    Personal Assistant

    Job Summary

    The African Institute for Health and Development (AIHD) is seeking to recruit
    a Personal Assistant to support the Head of the Vector Borne and Neglected Tropical Diseases Unit (VBNTDU), under the Accelerating Resilient Innovative and Sustainable Elimination of NTDs II (ARISE II) program. S/he will be based at the Vector Borne and Neglected Tropical Diseases Unit (VBNTDU) in the Ministry of Health (MoH). The officer will provide personalized administrative and secretarial support in a well-organized and timely manner. S/he will work on a one-to-one basis on a variety of tasks related to communication and the activities the Unit’s Head partakes.

    Duties and responsibilities

    • Provide comprehensive administrative and organizational support to the Head VBNTDU.
    • Maintain the calendar of events of the Head VBNTDU with timely reminders on pending and upcoming events, including but not limited to scheduling appointments, meetings, and events.
    • Handle incoming and outgoing communication as and when directed by the Head,
    • VBNTDU, including letters, memos, travel clearances and leave forms.
    • Anticipate deadlines and proactively address time sensitive matters.
    • Attend meetings and workshops as and when directed by the Head VBNTDU.
    • Coordinate travel plans and prepare travel itineraries for the Head, ensuring all necessary arrangements are in place.
    • Organize and manage the office space, including filing systems and office supplies.
    • Prepare reports, speeches and presentations as required.
    • Liaise with the M&E Officer for updates on planned activities, meetings, and workshops, ensuring adherence to set Ministry of Health requirements.
    • Act as liaison between the Head and other VBNTDU staff members.
    • Handle information with confidentiality and discretion and distribute it to relevant parties.

    Qualifications and Skills

    • A Bachelor’s Degree in a relevant field from a recognized university.
    • Proven experience as a personal or executive assistant.
    • Excellent organizational and multitasking abilities.
    • Strong written and verbal communication skills.
    • Proficiency in office software and technology.
    • Discretion, integrity, and the ability to handle confidential information.
    • Ability to work under pressure.
    • Excellent computer skills (Word, Excel, PowerPoint etc).

    Administration/ HR Officer

    Job summary:

    The AIHD is seeking to recruit an Administration/HR Officer to support the Administration/Human Resources Department. The administration/HR Officer will support the day-to-day activities of our Human Resources Department. The HR& Admin Officer will act as the point of contact for
    all employees, providing administrative support and manage queries. S/he will process employee data,
    update company policies, and assist in the hiring process. Ultimately, s/he should be able to ensure our
    administrative activities run smoothly on a daily and long-term basis.

    Responsibilities

    • Receiving and processing communication, including emails and telephone calls on behalf of the Institute.
    • Ensure functionality of necessary office equipment and requisitioning new equipment and supplies as needed.
    • Maintaining physical and digital personnel records like employment contracts.
    • Update internal databases with new hire information.
    • Gather payroll data like bank accounts and working days for temporary staff, interns, and consultants.
    • Manage leave days and sick off using the recommended HR systems.
    • Schedule job interviews and contact candidates as needed.
    • Prepare reports and presentations on HR-related metrics like total number of hires by department.
    • Creating reports and memos as needed by the management and program team.
    • Undertaking all logistical travel plans for project teams.
    • Making hotel reservations, airport transfers, security clearances; informing all relevant parties and project team travel plans in accordance with standard operating procedures.
    • Performing any other assigned duties related to project implementation and administrative tasks as needed.

    Qualifications

    • Must be a Holder of a Diploma or higher in Administration/Human Resource or related field from a recognized institution.
    • Work experience as an HR& Admin Officer, HR Administrative Assistant, or similar role.
    • Familiarity with Human Resources Information Systems (HRIS).
    • Basic knowledge of labor legislation.
    • High attention to detail and strong organizational skills, planning, and time-management skills.
    • Ability to manage multiple tasks against tight deadlines.
    • Must be proficient in use of Microsoft Office suite of products, with advanced skills in Excel.
    • Requires excellent communication skills, both written and oral.
    • Must demonstrate ability to successfully establish effective interpersonal relationships with a variety of management and staff and work independently toward project deliverables.
    • Experience in liaising with government agencies and or donors is an asset.

    Logistician

    Job Summary:

    The African Institute for Health and Development (AIHD) is seeking to recruit a Logistician to support the Accelerating Resilient Innovative Sustainable Elimination 2 (ARISE 2) programme. S/he will be seconded to the Division of Vector Borne and Neglected Tropical Diseases (DVBNTD) in the Ministry of Health (MoH). The officer will support the procurement activities under the ARISE 2 programme with a particular focus on projection, quantification, and inventory management.

    Duties and responsibilities

    •  Develop procurement plans for the ARISE 2 programme in collaboration with programme Coordinators/Managers and internal and external partners to support programme implementation.
    •  Prepare and submit timely and accurate logistics/procurement report(s) for nonpharmaceutical supplies to advise decision-making processes.
    •  Coordinate closely with the Programme teams to ensure that non-pharmaceutical supplies purchased are delivered, at the national and county level, in a timely fashion.
    •  Guarantee the maintenance of all other procurement files.
    •  Ensure that all supply chain established procedures are followed and adhered to in all transactions.
    •  Support in the suppliers’ performance appraisals together with the AIHD procurement team.

    Qualifications

    •  Must be a holder of a degree in procurement, logistics or related field from a recognized university.
    •  Advanced professional certification in supply chain management preferably, Chartered Institute of Procurement and Supply (CIPS).
    •  Ability to function optimally in sophisticated and high-pressure work environment, set appropriate priorities and deal successfully with numerous simultaneous demands at short notice.
    •  Excellent computer skills (Word, Excel, PowerPoint etc).
    •  Familiar with NGO working environments and standard procedures.
    •  Experience working with a diverse portfolio of Donors and knowledge of specific donor guidelines.

    Proven Skills and Competencies:

    •  Have a high degree of flexibility and ability to work under acute hardship conditions against tight time limits.
    •  Ability to handle critical situations patiently with strong interpersonal and communication skills.
    •  Dedicated risk identification and effective implementation of risk management strategies.
    •  Strong organizational skills, ability to coordinate and handle a diverse array of responsibilities.

    Monitoring and Evaluation Intern

    Job summary:

     The African Institute for Health and Development is seeking to recruit an intern to support the Monitoring and Evaluation Department. The M&E intern will assist in the designing and implementing of M&E activities of projects and programmes. S/he will help in preparing quarterly and annual reports on projects and programmes progress to ensure that there is clear monitoring of the activities on a regular basis, uploading project data/information on the corporate databases and assist in collection and analysis of different data in relation to the project activities.

    Responsibilities

    •  Participate in developing and implementing programme results based on the M&E plan to generate regular information related to the progress of the program implementation.
    •  Participate in designing data collection tools, templates, and assist in regular data collection or generation process.
    •  Assist in tracking the project's output and outcome level results on the periodic basis in close coordination with the project's implementing team.
    •  Review and compile monitoring reports, project progress reports, evaluation reports, photographs, case studies video documentaries, PowerPoint presentations.
    •  Support the M&E in providing technical support to staff members for all M&E related activities including training of staff members on M&E concepts, skills, and tools.
    •  Support programme and project officers to ensure that lessons learned from the evaluations are documented properly in the corporate databases.
    •  Assist in reviewing field-level assessment reports, baseline studies, and evaluation reports.
    •  Consolidate Programme/Project quarterly progress reports and submit them to the supervisor.
    •  Participate in data collection and analysis to determine progress achieved.

    Qualifications

    •  Must be a holder of a Bachelor’s degree in statistics, demographics, social sciences, economics, monitoring and evaluation or related field.
    •  Knowledge of the major evaluation methodologies (e.g., qualitative, quantitative, mixed method, and impact surveys) and data collection and analysis methodologies.
    •  Knowledge of statistical packages and/ or data analysis software (e.g SPSS and ODK) and advanced computer skills (word-processing, spread sheets, and databases)
    •  Knowledge of writing reports, and designing tools for data collection, analysis, and production of reports.
    •  Ability to manage databases and multiple tasks against tight deadlines.
    •  High attention to detail and strong organizational skills, planning and time-management skills.
    •  Requires excellent communication skills, both written and oral.
