    Receptionist

    Job Description

    • We are seeking a vibrant, organised and tech savvy receptionist to be the welcoming face and voice of Pawa IT Solutions. In this onsite role, you will manage front desk operations, deliver a professional and welcoming experience to clients, candidates and external stakeholders and provide administrative support to internal teams.

    Responsibilities

    Front Desk & Visitor Experience

    • First Impression: Greet clients, candidates and external stakeholders in a warm, professional and welcoming manner.
    • Call Management: Manage the main phone line, screen incoming calls, answer general inquiries and efficiently route complex queries to the correct departments.
    • Visitor Management & Hospitality: Oversee a secure and professional digital visitor sign in process, direct guests to the appropriate meeting rooms, notify internal staff of their arrival and ensure they are comfortable. Support in other hospitality related tasks as applicable.
    • Office Aesthetic: Maintain a tidy, organised and welcoming reception area and shared office spaces.

    Office Administration & Operations

    • Mail & Logistics: Manage all incoming and outgoing mail, courier packages and hardware/peripheral deliveries.
    • Office Supplies Support:  Monitor office supplies and kitchen stock levels and notify the relevant team when replenishment is required.
    • Vendor Support: Assist with basic communication and coordination with office vendors, service providers and building management as required.
    • File Management: Maintain organized digital and physical records and support document filing and retrieval as required.

    Team & Executive Support

    • Meeting Coordination: Manage meeting room bookings and assist with scheduling meetings and appointments as required.
    • Administrative Support: Provide administrative support to various departments, including document filing, basic record keeping and interview coordination when required.
    • Event Logistics: Assist with the coordination and logistical arrangements for company meetings, staff activities and occasional events.
    • Undertake any other duties assigned by management from time to time in support of office operations and business needs.

    Requirements

    • Education: Diploma in Business Administration, Front Office Management, Communications or a related field (or equivalent professional experience).
    • Experience: 1 to 2 years of hands on experience in a Receptionist, Admin Assistant or Office Administrator role. (experience within a tech or fast growing corporate company is a major plus).
    • Tech-Savviness: Good working knowledge of Google Workspace (Gmail, Google Docs, Sheets, Forms and Google Calendar) is required. You should be comfortable learning new digital productivity tools quickly.
    • Communication: Exceptional verbal and written communication skills, paired with professional telephone etiquette. Fluency in English required as 50% of our clientele is non-Kenyan.
    • Organization: Top tier multitasking and time management abilities.
    • Discretion: Strong sense of discretion and confidentiality when handling visitor information, mail and internal records.

    Graphics & Web Designer

    Job Description

    • Pawa IT is seeking a creative, detail oriented and versatile Graphics and Web Designer to join our growing team. In this role, you will be the visual storyteller of our brand, splitting your expertise between stunning graphic design and seamless web user experiences. Reporting directly to the Brand Manager, you will play a pivotal role in shaping Pawa IT’s visual identity across digital, print and web platforms, ensuring all creative outputs align with our strategic brand goals.
    • Team context: The hire shall be part of a wider team that includes a Head of Marketing, Brand Manager and Junior Marketing Associate
    • Brand Foundations: We have established brand guidelines and identity however depending on specific campaigns and launches you shall be required to create collateral from scratch.

    Responsibilities

    Graphic Design & Brand Identity

    • Visual Assets: Create high quality visual content for social media, email marketing campaigns, sales presentations, pitches and digital advertising.
    • Brand Consistency: Assist the Brand Manager in maintaining, evolving and enforcing Pawa IT’s brand guidelines across all company touchpoints.
    • Print & Collateral: Design offline marketing materials including brochures, banners, merchandise and event collateral as required.
    • Multimedia Content: Ideate and produce basic motion graphics, GIFs and short form video elements to boost digital engagement, using tools such as Figma,  CapCut Pro, Canva and Adobe Creative Suite.

    Web Design & Maintenance

    • Web Design: Designing intuitive, user friendly web pages and landing pages that drive conversions.
    • Web Management: Manage, update and maintain the company website(s) — built on WordPress — ensuring optimal performance, visual appeal and up-to-date content.
    • Collaboration: Work closely with the Engineering team to ensure design integrity is maintained during the deployment phase of landing pages, handing off assets via Figma.
    • Optimization: Monitor web analytics alongside the marketing team to continuously iterate and improve user journeys and visual layouts.
    • On-Page SEO: Apply basic on-page SEO best practices (image alt text, page structure, load-speed-conscious design) to support organic visibility of web and landing pages.
    • Accessibility: Design web pages with accessibility best practices (WCAG fundamentals) in mind, ensuring content is usable across devices and assistive technologies.

    Collaboration & Project Management

    • Strategic Alignment: Work hand in hand with the Brand Manager to translate marketing strategies and campaign briefs into impactful visual assets.
    • Asset Management: Organize and maintain a clean, accessible library of design assets, templates and stock photography.
    • Trend Awareness: Stay up to date with the latest design trends, web technologies and tech industry best practices to keep Pawa IT ahead of the curve.

    Requirements

    • Education: Bachelor's degree in Information Technology, Design or related field.
    • Experience: 2-3 years of professional experience in a dual graphics and web design role (Tech or B2B SaaS industry experience is a major plus).
    • Portfolio: A strong portfolio demonstrating a clean aesthetic, robust typography skills, versatile graphic design work and live, responsive web design examples.
    • Design Toolkit: Proficiency in Adobe Creative Suite (Photoshop, Illustrator, InDesign), Canva and Figma.
    • AI Toolkit: Familiarity with AI tools to aid/optimize design workflows (Note: AI-generated imagery is not preferred for visual asset creation).
    • Web Toolkit: Strong working knowledge of Content Management Systems (e.g., WordPress, Webflow) and a solid understanding of HTML/CSS principles (coding skills specifically javascript are a plus, but design/layout mastery is required).
    • Analytics Toolkit: Working familiarity with web analytics tools such as Google Analytics (GA4) or similar, to support data-informed design decisions.
    • Soft Skills: Excellent communication skills, a highly collaborative mindset, and the ability to take constructive feedback from the Brand Manager and stakeholders.
    • Time Management: Ability to manage multiple projects simultaneously and meet tight deadlines in a fast paced environment.
