 years of experience in a fast-paced, dynamic and deadline-driven environment, demonstrating the ability to thrive under pressure and adapt quickly to changing priorities.

    Essential Skills

    • Strong written and verbal communication skills, including the ability to prepare professional reports and presentations.
    • Excellent organizational, multitasking, and attention-to-detail skills.
    • Demonstrated discretion in handling sensitive and confidential information.
