    Finance Sr. Associate

    About the Role

    The ESA Finance Associate is a full-time position reporting to the Regional Director and Regional Finance Manager. The Eastern & Southern Africa Hub is looking for someone with substantial experience in financial management and controls, supporting field operations and deployment of efficient and cost-effective financial operations, policies, procedures and processes.

    The position is based in Nairobi, Kenya with travel to Regional Hub priority countries approximately 10-15% of the time.

    Responsibilities

    Financial Controls.

    • In consultation with the Regional Finance Manager (RFM), ensure HOT and Hub Finance and Procurement policies are adhered to and implemented in a standardized manner
    • Conduct periodic field/country visits.
    • In close collaboration with Country Finance Managers, facilitate month end closing of accounting books and review of balance sheet items.

    Reporting.

    • On a case to case basis, support the RFM in consolidating and drafting Hub Monthly Financial Reports.
    • Conduct initial reviews of all grantee Financial Reports.

    Operations and Administrative Support.

    • Provide reviews on Purchase Requests, Bid Analysis, Purchase Orders, and Procurement Plans and payments to ensure completeness, budget availability and compliance to HOT Policies/Procedures & Donor Regulations.

    Capacity Building and Sub Grants Management & Support

    • Facilitate training/workshops with staff and regional awardees.
    • Reviewing monthly financial reports and facilitating payments to awardees.

    Other Financial Milestones:

    • Assist in Annual Budgeting Processes and provide monthly budget support to hub managers
    • Contribute to the development, review and revision of Hub Financial Policies and SOPs.
    • Responsible for the initial review of funds transfer requests from countries/programs, 
    • In coordinations with the RFO, conduct risk assessments on grantees and programs and update the risk register on a regular basis.
    • Key resource in filling (Soft and Hard Copies) for both HOT and Grantee financial records.

    Qualifications

    • Nairobi Based,  with ability to travel within the Eastern & Southern Africa Region
    • Bachelor’s degree (B.S.) in Accounting (Graduate level degree in Finance and/or CPA certification a plus)
    • At Least 3-4 years of professional experience in an equivalent position, preferably in the region (Eastern and Southern Africa)
    • Experience working with remote and virtual teams
    • Experience  training finance and non finance staff on finance and procurement processes
    • Experience managing audit processes 
    • Experience in donor budgeting and reporting.
    • Experience in working with a diverse range of institutional donors, especially USAID/UN Agencies and many others.
    • Excellent excel skills
    • Excellent oral and written English / Communication skills
    • Familiarity with accounting software, preferably Quickbooks
    • Flexible, honest and reliable

    Grants Manager

    About the Role

    Positioned in the Eastern and Southern Africa Hub, while reportinging into the Community Services Manager, the Grants Manager will work closely with the ESA Hub team to co-design granting programs and lead on best practices. The position of Grants Manager plays a pivotal role in coordinating the ESA Hub team to implement granting processes from start to finish (inclusive of developing supportive capacity building initiatives that run alongside any granting); managing compliance and supporting the hub team in business development to grow the grant portfolio

    As Grants Manager you will work closely with a portfolio of implementation partners, including but not limited to: 

    • OSM communities located in places vulnerable to humanitarian crisis or experiencing multidimensional poverty
    • Community groups / organisations that are trying to achieve a social impact and use, or could use, map data to do it.
    • Groups that want to show solidarity with other communities through collaboration, contribution or support.

    Responsibilities

    • Leading on the co-design and development of new models of granting in the region 
    • Analysing the previous impact of grants in the region and making recommendations for future iterations of the granting program to align with Hub priorities
    • Collaborate with ESA Hub team to manage grantmaking workflow and calendars, including:
      • Coordinating application processes and managing incoming grant proposals
      • Assessing grant applications and coordinating an equitable and inclusive review process to effectively analyse the quality and potential impact of proposals 
      • Leading selection/approval meetings with reviewers (internal and external facing)
      • Ensure Conflict of Interest standards are met my participating partners
      • Preparing and sending funding agreement documentation to grant recipients
      • Working with the ESA Hub’s Communications Associate to roll out effective communications to support and promote the program
      • Managing and monitoring grants, through the review of reports and project visits
      • Integrating MERL data workflows across all programs
      • Managing the creation and adherence to reporting documentation through qualitative and quantitative reports 
      • Collaboratively evaluate, develop, implement new and refresh ways of managing the ESA Hub’s workflows, processes, and procedures to improve efficiency and accuracy
      • Contributing to the ESA Hub’s Business Development strategy through the potential raising of funds for future granting programs

    Qualifications

    • Authorized to work in Nairobi, Kenya with ability to travel regularly in Eastern & Southern Africa
    • At least 5 years of grants management experience, including sub-award management and grantee management 
    • Bachelor’s degree in a relevant field . Master’s degree preferred.
    • Experience leading, coordinating and facilitating grants 
    • Experience working collaboratively with key stakeholders
    • Experience in program design and implementation
    • Proven creativity and critical thinking through conceptualising impactful programs
    • Experience managing budgets 
    • A commitment to effective relationship building with colleagues and community members
    • Fluency in English
    • Empathy and understanding
    • A good sense of humour and willingness to learn
    • Driven, goal-oriented and strives for continuous improvement
    • Comfortable with working with a global team (e.g. willing to adjust with varying time zones)
    • A passion for humanitarian and development work, and a deep commitment to community-led change, which must be demonstrated through prior experiences

    Desirable

    • Fluency in other languages (particularly Spanish, French, Arabic, Swahili or Portuguese)
    • Experience in writing contracts, and other policies / procedures 
    • Experience of integrating mentorship or peer-to-peer support across workflows
    • Experience of engaging with, or being part of a community group
    • Experience working remotely and leading projects/activities and coaching team members globally

    Senior Hybrid Developer-Designer

    About the Role

    We're seeking a Senior Hybrid Designer-Developer that can quickly and effectively take products from concept to shipment. A person that is a senior professional across the two disciplines of Software Design and Development, ideally in Free and Open Software environments.
    During design phases, capturing user insights and creating a collage of imaginative ideas and prototypes which can be realized through agile collaboration. During development phases, relying on experience in a variety of programming languages, databases to build and iteratively improve. We expect you to support a passionate team of humanitarian hacktivists. The role will support the HOT tech team in collaboratively delivering a range of open source solutions, aiming to build tech that enables the Human[itarian] use of OpenStreetMap. In this way, contributing to support HOTs mission to improve livelihoods through open mapping.

    Responsibilities and Priority Areas for Action

    Design:

    • Conceptualize ideas that bring simplicity and user friendliness to complex design challenges.
    • Facilitate inclusive design thinking processes including user research, discovery and product concept to imagine the HOT technology strategy into existence. 
    • Collaborate with HOT’s global tech team and open source community to define, build, and release new, user-centered products.
    • Construct user flows, wireframes, and prototypes that effectively communicate design concepts for validation.
    • Develop and deliver well-documented, product designs that accurately reflect HOT’s mission.
    • Design products that are intentionally inclusive and equitable.

    Develop:

    • Work with engineers, designers, and test engineers to bring prototypes to life
    • Participate in the overall application lifecycle with ownership of code throughout development, staging, testing and production. 
    • Development tasks will focus on frontend development, designing and deploying services, integrations with and consumption of third party services, database development, unit testing and mock data generation, development of regression testing scenarios and scripts.
    • Our tool stack has applications built with a mix of Python and Javascript frameworks.
    • Follow best practices such as monitoring technical performance of applications to ensure code optimisations and troubleshoot and debug applications. 
    • Build high-quality efficient, reusable code, focus on clean readable code, debugging and ensuring good test coverage.
    • Develop accessible documentation that increases contributor engagement and project sustainability. 
    • Participate in agile software planning and development activities including daily standups, user story and task organization and grooming activities, and effort estimation.

    Inspire:

    • Mentor and guide team members as well as internships, helping them develop and grow.
    • Collaborate with communities to design, build and maintain applications.
    • Communicate (blogs, presentations, working groups etc.) to raise visibility and engagement with hot_tech powered projects. 
    • Participate & showcase work in yearly conferences and other community working group meetings on a regular basis.

    Qualifications

    Essential

    • Experience in Application Development, preferable in areas of Design and Development 
    • 5+ years experience with interaction design, user experience design, or similar field
    • 5+ years experience in software development
    • A creative mind with a problem-solving attitude, driven by inclusion and equity
    • Proven track record delivering user-first, data driven solutions with a focus on getting things done
    • Have a collaborative, self-motivated, "always-learning" spirit, driven to improve user experiences everywhere at all times through smart design and applied effort
    • Be driven by compassion, humanitarian ethics, and a sense of humor
    • Open and encouraging communication
    • Working knowledge of agile teams or projects

    Desirable

    • Experience working in a dynamic open source community across multiple stakeholder groups and with multiple concurrent projects
    • Experience with OpenStreetMap (OSM) and associated OSM tools
