    Data Entry Clerk - UNTAID

    Job Summary

    Under the guidance of the Strategic Information and Evaluation Officer, the Data Entry Clerk will work to ensure success of the EGPAF Project’s agenda of improving POC EID through continuous quality improvement, data quality assessments, technical assistance and capacity building to EGPAF Project’s technical staff and health care workers at the National, Regional and facility level in support of strategic information activities. S/he will provide support to M&E and data management components within the EGPAF Projects and at the facility level.

    Key Responsibilities

      • Assist the EGPAF UNITAID SI&E Officer to ensure regular, complete, accurate, timely and quality monitoring reports from health facilities (regions) on all required indicators;
      • Work closely with the EGPAF UNITAID SI&E Officer and project technical team to manage all data entry related activities;
      • Work with the Facility staff and Field Support Staff to ensure timely data collection and reporting to EGPAF Country Office;
      • Assist in basic analysis of data and provide timely feedback for decision making;
      • Assist and participate in DQA at supported facilities;
      • Assist and participate in targeted mentorship and supportive supervision on documentation and reporting at supported facilities;
      • Support monthly Regional data review meetings for supported facilities;
      • Participate to any other documentation process of project activities.

    Required Qualifications

    • Bachelors in Biostatics, Health Information Management Systems, IT, Health Records and Information or related field from a recognized institution of higher learning and a certificate in M&E related coursesMinimum of 2 years’ experience on monitoring and evaluation and data management for a HIV program
    • Familiar with national HMIS and NASCOP EID system and reporting requirements
    • Experience in providing on site mentorship to health care workers on HMIS, cohort analysis and other SI related issues
    • Experience in providing support to EMRimplementation at site level
    • Proficiency in computer packages for generating and analysis reports
    • Experience with managing and coordinating teams
    • Ability to work effectively in a busy, high pressure team environment
    • Ability to prioritize workload and demonstrate outcomes on strict deadlines

    Project Officer-PMTCT

    Job Purpose

    To provide technical and logistical support to implementing CBO staff and the Home Visiting Teams within the AIDSFree Project that seeks to support improved health and social outcomes for pregnant adolescents, adolescent mothers and their infants. Specifically, to support early uptake of antenatal care (ANC), of prevention of mother-to-child transmission (PMTCT) for girls who need these services, support adherence to anti-retroviral therapy (ART), and retention in care of mother-baby pairs until the infant is 24 months. The project will work with Home Visiting Teams comprising of two adult (1 female and 1 male) household facilitators, 1 mentor, and their supervisors. These teams will implement a household-centered approach, using a case management model, to deliver services and ensure complete referrals and linkages to health and social services for pregnant adolescent girls, adolescent mothers and their infants.

    Job Summary

    Under the guidance of the Project Manager, the Project Officer will work to ensure achievement of project deliverables within two sub-counties in Kisumu and Homa Bay respectively. The project officer will liaise with the two CBOs (Make Me Smile and Kagwa CBO) in the planning, coordination, and organizing of community mobilization of pregnant adolescent and adolescent mothers. The project officer will directly supervise the community mobilization teams through the 8 HVT Supervisors. He/she will be required to further the EGPAF Project’s agenda of improving quality of integrated HIV services through continuous quality improvement, data quality assessments, technical assistance and capacity building to AIDSFree staff, staff of the implementing CBOs-Make Me Smile and Kagwa CBO, Home Visiting Teams, Health Care Workers and relevant stakeholders Kisumu and Homa Bay Counties. He will provide oversight to M&E and data management components within the AIDSFree Project and at the health facility and community levels.

    Key Responsibilities

      • Ensure compliance in the implementation of the Home Visiting Program and strategies to ensure quality programming by the CBO staff and Home Visiting Teams.
      • Develop and implement detailed implementation plan jointly with the CBO staff and Home Visiting Teams.
      • Work with CBO staff and Home Visiting team to map out community resources for linkage and referrals.
      • Work closely with the Ministry of Education and the school principals to support the implementation of the school school health policy and the school re-admission policy.
      • Collaborate with the Ministry of Education and MoH at the sub-County level and other stakeholders to support project implementation
      • Promote and strengthen the social protection and Do No Harm Standard Procedures.
      • Identify, document and share key lessons learnt during the program lifespan
      • Ensure regular, complete, accurate, timely and quality monitoring reports from CBO staff and HVT supervisors.
      • Provide timely feedback to the Project, County, Sub-county and facilities for decision making
      • Represent the EGPAF/AIDSFree at Sub-County Stakeholder and Technical Working Group meetings
      • Support development and utilization of M&E tools that enhance management and storage of information to ensure integrity, quality and availability.

    Qualification & Experience

    • Degree in Social Sciences or other equivalent degree
    • Must have a minimum of 3 years’ experience in behaviour change communication/health promotion, social protection/child protection, adolescent/youth sexual reproductive health programming or PMTCT Programming. .
    • S/he should have experience in community participation and consultative-type projects.
    • Experience in community system strengthening will be an advantage.
    • Experience with USG and PEPFAR reporting is desirable

    Project/Accounts Assistant

    Job Purpose

    To provide assistant to Finance/Administrative Assistance in administering the finance and administration tasks of EGPAF Field office by providing program/training workshops logistics, accounting and administrative support and in addition, implement administrative procedures to ensure cost effective and timely handling of business administrative issues.

    Key Responsibilities

      • Work towards the achievement of the foundation’s goals efficiently and effectively
      • Work in close collaboration and cooperation with the other project Finance/Admin Assistant staff; Office Administrator and Finance department.
      • Responsible for the day to day logistics of AIDSFRee program trainings/workshops, management/tracking of the Field office program advances and monitoring/audit of sites/facilities suppliers and inventories.
      • Perform other work related duties and responsibilities as may be assigned by the Project Manager.

    Specific Duties And Responsibilities

      • To provide administrative logistics needed for the management of program trainings and workshops.
      • To provide assistance in handling and management of Program staff travel and program advances.
      • To ensure that all financial returns received from the sites/facilities and field staff are complete, accurate and timely.
      • To ensure that there is timely payments for the participants of trainings via cash or m-pesa as the case may apply
      • To maintain updated field advances data tracking spreadsheet.
      • To monitor/audit the use of funds advanced to the CBO partners/sites/facilities.
      • To review and evaluate cash advance request submitted by CBOS and staff.
      • To coordinate the logistics for workshops, seminars and trainings.
      • To facilitate hotel bookings, transportation, logistics and other travel needs for project staff.
      • To provide logistical and clerical support to the program staff as needed.
      • Communicate with program officers on any new developments that might arise when they are out in the field.
      • Support the finance unit by uploading all approved requests on Verian.
      • Receiving invoices from vendors, and subsequently receiving the Purchase order on Verian.
      • Verification of documentation that support invoices (Signed EGPAF Purchase order, Delivery Note, VAT receipt) to ensure completeness, at the delivery point.
      • Deliver the invoices to the finance department, and ensure that the invoice is verified and received on Verian.

    Qualifications 

    • Minimum Diploma in related Business Field or CPA IV or equivalent
    • At least 1 year experience in program administration
    • Well-developed interpersonal skills
    • Strong work ethic and ability and willingness to work long hours
    • Able to work in team settings and willingness to learn
    • Cross-cultural competence as demonstrated by confidence and ability to make relevant presentations to diverse audiences
    • IT Savvy, including accounting soft wares
    • Willingness to travel
