    Inventory and Supply Assistant (Driver), G4

    Responsibilities

    Within limits of assigned authority, the incumbent will be responsible for the following specific duties:

    • Issue a variety of expendable and non-expendable supplies and capital items, audio-visual and other equipment, furniture, machinery, or other stored items; inspect incoming orders to assure presence of invoice material; consider future usefulness of returned goods and determine stock to follow established supply requirement to replenish stocks based on past usage and anticipated future demand.
    • Communicate with the office space project managers to understand the furniture needs of the projects and coordinate the ordering and delivering of furniture for these projects.
    • Provide advices to Property Record Custodians from all Departments on inventory-related matters.
    • Enter data on all incoming expendable and non-expendable UN property, acquisitions, disposals, transfers, deletions, and corrections.
    • Update the Property Record Custodians database according to Departmental requests.
    • Participate in periodic physical inventories of UN equipment to ensure accuracy of serial and decal numbers, stock descriptions, net total on hand and exact location of property.
    • Coordinate delivery of accountable property.
    • Arrange contents of logistics stocking and receiving areas in a manner that maintain a safe working environment.
    • Process incoming field mission Local Property Survey Board (LPSB) cases for submittal to Headquarters Property Survey Board (HPSB).
    • Design and develop spreadsheet reports and databases using various software platforms in accordance with instructions received from supervisor.
    • Propose, develop, and implement improvements in procedures to automate and expedite processing of inventory.
    • Draft routine correspondence for signature by supervisor when requested and register and file incoming correspondence.
    • Maintain a proper filing system.
    • Drive vehicles safely for the transport of authorised personnel and general cargo goods.
    • Make regular deliveries of parcels, documents, etc., between the UN office and other offices and institutions, e.g. Ministries, Embassies, Permanent Missions, etc.
    • Make minor purchases and collect urgent purchases from local suppliers as requested. Collect goods from the customs with due regard to customs regulations and formalities.
    • Meet high-level official, delegates and personnel at the airport and facilitate immigration and customs formalities as required.
    • Deal effectively and tactfully with officials and visitors.
    • Take care of the day-to-day maintenance of the assigned vehicles, check oil, water, battery, brakes, tries, etc.; perform minor repairs and arrange for other repairs and ensures that the vehicle is kept clean.
    • Log official trips, daily mileage, gas consumption, oil changes, greasing, etc.
    • Perform other work-related duties as assigned.

    Education

    • High school diploma or equivalent. Driver training with a valid driver’s license is required.

    Job - Specific Qualification

    • Passing the Global General Service Test (GGST) is a prerequisite, i.e. is required, for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.
    • The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization.
    • Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

    Work Experience

    • A minimum of three years of experience as a driver with a safe driving record is required.
    • Experience in driving a variety of makes and models of vehicles, including vans and other kinds of motorized vehicles is required
    • Work experience within the United Nations system or an international organization is desirable.
    • Experience in inventory and supply management or related area is desirable.

    Programme Officer (Multiple Positions), NOC

    Responsibilities

    The incumbent will be responsible for providing substantive and technical expertise in the area of programme management, implementation, reporting, monitoring and evaluation in conformity with UN rules and regulation, and policies for the implementation of the Alternative to Imprisonment Project in Kenya. S/he will work in close cooperation with the National Council on the Administration of Justice (NCAJ) Secretariat of the Government of Kenya (GoK). Within assigned authority, the Programme Officer will be responsible for the following specific duties:

    • Work with the National Council on the Administration of Justice (NCAJ) Secretariat, the Judiciary, Office of the Director of Public Prosecutions (DPP), National Police Service (NPS), Directorate of Children Services (DCS), Ethics and Anti-Corruption Commission (EACC), Witness Protection Agency (WPA), Asset Recovery Agency, and Probation and After Care Service (PACS) of the Government of Kenya to facilitate the development, implementation and evaluation of assigned programmes/projects, etc.; monitor and analyse specific aspects of programme/project development and implementation; review relevant documents and reports; identify problems and issues to be addressed and recommend corrective actions; liaise with relevant parties; identify and track follow-up actions.
    • Provide substantive support for policy coordination and evaluation functions, including the review and analysis of emerging issues and trends, participate in evaluations or research activities and studies.
    • Assist in performing consulting assignments, in collaboration with the national counterparts, by planning and facilitating workshops, through other interactive sessions and assisting in developing the action plan that the national counterpart will use to manage the change.
    • Contribute to the preparation of various written outputs, e.g. draft background papers, analytical notes, sections of reports and studies, inputs to publications, etc.
    • Provide administrative and substantive support to consultative and other meetings, conferences, to include proposing agenda topics, identifying and proposing participants, preparation of background documents and presentations, handling logistics, etc.
    • Undertake outreach activities; participate in the development of training workshops, seminars; participate in and make presentations on assigned topics/activities.
    • Participate in field missions, including provision of substantive and administrative support and data collection.
    • Participate in the recruitment for the programme; draft terms of references, prepare short-lists, prepare written and oral questions; assist in guiding programme personnel towards the achievement of the programme’s objectives.
    • Coordinate activities related to budget funding (programme/project preparation and submissions, progress reports, financial statements, etc.) and preparation of related documents/reports (pledging, work programme, programme budget, etc.)
    • Ensure that operations, finance management, procurements, logistics, liaison and communication activities assigned to the programme are conducted according to UNODC standards and procedures.
    • Perform other work-related duties as required.

    • A minimum of five years of progressively responsible professional experience, including relevant experience in managing programme/project activities in the area of criminal justice, crime and drug control and/or related fields, is required
    • Work experience in project management including design, management, implementation, monitoring and evaluation is required.
    • Experience working in EU-funded projects is desirable.
    • Work experience in an international organization or in the United Nations system is desirable.

    Programme Assistant, G5

    Responsibilities

    Within limits of assigned authority, the Programme Assistant will be responsible for the following duties:

    • Assist in the coordination of the PLEAD II project planning and preparation work for the project activities, proposals, and receipt of relevant documentation for review and approval.
    • Compile, summarize, and present basic information/data on specific PLEAD II Programmes projects and related topics or issues.
    • Review project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval.
    • Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system.
    • Assist in the processing of travel requests, and travel arrangements for consultants, meeting participants, training, and study tours, as well as the completion of travel expense reports and other processes related to the travel.
    • Compile, summarize and enter data on project delivery; draft related status reports, identifying shortfalls in delivery, budget overruns, etc., and bring to the attention of management.
    • Ensure that the asset register is accurate and up to date; review the asset register and make necessary adjustments as required.
    • Carry out annual asset verification.
    • Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc.
    • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
    • Assist with visualizations and updating information material such as web pages or brochures.
    • Provide general office assistance; respond to complex information requests and inquiries; reviews, logs, and routes incoming correspondence; set up and maintain files/records; organize meetings, workshops, handle routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc.
    • Provide guidance/training to new/junior staff.
    • Perform other work-related duties as assigned.
