    Proposal Response Creator

    • The Proposal Response Creator at Teleperformance EMEA will serve as a critical bridge between sales opportunities and winning proposals, responsible for developing compelling, compliant, and highly competitive responses to RFPs, RFIs, and other formal procurement documents.
    • This role combines strategic writing expertise with AI-powered content development and rigorous quality assurance to accelerate proposal turnaround while ensuring accuracy, consistency, and differentiation in every client submission.
    • Based in Kenya and supporting the EMEA region, this role reports to the EVP – Sales enablement and collaborates closely with, Sales teams, Bid manager, Subject Matter Experts, Legal, Transformation Solution Consultants , the Content Manager (and more…) to craft responses that clearly articulate Teleperformance's value proposition, solution capabilities, and competitive advantages.
    • The Proposal Response Creator leverages advanced AI tools for content generation, response mining, and quality optimization while implementing comprehensive quality assurance processes to verify technical accuracy, compliance adherence, and messaging alignment.
    • This role requires someone who can balance speed with quality, understands complex solution architectures, can translate technical capabilities into client benefits, and has the discipline to maintain high standards even under tight deadlines. The Proposal Response Creator serves as the quality gatekeeper for all formal client submissions, ensuring that every proposal reflects Teleperformance's commitment to excellence and positions the organization to win.

    Job Details 

    RFP/RFI Response Management

    • Serve as primary author and content coordinator for RFP and RFI responses across all key functions and stakeholder relevant to the proposal
    • Conduct thorough analysis of RFP requirements, evaluation criteria, and client priorities to develop tailored response strategies that maximize win probability
    • Develop response outlines and content plans that clearly address all requirements, highlight differentiators, and tell a compelling narrative throughout the document
    • Review and rewrite as needed executive summaries, solution overviews, approach methodologies, transition plans, and other narrative sections that articulate Teleperformance's value proposition
    • Coordinate input from Subject Matter Experts (SMEs) across technical, operational, commercial, and legal domains, integrating their contributions into cohesive responses
    • Adapt and customize content from previous proposals, content libraries, and playbooks to address specific client requirements and contexts

    AI-Powered Proposal Development

    • Leverage generative AI tools (ChatGPT, Claude, Copilot, etc.) to accelerate first-draft creation of proposal responses, technical narratives, and solution descriptions
    • Develop and refine AI prompt libraries and templates that produce high-quality, on-brand proposal content aligned with Teleperformance messaging and positioning
    • Utilize AI-powered response mining tools to intelligently search previous proposals, content libraries, and knowledge bases to identify relevant content for reuse and adaptation
    • Implement AI content optimization techniques including readability analysis, sentiment checking, keyword optimization, and compliance scanning to enhance proposal quality
    • Establish AI content review protocols that ensure all AI-generated content undergoes human verification for accuracy, appropriateness, and alignment with requirements
    • Continuously experiment with emerging AI proposal tools and technologies, evaluating their effectiveness and potential for integration into proposal workflows
    • Monitor AI-generated content quality metrics and iteratively improve prompts, templates, and workflows based on performance data and feedback

    Quality Assurance & Accuracy Verification

    • Implement comprehensive multi-layer quality assurance processes including compliance checks, technical reviews, accuracy validation, and editorial reviews
    • Verify technical accuracy of all solution descriptions, capability claims, and technical specifications by cross-referencing with SMEs, product documentation, and solution architects
    • Conduct detailed compliance reviews to ensure all RFP requirements are addressed, all mandatory questions are answered, and all submission instructions are followed
    • Validate all data points, statistics, case study details, and factual claims included in proposals to prevent inaccuracies or unsubstantiated statements
    • Review and verify that AI-generated content is accurate, appropriate, free from hallucinations, and properly reflects Teleperformance capabilities and limitations
    • Coordinate with Legal and Compliance teams to ensure proposal content adheres to regulatory requirements, contractual commitments, and risk management standards
    • Perform final editorial reviews for grammar, punctuation, formatting consistency, brand compliance, and overall readability before submission
    • Maintain quality checklists, review templates, and QA documentation that standardize quality assurance processes across all proposals
    • Track quality metrics including error rates, compliance gaps, and revision cycles, using data to continuously improve proposal quality standards

    Content Library & Knowledge Management

    • Build and maintain a comprehensive proposal content library including pre-approved responses, solution descriptions, case studies, technical specifications, and boilerplate content
    • Organize content library with robust tagging, categorization, and search functionality to enable rapid content discovery and reuse
    • Extract and capture high-quality content from winning proposals and add to the reusable content library for future opportunities
    • Develop content templates for common proposal sections (executive summaries, company overviews, solution descriptions, implementation approaches) that ensure consistency and accelerate development
    • Conduct regular content audits to identify outdated information, retire obsolete content, and flag items requiring updates based on product changes or market shifts
    • Partner with the Playbook Content Manager to ensure alignment between proposal content library and sales enablement materials
    • Document best practices, lessons learned, and win themes from successful proposals to inform future response strategies
    • Create and maintain a question library mapping common RFP questions to approved responses, enabling faster response development

    Collaboration & Stakeholder Management

    • Coordinate contributions from SMEs across the organization, providing clear assignments, deadlines, and content specifications
    • Work with Solution Architects and technical teams to translate complex technical solutions into clear, compelling proposal language that resonates with business decision-makers
    • Collaborate with Pricing and Commercial teams to ensure pricing narratives and commercial terms are clearly presented and properly positioned
    • Engage with Customer Success and Operations teams to gather relevant case studies, performance metrics, and proof points for proposal inclusion
    • Conduct proposal review sessions with key stakeholders to gather feedback, validate content, and build consensus before submission

    Proposal Production & Document Management

    • Manage end-to-end proposal production including document formatting, graphics integration, branding application, and final assembly
    • Ensure all proposals adhere to Teleperformance brand guidelines including fonts, colors, templates, and visual identity standards
    • Coordinate with the Solution Demo & Storyline Creator to integrate demonstration materials, videos, and visual content into proposals
    • Create executive summary decks, presentation materials, and pitch documents that complement written proposals
    • Manage version control and document repositories to ensure all stakeholders are working from current drafts and final versions are properly archived
    • Maintain proposal tracking systems that capture key metadata including opportunity details, submission dates, win/loss outcomes, and lessons learned

    Continuous Improvement & Process Optimization

    • Conduct win/loss analysis on proposals to identify what content, messaging, and approaches drove successful outcomes
    • Track proposal development metrics including response times, review cycles, content reuse rates, and quality scores to identify improvement opportunities
    • Gather feedback from sales teams, solution consultants, and internal reviewers on proposal effectiveness and areas for enhancement
    • Develop and refine proposal development processes, templates, and guidelines to improve efficiency, quality, and consistency
    • Evaluate and recommend proposal automation tools, AI solutions, and collaboration platforms that could enhance proposal writing capabilities

    Requirements 

    • Minimum of 2-3 years of experience in proposal writing, RFP response management, technical writing, or bid management roles within technology, SaaS, BPO, or professional services industries
    • Bachelor's degree in English, Communications, Marketing, Business, Technical Writing, or related field required
    • Master's degree is a plus
    • Certifications in technical writing, content management, or project management are a plus
    • Proven track record managing and winning complex RFP responses, particularly for enterprise technology solutions or business process services
    • Demonstrated experience integrating AI tools into content development workflows with measurable quality and efficiency improvements
    • Strong familiarity with CX, contact center, BPO, or enterprise technology solutions is highly valuable
    • Exceptional business and technical writing skills with ability to craft clear, compelling, and persuasive proposal narratives
    • Skill in adapting writing style and tone to match different audience levels (C-suite executives, procurement teams, technical evaluators)
    • Experience with AI-powered proposal software and response management platforms (e.g., Loopio, RFPIO, Qvidian, or similar)
    • Proficiency with Microsoft Office Suite (Word, PowerPoint, Excel), Adobe Acrobat, and collaboration platforms (SharePoint, Teams, Google Workspace)
