    Logistics Assistant Nairobi

    Reports to: Manager Logistics Compliance & Partners

    Contract Details

    One (1) Year Fixed Term Renewable Contract Subject to Performance and Availability of Funds

    Starting Salary of the Pay Grade – 41,421

    Job Summary

    The incumbent will provide logistics and procurement support in the logistics department

    Main Duties & Responsibilities

    Procurement

    • Printing field documents for approval in Nairobi & scanning back of approved documents to the field locations
    • Photocopying all procurement documents before submitting to finance
    • Updating new SRs on the SR tracker and updating tracker status on request from the procurement officer
    • Filing of procurement and logistics documents
    • Archiving of documents
    • Tracking and monitoring all original invoices from the field for payment
    • Issuing tender documents to vendors on request after tender is announced
    • Coordinating with Finance to print quotes once they are due
    • Liaising with vendors for invoices immediately after service is rendered for goods purchased
    • Updating suppliers list, regularly checking on price validity to produce an updated price list on a regular basis

    Assets / Stores Management

    • Assist in assets verification on a quarterly basis
    • Assist in receiving and dispatching items in the store, working closely with the Senior Logistics Officers in logistics and program staff
    • Liaising with vendors for any discrepancies
    • Assist in updating store records

    Responding To Emergencies

    • Participate and contribute as necessary towards Concern’s Emergency response as and when necessary
    • Comply with Concern’s health, safety and security guidelines during emergencies

    Concern Code of Conduct & Associated Policies

    • To adhere to, support and promote the standards of conduct outlined in the Concern Code of Conduct & its Associated Policies
    • To contribute to the establishment of preventive measures to reduce the potential for abuse in Concern programme (as per P4 section 6).

    Job Specification

    • Diploma in Purchasing and Supplies Management, Operations Management, Information science, or relevant field
    • Professional Certification in procurement and logistics (CIPS)
    • At least one (1) years’ experience in a similar role
    • Proficiency with computers programmes, excel, word, spread sheet
    • Good interpersonal and communication skills
    • Previous experience of working in an International NGO
    • Excellent organizational, interpersonal and communication skill
    • Innovative, team player with an ability to work under pressure
