Job Purpose

Oversee the timely and accurate processing of accounts payables in compliance with hospital and departmental policies and procedures.

Main duties and responsibilities: –

• Receiving and matching invoices, purchase orders and goods received note.
• Verifying prices and amounts received with invoices to ensure proper payments to vendors.
• Entering invoices into the accounts payable system.
• Follow up and resolve any outstanding invoices disputed in the statements.
• Working with procurement and other departments to obtain proper documentation for invoices.
• Ensure real time supplier reconciliation against statements.
• Preparing payment voucher after ensuring proper documentation and approval on timely basis.
• Posting of payments on real time basis in the system.
• Maintain proper filling of documents and maintain proper records.
• Regularly review and reconcile vendor accounts.
• Ensure Petty cash posting and reconciliation.
• Assist in doctors’ payables.
• Provide accurate and timely reports as required by management for monitoring payables key performance indicator.
• Ensure timely preparation of daily payments reports.
• Create and promote a positive work environment within accounts payables team.
• Ensure random cash and stock count on a monthly basis.
• Participate in Hospital stock take and as per stock take policy.
• Ensure proper identification and documentation of fixed assets invoices for capitalization. Share copies of the original to invoices to Financial Accountant
• Assist in fixed asset counts once a year and reconcile with fixed asset register.
• Assist Auditors in Payable matter

Minimum Requirements/Qualifications

• Degree In Business related field
• CPA Part 3
• Accounting Experience

 Qualifications and desired skills:

• Medical Doctor. Post graduate training an advantage.
• Training in healthcare management/business administration.
• Experience in a similar role for at least 4 years
• Very good communication skills
• Flexible and willing to adjust to the demands of the job

Responsibilities:

• Strategic and Business plan – Facilitate the implementation of the hospital strategic and business plans in clinical services.
• Clinical Governance – Offering leadership in all clinical and support departments, working with multi-disciplinary teams. Ensure clinical SOPs, guidelines and pathway are developed, implemented, monitored and revised as necessary.
• Stakeholder Management – Positively engaging all relevant stakeholders in order to maximize value for the hospital.
• Human Resource Management – Ensuring adequate staffing in the relevant departments through planning, recruitment, performance management, leave management and staff relations.
• Business Development and Operations – Growth of business in scope and volume to ensure new services introduced within agreed timelines and budgets are met and exceeded.
• Patient Quality Agenda – Clinical quality processes in line with the goals and objectives of the hospital drive continuous clinical improvement.
• Professional Development – Continuous Medical Education and other relevant learning programs.
• Client Experience – Addressing relevant customer complaints and escalating in a timely manner to ensure improved customer satisfaction.
• Budgets – Supporting the annual budget cycle in relevant departments for equipment and other operational needs.
• Licenses and Regulation – Ensure all clinical staff and the institution have valid licenses.
• Reporting – Prepare timely and quality reports as required by the CEO and Board of directors.

• Bachelor’s degree in Medicine and Surgery from a university recognized by CUE
• Master’s degree in Internal Medicine from a university recognized by CUE
• Registered with the Kenya Medical Practitioners’ and Dentists’ Council
• Valid Specialist Recognition by KMPDC
• Valid and current Indemnity Cover
• At least 3 Years Post Master’s degree experience

Responsibilities:

• Clinical work in the department of Internal Medicine
• Lead the department in service provision, customer care and experience, business growth and stakeholder management.
• Train and mentor medical officers/ staff attached to the department
• Facilitate and support hospital – wide quality and patient safety agenda
• Participate in relevant hospital committees and sub – committees
