    Human Resource Officer

    Duties & Responsibilities

    • Develop the human resource planning policy and procedures in line with the institution overall policy
    • Advise the BOG on matters relating to Human Resource policies so as to make informed decisions
    • Actas the link between the management and the union through negotiations formulation of agreements such as collective bargaining agreements to ensure smooth Labour relations in the institution
    • Oversee the human resource trainings and development through liaison with other departments to establish human resource needs
    • Supervise variety of administrative service areas including catering, boarding, secretaries , transport to ensure all the operations in the institution are carried out smoothly
    • Oversee the administration of the staff appraisal forms and review the staff annual appraisals reports to monitor staff performance in the institution
    • Advice staff on all aspects of the Human Resource function which include recruitment, training and development, and performance management, to ensure awareness of staff on the expectations of the institution and the benefits and opportunities available to the staff
    • Validate information collected on letters of promotion, probation, appointment to ensure accuracy of data
    • Process all approved staff leaves in line with the leave schedule to ensure no oyerlaps
    • Manage and update the payroll to ensure compliance with the payroll process and government regulations
    • Oversee recruitment and appointment of staff to ensure the institution has the right staffing
    • Handle the staff discipline and grievances issues to ensure that best practice in the management of discipline are instilled in the institution.
    • Review employment and working conditions to ensure legal compliance requirements
    • Provide counselling and guidance services to the staff to promote staff welfare and wellness
    • Monitor the working environment of the staff to ensure health and safety measures are observed
    • Analyze the requirement of the institution to identify gaps and ensure consistent provision of requisite manpower in the institution.
    • Process staff promotions, appointments and transfers as per the approval by the management
    • Monitor the implementation of the training programs to ensure timetiness, cost efficiency and high quality standards
    • Communicate to staff on HR matters relating to separations such as benefits, notice periods to ensure smooth separation of employees in the institution
    •  Maintain the Human Resource Information system and ensure confidentiality of staffs’ personal

    Academic Qualification, Skills and Work Experience

    • Bachelor’s degree in Business Administration (Human Resource Option)/Social Sciences with a
    • Diploma in Human Resource OR Higher Diploma in Human Resource Management from a recognized institution
    • At least 3 years of relevant working experience from reputable institution
    • Must be an active member of THRM.
    • Must be computer Literate.
    • Must be conversant with Employment Act and labour Laws

    Administrative Assistant

    Duties and responsibilities

    • Supervise, mentor and monitor their performance junior secretarial staff and clerical officers.
    • Maintain the diary and appointments/meetings for the Principal to ensure appointments are well planned and timely
    • Organize administration records and correspondence to ensure quick access to required information/ documents
    • Ensure the availability of well-managed office services including cleaning and tidying office to ensure a conducive working environment.
    • Maintain an efficient, smooth and easily accessible filing system to ensure the security of information and to limit access to unauthorized persons
    • Receive telephone calls to. ensure calls are transferred to respective office
    • Maintain security and confidentiality of office records, documents and equipment
    • Manage office protocol and receive incoming calls, and correspondences and act as the link between executive offices, to ensure efficient response time to inquiries
    • Record dictation in shorthand and transcribe it into a written comprehensive form
    • Receive visitors and clients in a professional and courteous manner and direct them to the Principal/Deputy Principal office
    • Undertake correspondence for the principal as requested and as appropriate
    • Maintain an inventory of office equipment and supplies for the Principal and Deputy Principal offices
    • Prepare for committee meetings such as the Council/BOG meetings
    • Control and Manage the hospitality budget
    • Provide input for hospitality budget during the budgeting process

    Academic Qualification and Work Experience

    • Must have completed Single and group stage II, with a pass in the following: CPD 1, Communication Skills I, Office Practice I, Commerce II, Secretarial Il, commerce H, Shorthand

    • One year relevant experience from a reputable institution
