    Human Resources Assistant

    Job Summary:

    You will help coordinate and support the execution of the Country Program (CP) HR strategy and operational plans in support of high-quality programs serving the poor and vulnerable. You will provide responsive, high-quality service to address HR programs, services and operations needs in all the areas of records management, processing contracts, updating and tracking HR data and reporting and processing payroll for Somalia CP. Support in the interpretation and clarification of HR policies and procedures

    Specific Responsibilities:

    • Provide support to the HR Manager in his/her responsibilities with regard to the overall management of HR programs and services in the CP.
    • Collect and organize input on HR processes and policies and participate in the review and update of various systems, manuals, guidelines and tools.
    • HR data management including update of the HR system (HCM), GoK and other HR data reporting.
    • Provide data analysis reports to support department decision making. This will include regular staff diversity and salary analysis reports.
    • Management of time and Labour including tracking timesheets, adjustments and reporting.
    • Management of personnel files.
    • Day to day management of staff contracts – including tracking of timebound contracts, probationary periods, short term/casuals/internship contracting and related communication to hiring managers.
    • Processing of HR related correspondence such as transfers, promotions, separations, salary changes. 
    • Provide administrative and logistical support to the department including processing department related requisitions, processing of casuals and general payments.  Process Somalia taxes.
    • Help coordinate and support HR processes, activities and service delivery including regular field visits to ensure timely response to HR needs and improved cohesion between field staff and main office.
    • Tracking and supporting performance management activities.
    • Support in interpretation of HR policies, practices and procedures.
    • Support staff onboarding and offboarding.
    • Provide back up for HR Staff.

    Required Qualifications and Experience:

    • Bachelor’s Degree in Social Sciences, HR Management or Business Administration strongly preferred or equivalent relevant experience with completion of HR certification or courses.
    • Minimum 2 years’ work experience in HR, preferably with an International or local NGO and good knowledge or HR best practices and standards.
    • Experience with and knowledge of employment laws, regulations, policies, principles, concepts and practices.  Basic understanding of the local labour law.
    • Experience using MS Windows AND MS Office Packages (Excel, Word, PowerPoint), Web Conferencing Applications, HRIS and data analysis.

    Project Assistant – Disability Inclusion (Sighted Guide)

    Job Summary

    The Project Assistant – Disability Inclusion will provide service in the day-to-day delivery of responsive, effective and efficient project support in administrative and activities implementation support of the Catholic Relief Services’ (CRS) mission to serve the poor and vulnerable. He/she will provide consistent and high-quality service and contribute to the proper stewardship of project resources to help ensure operational effectiveness in support of high-quality programming. The incumbent will also provide Sighted Guide services to the Senior Project Officer - Disability Inclusion to effectively navigate and perform his expected roles.

    Specific Responsibilities

    • Provide sighted assistance by navigating between and within key work areas, including in mode of transport.
    • Support travel and logistics arrangements for the SPO - Disability Inclusion) and schedule and coordinate meetings including taking notes.
    • Prepare and arrange electronic equipment during conferences and workshops as well as stationary and other IEC, resource materials.
    • Support in reading inaccessible PowerPoints, PDF document which are not recognized and not compatible with the screen reader as well as translating print materials and support in making into soft copy.
    • Support in setup and maintain online forums and chats when the screen reader is off.
    • Assist with identifying and collecting information for case studies and briefs on promising practices and learning.
    • Working closely with the SPO – Disability Inclusion, carry out routine support supervision to projects, including progress monitoring, and preparation of detailed field/project reports per established reporting schedule.
    • Support the coordination and implementation of all assigned project activities as outlined in the detailed implementation plan in line with CRS program quality principles and standards, donor requirements, and good practices.
    • Support on training needs assessments and capacity building and technical support activities to ensure effective impact.
    • Complete project documentation for assigned activities. Assist with identifying information for case studies and reports on promising practices.

    Driver - Marsabit

    Job Responsibilities

    • Draft monthly vehicle maintenance plans and ensure implementation.
    • Take accountability for all spare parts, accessories, etc. fitted in assigned vehicles during repairs at the workshop or field.
    • Prepare vehicle performance, maintenance, and repair reports, and submit as required.
    • Plan to meet anticipated travel requirements and make all arrangements for ensuring efficient services (fueling, pre-travel checks, required travel documents, required equipment, spare parts, and tools, vehicle cleaning, persons traveling for packing instructions and timings).
    • Ensure copies of daily mileage logs, pen and clipboard are readily available in all assigned vehicles. Promptly collect filled in daily mileage logs to avoid loss or defacing.
    • Routinely check all assigned vehicles Licenses, Insurances, and other required documents and promptly advice the VMU Supervisor when renewals are due.
    • Transport CRS staff and visitors as instructed, observing local traffic and road safety laws and all CRS vehicle policies to ensure safety of passengers and luggage, and quality and courteous services. Report immediately any accidents and/or route changes due to security, bad weather, road conditions. Maintain and submit accurate records for all trips.
    • Take delivery of sub-contracted works conducted on organizations vehicles, inspecting, and certifying conformity with requirements and expectations and advising the VMU Supervisor accordingly.
    • Ensure assigned vehicles are secured when not in use.
