    Theatre Team Leader

    Role Summary

    To promote and maintain caring, highly professional standards of perioperative nursing ensuring safe and quality care to patients

    The team leader is expected to supervise staff in all aspects of managing the unit and the resources while promoting job satisfaction for the theatre team.

    Duties and Responsibilities

    SYSTEM

    • Booking/scheduling of procedures
    • Training/ CME schedules and rotations
    • Equipment and Instrument inventory management
    • Allocation of roles and responsibilities
    • Clinical and quality indicators to be monitored
    • Handing over process
    • Patient safety procedures
    • Retention of doctors
    • Efficiency and reducing turnaround time
    • CSSD quality assurance
    • Theatre reports-monthly
    • Increase of theatre revenue
    • Reduction of wastage
    • Perform any other duties as may be assigned from time to time.

    PROCESS

    • Ensure high quality and infection prevention and control services are offered
    • Perform daily rounds ensuring  a clean and safe environment is maintained for the patients at all times.
    • Maintain quarterly theatre contamination checks
    • Ensure staff report early for planned surgeries and receive report at 7.30am everyday
    • Maintain and allocate nursing teams considering competencies and skills, ensuring each individual staff delivers to expectations.
    • Be keen and pay attention to the doctors’ needs and preferences to ensure smooth surgical procedures.
    • Ensure the planned surgical procedures are carried out as scheduled and planned
    • Creating of monthly rota, ensuring correct skills mix and considering that those who are learning are allocated to cover sessions
    • To always ensure handover between shifts  are completed and documented for all cadres of staff
    • Maintain inventory of equipment and instruments, with quarterly major counts and reports
    • Ensure and safeguard the hospital /patients and equipment from damage, wastage or loss.
    • Take responsibility for doing the following and for ensuring maintenance of accurate records/ documentation for:
      • Site marking
      • Surgical Safety checklist
      • Medication records chart
      • Fluid charts
      • Nursing Cardex
      • Surgical Instrument and swab count sheet
      • Nursing Care plans
      • Family and patient education
      • Discharge summary
      • Charge sheet
    • Specimen movement and records
    • Monthly quality and process indicators
    • Ensure monthly theatre reports- accurate statistics, quality control theatre utilization, theatre delays and any other reports as required
    • Call more surgeons and anaesthetists to use the facility and maintain quality  services to ensure retention
    • Have in place processes that reduce wastage in all areas

    PEOPLE

    Internal ;-

    • Communicate with other professional staff both in and out of the theatre to ensure that the care given to patients is of appropriate standard.
    • Make sure that all information concerning patients and their treatment remains confidential at all times.
    • Build capacity of teams by ensuring all staff are trained and skill checked  twice a year perform random skill checks on staff regularly
    • Ensure staff report on time
    • Monthly departmental meetings
    • Teach and delegate role of shift incharge liaise with doctors to identify their challenges and encourage their use of the theatre
    • Liaise with other HODs to ensure patients and doctors have a good experience

    External;-

    • Maintain personal contact with the doctors to ensure their needs are met, and grievances addressed.
    • Be observant of the patients’ needs and requirements, and assist where appropriate in providing care to meet those needs which are within the total care plan of the patient.
    • Maintain personal contact with patients ensuring that they understand their procedure and that their needs are met.

     Required Qualifications

     Academic and professional qualification

    • Diploma/Bachelor of science in nursing
    • Higher diploma in perioperative nursing an added advantage

    Experience

    • 5 years
    • At least three (3) years working in operating room environment

    Required license/ certificate

    • Healthcare management course from a recognized institution added advantage
    • Registration with the Nursing Council of Kenya
    • Valid practicing license
    • Current BLS and ACLS certification

    Theatre Nurse

    Job Purpose

    • The theatre nurse shall be responsible in promoting and maintaining high standards of professional nursing care by providing quality services with special focus on surgeries to meet the needs of patients.

    DUTIES AND RESPONSIBILITIES.

    SYSTEM

    • Managing human resources, equipment, and supplies for individualized patient care
    • Managing patient flow in theatre Department
    • Participating in surgical procedures as a scrub nurse
    • Institute measures to promote normal body temperature of the patient during operation e.g., providing warm intravenous fluids
    • Managing of consumable non–consumable surgical supplies
    • Timely reporting of any malfunctioning equipment for repair
    • Ensuring all patients are charged in relation to the procedure performed and consumable supplies used e.g., drugs
    • Monitoring of blood/fluid loss during operation
    • Perform any other task delegated to by your seniors/team leader/manager

    PROCESS

    • Assessing patient's status, reviewing charts/file, identifying patient and verifying surgical site upon arrival from the ward
    • Take measures to ensure patient's comfort and provision of psychological support to the patient
    • Participate in packaging, Sterilization and dispatching of theatre consumables
    • Maintaining aseptic /safe controlled environment
    • Receiving patients from ward, confirming theatre list, and handing over patients once stable enough to be in the ward
    • Transferring patient to operating room table, Participate in Positioning the patient on the operating table and to recovery area after operation
    • Ensures that the sponge, needle, and instrument counts are correct before and after the procedure
    • Determine patient's immediate response to surgical intervention by doing assessment
    • Maintain patient's safety (airway, circulation, and prevention of injury)
    • Administer medications, fluid and blood if Prescribed
    • Report patient's response to surgical procedure and anesthesia
    • Describe intra-operative factors e.g., insertion of drains, administration of blood, analgesic agents, or other medications during surgery and occurrence of unexpected events
    • Taking vital observations before/after surgery and reporting any changes in patient's vital signs
    • Ensuring theatre equipment are in good working condition
    • Documenting any events during surgery
    • Follow the orientation guidelines issued with the timelines allocated
    • Any other duties that may be allocated by the Management/Supervisor

    PEOPLE

    INTERNAL

    • Managing and Communicating patient's emotional status to other appropriate theatre team members
    • Communicating intra-operative information to the respective ward staff including
    • type of surgery performed and anesthetic used

    EXTERNAL

    • Communicating to relevant parties e.g., Anesthetists, Surgeons and MO's
    • Assisting anesthetists during induction

    Required Qualifications

    • Diploma in Community health Nursing (KRCHN) or BScN from a recognized institution.
    • Higher Diploma in Perioperative Nursing will be an added advantage
    • Valid Nursing license
    • Registered by the Nursing Council

    Experience

    • At least Three years of experience in Perioperative Nursing

    Required license/ certificate

    • Certificate of Good Conduct
    • Must have Certification in BLS
    • ACLS Certification will be an added advantage
    • Experience in Laparoscopy will be an added advantage

    Front Desk / Reception

    Role Summary

    • A Medical Front Desk Clerk, is responsible for interacting with patients/guests in a hospital setting and managing administrative tasks for the medical team. Their duties include scheduling patient appointments according to Doctor availability, explaining admission forms to new patients and processing payments after treatment.

    Duties and Responsibilities

    Systems

    • Booking/scheduling of procedures
    • Schedule appointments between doctors and patients.
    • Maintain hospital inventory such as checking stationery supplies, water cooler and tea dispenser.
    • Ensuring the reception is clean at all times.
    • Ensuring claim forms and pre-authorization forms are well documented and ready to be sent to the relevant insurance companies.
    • Ensure NHIF pre-authorization and bed rebate is done in NHIF system
    • Assist with admissions as per agreed protocols.
    • Adhere to policy and procedures during all activities.
    • Adhere to allocated rotas with punctuality.
    • Perform any other duties as may be assigned from time to time.

    Process

    • Complete accurate documentation of patient visits upon admission and discharge.
    • Ensure that stock levels are adequate and orders are made timeously.
    • Take charge of booking of surgical procedures ensuring correct allocation of time.
    • Ensure the biometrics system is followed.

    People

    Internal ;-

    • Answer all phone calls in a professional and courteous manner.
    • Maintain confidentiality of all doctor and staff information.
    • Liaise between medical departments with discretion and professionalism
    • Make sure that all information concerning patients remains confidential at all times.
    • Ensure and safeguard the hospital /patients and equipment from damage, wastage or loss.

    People

    External;-

    • Greet and attend to patients in person and over the phone.
    • Professionally assist doctors, staff, visitors, and patients.
    • Answer all phone calls in a professional and courteous manner.
    • Maintain confidentiality of all doctor and patient information.
    • Maintain personal contact with the doctors to ensure their needs are met, and grievances addressed.
    • Maintain personal contact with patients ensuring that they understand the admission process and that their needs are met.
    • Communicate medical results to patients under clinical supervision if need arise.

    Required Qualifications

    Academic and professional qualification

    •  High school diploma or general education degree (GED) required.
    •  2-3 years of relevant experience in an office environment.
    •  Strong phone skills.
    •  Demonstrated ability to read, write, and speak English
    • Administration certification (essential).
    • Certificate of good conduct.

    Experience

    • 2 years of experience at a healthcare facility in a medical receptionist role (essential).

    Required license/ certificate

    • Current BLS
    • Healthcare management course from a recognized institution added advantage
