    Depot Field Clerk

    To support efficient depot and logistics operations by coordinating truck loading documentation, customs processing, and liaising with KPC and KRA, ensuring timely and compliant dispatch of petroleum products.

    Job Description

    Key Responsibilities:

    • Truck Coordination & Pre-Checks
    • Coordinate and assist in pre-checks of trucks before loading, ensuring compliance with safety and operational requirements.
    • Verify truck documentation and driver compliance prior to dispatch.
    • Customs & Loading Documentation
    • Lodge truck loading orders with customs authorities promptly to facilitate clearance.
    • Present documentation files to KRA for gate pass processing to ensure timely release of loaded trucks.
    • Documentation Delivery
    • Deliver Bills of Lading (BoL), seals, and other dispatch documentation to drivers before departure.
    • Ensure drivers understand and sign for received documentation and seals.
    • Liaison with KPC & KRA
    • Act as a runner for updating and submitting any missing truck information to KPC offices to avoid dispatch delays.
    • Follow up on clearance status with KRA and provide timely updates to the operations team.
    • Operational Support
    • Maintain accurate records of documents delivered, collected, and submitted during daily operations.
    • Escalate any discrepancies, documentation issues, or delays promptly to the supervisor.
    • Assist with any additional operational tasks as may be assigned to support smooth depot operations.

    Key Requirements:

    • Certificate or Diploma in Business Administration, Logistics, Supply Chain Management, or a related field.
    • 1–2 years’ experience in a similar role, preferably in the oil and gas or logistics sector.
    • Understanding of customs and KRA gate pass processing procedures.
    • Familiarity with KPC operational requirements for truck dispatch.
    • Good interpersonal and communication skills for liaising with drivers, customs, and operational teams.
    • Strong attention to detail and ability to work in a fast-paced environment.
    • Ability to handle outdoor tasks and move between offices (depot, KRA, KPC) efficiently.

    Customs Declaration Officer – Oil & Gas

    • To ensure accurate, compliant, and timely customs declaration and clearance of petroleum products, lubricants, and related equipment, facilitating seamless import/export operations while aligning with regulatory requirements within the oil and gas industry.

    Job Description

    Key Responsibilities:

    • Receive and review instructions regarding customs declarations and documentation for petroleum products and related imports/exports from clients and internal teams.
    • Ensure effective consultation and coordination between clients, company teams, clearing agents, and customs authorities.
    • Professionally prepare and execute customs declarations to avoid punitive measures, demurrage, and operational delays.
    • Verify and confirm shipment documentation against customs and company requirements.
    • Undertake accurate and timely customs declarations for inbound and outbound oil and gas products.
    • Input shipping and product data for generation of customs entry declarations for all shipments.
    • Ensure the smooth flow of freight documentation for bulk fuel, lubricants, and related cargo.
    • Resolve declaration and clearance issues with customs authorities promptly.
    • Monitor, interpret, and implement changes in customs regulations affecting the oil and gas industry while advising management of compliance requirements.
    • Eliminate delays and avoid customs offenses by declaring accurate HS codes, correct tariffs, and ensuring documentation compliance.
    • Prepare and submit regular customs status reports to management.
    • Carry out any other duties related to customs operations as may be assigned.

    Job Requirements

    Qualifications & Competencies:

    • Diploma or Degree in Clearing & Forwarding, Logistics, Supply Chain Management, or a related field.
    • Minimum 4 years of experience in customs documentation and clearance, preferably within the oil and gas or FMCG industries.
    • Advanced knowledge of ICMS, Kentrade, Asycuda,  and related customs clearance systems.
    • Sound knowledge of tariffs, HS codes, trade agreements, and oil and gas import/export compliance requirements.
    • Strong attention to detail with the ability to handle high-volume documentation accurately and efficiently.
    • Understanding of air and sea freight clearance processes, with specific knowledge of petroleum product clearance.
    • Excellent communication skills for effective liaison with customs officials, agents, and internal teams.
    • Ability to work under pressure and within tight timelines in a dynamic operational environment.
