    Project Development Intern

    The Project Development Intern (PDI) supports the Project Development Unit to ensure proper grant management by developing quality project progress reports in compliance with donors’ rules. The PDI helps facilitate smooth internal communication and coordination with relevant departments and contributes to Acted external communication strategy. The PDI contributes to fundraising efforts by participating in the development of project proposals in line with Acted’s global and in-country programme strategy.

    Responsibilities:

    Research and analysis

    • Research and analysis of current socio-environmental issues in Kenya
    • Undertake donor research and analysis to increase the understanding of the donor environment in Kenya as well as long-term perspectives and preferences
    • Map and identify network partners to complement Acted’s work in any funding opportunity

    Reporting

    • Participate in and take minutes of meetings for each project
    • Write quality narrative reports, reflecting the progress and status of projects in a transparent, timely and professional manner
    • Work in close relation with the Monitoring and Evaluation Team as well as Finance to incorporate their inputs in reports
    • Ensure implementing partners report to Acted in a timely and qualitative manner as per the requirements of the grant agreement

    Internal and External Coordination

    • File properly contractual project documents both in hard and soft copies
    • Contribute to gathering information and stories from the field for donor engagement
    • Create factsheets to update donors on projects activities and spread information on Acted programming

    Fundraising

    • Update regularly a directory of donors, international and local NGOs, other partners and stakeholders
    • Contribute, when required, to the development of projects proposals in close collaboration with Acted HQ GMU (Grant Management Unit) and finance
    • Perform any other related activities as assigned by immediate supervisor

     Required qualifications and technical competencies:

    • Master’s degree in international development studies, international relations, human rights, environmental studies, migration, or a related field;
    • Fluent English (written and spoken), excellent writing and communication skills;
    • Previous related work experience, with knowledge of reporting
    • Prior work/volunteering experience with an NGO and/or prior experience with international donor-funded projects will be an advantage
    • Knowledge of the local context and/or knowledge of climate change related issues will be an advantage
    • Good team spirit and motivation
    • Ability to work efficiently under pressure and to manage multiple tasks
    • Good organizational and prioritization skills;
    • Proficiency in Microsoft Office

    Monitoring, Evaluation, Accountability & Learning(MEAL) Intern

    The Monitoring, Evaluation, Accountability and Learning Intern is responsible for assisting the Senior MEAL Officer in designing and developing appropriate and viable monitoring, evaluation, accountability and learning systems that are in line with the Acted’s global MEAL procedures and to ensure that Acted’s projects and programs perform as planned.

    General Responsibilities:

    • Support MEAL Team: Assist the Senior MEAL Officer in overseeing MEAL activities across field bases.
    • Filing and Documentation: Maintain a proper filing system for MEAL reports and data. Ensure all documents are easily accessible.
    • Data Review: Review entered data in databases to ensure consistency with Acted’s information management standards. Follow up on any quality control issues.
    • Report Preparation: Assist in the initial drafting and review of MEAL factsheet reports, memos, and other narrative reports. Liaise with field teams to ensure all queries are addressed.
    • Lessons Learned: Support the identification and documentation of lessons learned and best practices.

    Specific Responsibilities:

    • Data Collection: Assist in the development and implementation of data collection tools and methodologies (e.g., surveys, focus group discussions, key informant interviews).
    • Monitoring and Evaluation: Participate in the monitoring and evaluation of ongoing projects, including baseline, mid-term, post-distribution monitoring and endline assessments.
    • Accountability: Contribute to the effective functioning of Acted’ beneficiary complaints and response mechanism.

    Qualifications:

    • Education: Bachelor’s degree in a relevant field (e.g., Social Sciences, Development Studies, Statistics).
    • Skills: Strong analytical and problem-solving skills, proficiency in Microsoft Office (Excel, Word, PowerPoint), and excellent communication skills.
    • Proficiency in data analysis tools such as Excel, R, SPSS, or similar software is required.
      Attention to Detail: Ability to maintain high standards of accuracy in data collection and reporting.
    • Team Player: Ability to work effectively within a team and collaborate with colleagues.
    • Adaptability: Willingness to learn and adapt to new challenges and environments.

    Transparency & Compliance Intern

    The Transparency & Compliance Intern will support the Compliance Department in ensuring adherence to internal policies, donor regulations, and best practices. The intern will assist in maintaining proper documentation, performing risk assessments, and preparing for audits. This role offers hands-on experience in compliance and audit processes.

    Key Responsibilities

    Compliance: FLAT Internal Procedures and Documentation

    • Assist in ensuring adherence to FLAT (Finance, Logistics, Administration, and Transparency) internal procedures.
    • Take part in the compliance review process and ensure that the documentation complies with ACTED's procedures through the following tools:
    • FLA02: on a monthly basis, report any non-compliances, and propose Action plans and areas for improvement if necessary.
    • FLA05: review of invoices and quotes.
    • Check and ensure the completeness of FLAT files on Archive 2.0.

    External Audit Preparation and Follow-Up

    • Assist in reviewing support documents to prepare for external audits.
    • Help identify potential risks in documentation and liaise with the Senior Transparency & Compliance Officer to address them.
    • Support in the implementation of audit recommendations and maintain an organized archive of audit documents.

    Internal Audit Assistance

    • Participate in spot checks and internal audits.
    • Help in preparing audit Terms of Reference and audit checklists as requested.
    • Assist in drafting internal audit reports and following up on recommendations.

    Documentation and Reporting

    • Assist in maintaining and organizing compliance documentation, including FLAT folders and partner files.
    • Help in preparing and updating monthly Compliance Report. (MCR)
    • Support in tracking of audit recommendations and their implementation.

    Implementing Partners

    • At the request of the Senior Transparency and Compliance Officer, Support in undertaking due diligence for new and existing implementing partners.
    • At the request of the Senior Transparency and Compliance Officer, assist in conduct financial reviews and provide quality reports with actionable recommendations to implementing partners.
    • Ensure proper archiving of implementing partner documents with regular follow-ups to ensure completeness.
    • Assist in conducting Quarterly Risk Mitigation Follow ups for Implementing partners.
    • Assist in capacity building and provide support to implementing partners as needed.

    Additional Responsibilities

    • Undertake any other duties as may be requested by the supervisor.

    Key Deliverables

    • Timely and accurate updates of project folders and FLAT documentation.
    • Monthly Compilation of monthly compliance report annexes.
    • Support in ensuring compliance with audit requirements and donor regulations.
    • Quality and timely financial reviews and due diligence reports for implementing partners.
    • Effective communication and collaboration with team members and other departments.

    Qualifications and Competencies

    • Recently completed a degree in Finance, Accounting, Business Administration, or a related field.
    • Strong analytical and organizational skills.
    • Proficiency in Microsoft Office, particularly Excel and Word.
    • Keen attention to detail and ability to work under minimal supervision.
    • Basic knowledge and Interest in compliance, audit, and risk management in the non-profit sector.

    Administration & Logistics Intern

    The primary objective of this internship is to support the organization's administration, logistics and IT functions, ensuring efficient and seamless operations. The intern will also play a key role in organizing meetings, Flight bookings, accommodation as well as contributing to effective collaboration among various Departments.

    Key Responsibilities

    Administrative Support

    • Support travel arrangements, including flight bookings, pick up and drop off, visa processing, and accommodation.
    • Maintain and organize physical and digital filing systems.
    • Assist in preparing reports, presentations, and correspondence.
    • Support the office with general administrative tasks, including scheduling and calendar management, tracking HR documentation, tracking leave and following up on attendance sheets among others.

    Logistics Support

    • Assist in the procurement of goods and services as per organizational policies.
    • Help maintain inventory records and ensuring supplies are restocked as needed.
    • Assist in providing support to staff, addressing issues with hardware, software, and network connectivity.
    • Assist in setting up IT equipment for meetings, workshops, or other events.
    • Help maintain and update the organization's IT asset inventory.

     Support in Arranging for meetings

    • Assist in planning and organizing meetings and various Admin & logistics arrangements
    • Ensure the availability of meeting materials such as presentations, handouts, and equipment.
    • Provide on-site support during meetings, including technical assistance and managing registrations.
    • Document meeting minutes and key action points, ensuring timely follow-up.

    Qualifications and Skills

    • Recently completed a degree in Business Administration, Information Technology, Logistics, or a related field.
    • Strong organizational, time-management and multitasking skills.
    • Proficiency in MS Office Suite and familiarity with IT troubleshooting,IT hardware, Software and networking
    • Excellent communication, interpersonal skills and ability to prioritize tasks
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with collaboration tools (e.g., Google Workspace).
    • Strong attention to detail.
    • A proactive and eager-to-learn attitude.
    • Integrity and commitment to ethical standards.
    • Prior experience in administrative, IT, or logistics tasks (internships or volunteer work) is an added advantage.
