    Human Resource Manager

    The Human Resource Manager is responsible for overseeing the organization's human resource function and ensuring effective management of the employee lifecycle. The role provides strategic and operational HR support across recruitment, onboarding, employee relations, performance management, learning and development, payroll coordination, employee records, and compliance with employment policies and applicable labour requirements.

    PURPOSE OF ROLE

    The purpose of the role is to:

    • Develop and implement effective HR policies, procedures, and practices.
    • Ensure the organization attracts, recruits, and retains suitable employees.
    • Provide effective support throughout the employee lifecycle.
    • Promote positive employee relations and a professional workplace environment.
    • Ensure proper performance management and employee development.
    • Maintain accurate and confidential employee records.
    • Support compliance with employment laws, company policies, and HR best practices.
    • Provide management with accurate HR reports and insights to support decision-making.
    • Strengthen employee engagement, productivity, and organizational culture.

    DUTIES & RESPONSIBILITIES

    HR Planning & Strategy

    • Develop and implement HR plans aligned with the organization's business objectives.
    • Advise management on HR matters, workforce planning, and people-related decisions.
    • Develop and review HR policies, procedures, and employee guidelines.
    • Identify HR needs and recommend appropriate solutions.
    • Monitor HR trends and recommend improvements to existing practices.

    Recruitment & Selection

    • Coordinate the organization's recruitment and selection processes.
    • Develop and review job descriptions and person specifications.
    • Work with department heads to identify staffing requirements.
    • Coordinate job advertising, candidate sourcing, shortlisting, interviews, and selection.
    • Ensure recruitment processes are fair, structured, and properly documented.
    • Coordinate reference and background checks where applicable.
    • Oversee issuance of employment contracts and other onboarding documentation.

    Employee Onboarding & Offboarding

    • Develop and coordinate effective employee onboarding processes.
    • Ensure new employees receive relevant policies, procedures, and company information.
    • Maintain onboarding records and documentation.
    • Monitor probation periods and ensure timely probation reviews.
    • Coordinate employee exits, including resignation, termination, clearance, and exit interviews.
    • Ensure employee records are properly updated throughout the employee lifecycle.

    Employee Relations & Workplace Support

    • Act as a point of contact for employee concerns and workplace matters.
    • Advise management and employees on HR policies and procedures.
    • Handle employee grievances and disciplinary matters in accordance with company procedures and applicable employment requirements.
    • Coordinate disciplinary processes and ensure appropriate documentation is maintained.
    • Promote positive working relationships between employees and management.
    • Support conflict resolution and workplace communication.
    • Maintain confidentiality when handling sensitive employee matters.

    Performance Management

    • Coordinate the organization's performance management process.
    • Support managers in setting employee objectives and performance expectations.
    • Coordinate performance reviews and appraisals.
    • Monitor performance improvement plans where required.
    • Identify performance gaps and recommend appropriate interventions.
    • Support managers in providing regular feedback and employee development opportunities.

    Learning & Development

    • Identify employee training and development needs.
    • Coordinate training programs, workshops, and other learning initiatives.
    • Maintain employee training and development records.
    • Evaluate the effectiveness of training initiatives.
    • Support career development and succession planning initiatives where applicable.

    Payroll, Leave & Employee Benefits Coordination

    • Coordinate with Finance on payroll-related HR information and changes.
    • Maintain accurate employee information required for payroll processing.
    • Monitor employee leave records and attendance.
    • Ensure timely processing and approval of leave requests.
    • Maintain records relating to employee benefits and statutory requirements.
    • Address payroll-related employee queries and coordinate their resolution with Finance.

    HR Records, Reporting & Documentation

    • Maintain accurate, complete, and confidential employee records.
    • Ensure employment contracts, personnel files, leave records, performance records, and other HR documentation are properly maintained.
    • Prepare periodic HR reports for management.
    • Track key HR metrics including headcount, recruitment, turnover, leave, absenteeism, and employee performance.
    • Maintain HR databases and systems.
    • Provide HR information and reports to support management decision-making.

    HR Compliance & Policy Management

    • Ensure HR practices are aligned with applicable employment laws and organizational policies.
    • Review HR policies and procedures regularly and recommend updates where necessary.
    • Maintain proper documentation for employee relations and disciplinary processes.
    • Support internal and external HR audits where required.
    • Keep management informed of relevant HR and employment-related requirements.
    • Promote consistent application of HR policies across the organization.

    Employee Engagement & Organizational Culture

    • Develop initiatives that promote employee engagement and positive workplace culture.
    • Support employee communication and welfare initiatives.
    • Identify employee engagement concerns and recommend appropriate interventions.
    • Promote professional conduct, teamwork, accountability, and respect within the workplace.
    • Support management in building a productive and positive working environment.

    HR Process Improvement

    • Review HR processes and identify areas for improvement.
    • Introduce efficient systems for recruitment, employee records, leave, performance management, and reporting.
    • Leverage HR systems and technology to improve efficiency and data accuracy.
    • Develop and monitor HR trackers, dashboards, and reports.
    • Recommend improvements that enhance employee experience and HR service delivery.

    QUALIFICATIONS

    • Bachelor's degree in Human Resource Management, Business Administration, Industrial/Organizational Psychology, or a related field.
    • Professional qualification in Human Resource Management, such as CHRP, will be an added advantage.
    • At least 4–6 years of progressive experience in Human Resource Management, with experience in a supervisory or managerial capacity.
    • Experience in real estate, property management, construction, or a related industry will be an added advantage.
    • Good knowledge of HR policies, procedures, employee relations, and employment practices.
    • Proficiency in Microsoft Office and HR information systems.

    Front Desk and Tenant Assistant

    The Front Desk & Tenant Assistant is responsible for providing professional front-office support while assisting with day-to-day tenant and property management activities. The role serves as a key point of contact for tenants, visitors, service providers, and other stakeholders, ensuring that enquiries, requests, complaints, and administrative matters are handled promptly and professionally.

    PURPOSE OF ROLE

    The purpose of the role is to:

    • Provide a professional and welcoming front-desk experience for tenants and visitors.
    • Serve as a first point of contact for tenant enquiries and requests.
    • Support effective communication between tenants, property management, and service providers.
    • Receive, record, and follow up on tenant complaints and maintenance requests.
    • Maintain accurate tenant and property-related records.
    • Support day-to-day administrative and property management activities.
    • Ensure tenant concerns are escalated and resolved within the appropriate timelines.
    • Contribute to positive tenant relationships and overall tenant satisfaction.

    DUTIES & RESPONSIBILITIES

    Front Desk & Reception Management

    • Welcome and professionally attend to tenants, visitors, contractors, and other stakeholders.
    • Receive and direct telephone calls, emails, and walk-in enquiries to the relevant person or department.
    • Maintain a professional and organized reception area.
    • Manage incoming and outgoing correspondence and deliveries.
    • Maintain visitor and contractor records where required.
    • Provide accurate information to tenants and visitors within the scope of the role.

    Tenant Support & Customer Service

    • Act as the first point of contact for routine tenant enquiries and requests.
    • Receive and document tenant complaints, concerns, and service requests.
    • Follow up on outstanding tenant issues and provide updates on progress.
    • Escalate unresolved or sensitive matters to the Property Manager or relevant department.
    • Maintain professional and respectful communication with tenants at all times.
    • Assist tenants with general information regarding property procedures, services, and facilities.

    Maintenance & Service Request Coordination

    • Receive and record maintenance and repair requests from tenants.
    • Coordinate with maintenance teams, contractors, and service providers on reported issues.
    • Track outstanding maintenance requests and follow up to ensure timely resolution.
    • Update tenants on the progress of their requests.
    • Maintain records of completed and pending maintenance issues.
    • Escalate urgent property or maintenance matters promptly.

    Tenant Records & Documentation

    • Maintain accurate and up-to-date tenant records and contact information.

    Administrative & Property Management Support

    • Assist the Property Manager with routine administrative tasks.
    • Prepare simple reports, schedules, registers, and tenant communication records.
    • Assist in preparing and distributing tenant notices and general communications.
    • Support coordination of property inspections, meetings, and tenant-related activities.
    • Assist in monitoring common-area issues and reporting them to the relevant team.
    • Support the smooth day-to-day administration of the property.

    Tenant Communication & Engagement

    • Communicate property updates, notices, and relevant information to tenants.
    • Assist in coordinating tenant meetings and communication activities.
    • Maintain professional relationships with tenants and other stakeholders.
    • Identify recurring tenant concerns and bring them to management's attention.
    • Support initiatives aimed at improving tenant experience and service delivery.

    Reporting & Follow-Up

    • Maintain daily records of tenant enquiries, complaints, requests, and resolutions.
    • Prepare regular updates on outstanding tenant issues and maintenance requests.
    • Follow up on pending actions with relevant departments and service providers.
    • Ensure issues are properly documented and closed once resolved.
    • Provide timely updates to the Property Manager on significant tenant matters.

    QUALIFICATIONS

    • Diploma or Bachelor's degree in Business Administration, Real Estate, Property Management, Hospitality, Customer Service, Office Administration, or a related field.
    • 1–2 years of experience in front office, customer service, property management, administration, or a similar role.
    • Experience in a real estate or property management environment will be an added advantage.
    • Proficiency in Microsoft Office, particularly Word and Excel.
    • Experience using property management or customer management systems is an advantage.
