SCOPE OF WORK

• Work diligently to protect and promote the Client's interests; read and adhere to Akili Dada’s transport and Girl Engagement policies.
• To maintain well-serviced vehicles and provide Akili Dada with a vehicle service certificate.
• To provide services when called upon, which will be guided by the client’s bookings and travel arrangements.
• To render the services according to the highest professional standards.
• To comply with all laws and regulations in Kenya, including the driving and traffic laws.
• The Client shall have the right to inspect and/or test the services rendered to them to confirm their conformity with the contract specifications. Should any aspect of the Services that is inspected or tested fail to conform to the specifications set out under the provisions of this Agreement, the client may reject the Services. The Service Provider shall make such alterations as necessary to meet the specifications. Such alterations shall be carried out at the Service Provider’s own cost.

QUALIFICATIONS

• The ideal service provider should have the following qualifications:
• Extensive experience in corporate ground transport services.
• Compliant with all NTSA applicable rules and regulations including applicable licenses and insurances.

BUDGET

• The vendor will provide a comprehensive breakdown of the costs of travel in all counties inclusive of all applicable costs, e.g. taxes, driver costs, and any other costs associated with the assignment. This should be submitted together with the proposal documents.

SCOPE OF WORK

• Provide set-up materials and menu items as proposed and agreed to by both the service provider and the client. The set-up materials include tables, chairs, decorative materials, and other items the parties to this agreement deem fit. The menu items include the food that the client has proposed for the event and should be of the right quantity and quality as per the number of attendees.
• Provide transport for these items to and from the venue of the event.
• Provide enough manpower to assist in the set-up and set-down after the event.
• Provide advice to the client on the set-up layout and themes, which should be agreed to before execution.
• Provide a detailed quotation with the total amount and invoice, of which the amounts should be the same unless otherwise agreed to by both parties.
• Provide the agreed items on time as per the agreed quote, unless otherwise communicated prior to the event to allow the client to reorganize the event.

• Modify reservations and bookings upon request.

• Extensive experience in corporate travel planning and logistics.
• Experience in global and local travel planning.
• Excellent communication and customer relations skills.
• Excellent problem-solving skills.

Key training components and proposed topics

• Fundamentals of communication including but not limited to message development, crafting clear and compelling key messages, and adapting content for different audiences.
• Advantages of effective communication highlighting its importance in both internal and external settings.
• The communication process and different communication types (verbal, non-verbal, written, digital) across both internal and external contexts.
• Presentation skills focusing on the qualities of an effective communicator, public speaking, storytelling techniques, pitching, and delivering presentations within and outside the organization.
• Overcoming communication barriers such as language, cultural differences etc. that hinder effective communication.
• Interpersonal communication by enhancing active listening skills and relationship skills to strengthen interactions.
• Navigating various communication scenarios including media relations (e.g. interview preparation and management) and crisis communication protocols.

Deliverables

• Hold an inception meeting with the Akili Dada procurement team to go through the

Terms of reference and scope of work.

• Develop a course outline and delivery plan for the training and share with the point of contact at Akili Dada for review.
• Develop and disseminate a needs assessment survey before the training and use the results to build on the course outline proposed.
• Facilitate the training sessions and provide guidance on the need of follow-up sessions and/or one-on-one coaching sessions.
• Provide an assessment report after the training outlining the findings and recommendations.
• Support in implementing recommendations.

Qualifications

• The ideal consulting company should possess the following qualifications:
• Extensive experience in Strategic, Corporate and Internal Communications
• Excellent strategic thinking and planning skills.
• Extensive experience in facilitating and training.
• Strong verbal and written communication skills in English, especially the ability to analyze complex information and make it simple and understandable.
• Ability to work independently, with strong time management, planning, and organizational skills, close attention to detail and accuracy, reliability, flexibility, and follow-up.

DELIVERABLES

• Hold an inception meeting with Akili Dada to clarify TORs (Terms of Reference) and understanding of the assignment.
• Share content with Akili Dada for review
• Facilitation of the topic as per area of expertise to Akili Dada Alumnae.
• Submit a report to Akili Dada within one week after the facilitation.
• Provide reading materials to the participants during and after the sessions.

QUALIFICATIONS

• The ideal facilitator should have the following qualifications:
• Extensive knowledge of the chosen area of discussion for the sessions.
• Excellent report writing skills.
• Excellent mode of delivery to the participants, which should be engaging and thoughtprovoking.

• Develop the assignment budget and work plan on how to conduct coaching for Akili Dada staff.
• Hold an inception meeting with Akili Dada staff to go through the Terms of Reference for the assignment; inception report required.
• Facilitated coaching sessions (physically/virtually) for selected Akili Dada staff with practical tools and templates.
• Progress review reports - provide an assessment report outlining findings and recommendations – summarize session outputs and observed gaps.
• Post – Coaching Support - Support in implementing recommendations post the sessions, for a limited follow–up period.

Qualifications

• The ideal consulting company should possess the following qualifications:
• Extensive experience in Project Management Training and Coaching of 5+ years and above especially with NGO’s or social impact organizations.
• Certification in Project Management is added advantage,
• Excellent strategic thinking, interpersonal and planning skills.
• Strong facilitation, coaching, communication, and presentation skills.
• Ability to work independently and to contextualize global project management
• frameworks to local feminist and youth – led organizational contexts.
