The Operations Administrator will work as part of a team within a business unit, coordinating tasks related to one or more functional activities, such as operations support, procurement, meetings management, special events, training, and volunteer program.

• Perform specific administrative support in the day-to-day decisions within the scope of work assignments and prioritize work independently.
• Identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to the supervisor.
• Responsible for managing fleet and supervision of logistics Assistant/Drivers
• Supervise volunteers, interns, or temporary staff, including training and orientation, and demonstrate sensitivity in handling confidential information.
• Managing office petty cash and ensuring timely replenishment by Finance standard operating procedures
• Responsible for planning and scheduling team meetings, coordinating logistics for special events and meetings, workshops, training with partners and government stakeholders, central filing, and program Inventory.
• Liaising with the Logistics Assistants/Drivers to coordinate and make logistical arrangements for meetings, workshops, training, and events.
• Coordinate accommodation for TNC and non-TNC travelers (both local and international).
• Be willing to travel, work overtime, and work evenings and weekends as needed.
• Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and strain.

DESIRED QUALIFICATIONS

• Bachelor’s degree and two years related experience or equivalent combination over 5 years of experience working in an INGO in operations, administration, or programs support.
• Experienced use of operations systems like concur or equivalent.
• Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
• Ability to implement complex processes.
• Demonstrated experience handling confidential information.
• Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
• Experience interpreting guidelines to achieve desired results.
• Experience supervising staff, interns, and volunteers.
• Strong organization and negotiating skills, accuracy, attention to detail, and ability to manage multiple tasks
• Experience in supporting Human Resource processes.

WHAT WE CAN ACHIEVE TOGETHER

• The Marine Program Intern works to support coordination and implementation of coastal and marine fisheries related activities in Kenya. The position is based in Mombasa Kenya with frequent travels to Lamu and Tana River Counties and working closely and in collaboration with TNC strategic partners. The position involves working in partnership with fishers, local community, fishing industry, government, and non-government organisations to support implementation of sustainable fisheries and coastal community-led conservation activities.
• The Marine Program Intern will provide technical support in project management and reporting, stakeholders consultations, fisheries monitoring, executing leaning exchanges, fisheries value chain improvement activities, among others. They will also support and build capacity of communities to secure, manage and restore priority mangrove habitats and deepening connections with Community Forest Association (CFAs) for biodiversity conservation, community livelihood, and climate benefits. The positions fall within TNC’s Africa Ocean Strategy and will be based at TNC Office in Mombasa, Kenya, reporting to the Marine Program Officer (Western Indian Ocean). No employment visas or assistance is being offered with these positions except for the local labor employment requirements. This Internship is for specified period of six months from the date of engagement.

WE'RE LOOKING FOR YOU

The broad goal of this position is to provide coordination and technical support in the implementation of sustainable fisheries and community-led conservation in the coastal Kenya.

The responsibilities and scope for this position are:

• Work closely with the Marine Program Officer (WIO) to provide support to partners in Kenya and beyond when needed.
• Work with TNC staff and partners to support planning and coordination of fieldwork, workshops, meetings, trainings, learning exchanges and technical reporting.
• Support implementation of ‘Fish-Market Project’ and other community-led enterprises that incentivize sustainable practices in Lamu and Tana River counties.
• Supporting gender mainstreaming activities in the context of community-led conservation and community development in the Lamu-Tana seascape.
• Support implementation partnership and capacity building on seaweed best farming practices including trainings, mentorship, and follow-ups in South coast Kenya.
• Support implementation of science-based management and monitoring for sustainable management of fisheries and coastal habitats in the Lamu-Tana seascape, Kenya.
• Support fieldwork planning, site visits, stakeholders consultation meetings, capacity building and reporting to facilitate formation and strengthening of CFA (s) in Lamu and Tana River Counties.
• May involve working in variable weather conditions, at remote locations, on difficult and hazardous terrain, and under physically demanding circumstances.

WHAT YOU'LL BRING

Minimum Qualifications

• High school diploma or GED and 6 months of related experience 
• All TNC interns must be at least 18 years of age prior to starting their internship program.
• Must come from a recognized institution of higher learning.
• All interns should be attached to duties relevant to their college courses undertaken.
• Adhere to TNCs Code of conduct and conflict of interest policy.
• Willing to travel and work in remote settings.
• Must provide required paperwork: (i) Proof of University/College registration (ii) Recommendation letter from University/College (iii) Application letter (iv) Curriculum vitae that include 3 references.            

Desired Qualifications

• BA/BS in natural science or equivalent
• Fluent in English and Kiswahili
• Strong ability to use Microsoft Excel, Word, and PowerPoint
• Strong data management and statistical skills.
• Demonstrate knowledge and some experience in marine science and conservation especially on mangrove forests.
• Past participation in community and/or professional meetings and trainings related to mangrove management and conservation.
