    Programme Management Assistant [temporary]

    Responsibilities

    This post is located in the Ozone Secretariat at the Nairobi duty station. Under the direct supervision of the Programme Officer (Monitoring and Compliance), the incumbent will be responsible for the following functions:

    • Assisting the Ozone Secretariat by:
    • Compiling, summarizing, and presenting information/data on specific Secretariat and related topics or issues, including on the non-compliance procedure of the Montreal Protocol on Substances that Deplete the Ozone Layer.
    • Reviewing cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval; identifying inconsistencies in recorded expenses vis -à-vis the approved budget.
    • Reviewing budget revisions, ensuring necessary approval and entry in computerized systems.
    • Serving as focal point for administrative coordination for the assigned region to initiate requests, obtain necessary clearances, process and follow-up on, travel arrangements, authorization of payments, disbursement of funds, procurement of equipment and services. including for intergovernmental meetings arranged by the Secretariat, such as the meetings of the Implementation Committee under the non-compliance procedure of the Montreal Protocol on Substances that Deplete the Ozone Layer.
    • Compiling, summarizing and entering data received from the countries on substances as required by the decision of the parties; drafting budget status reports, identifying shortfalls in delivery, budget overruns, and bringing this to the attention of management.
    • Providing support to the Secretariat, including:
    • Drafting correspondence on a variety of issues, including on the non-compliance procedure of the Montreal Protocol on Substances that Deplete the Ozone Layer and preparing and updating periodic reports, preparing briefing notes, graphic and statistical summaries, accounting spreadsheets, responses and communications to Parties and stakeholders.
    • Providing general office assistance; responding to information requests and inquiries; reviewing, logging and routing incoming correspondence; setting up and maintaining files/records; organizing meetings, workshops; handling routine administrative tasks.
    • Data:
    • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
    • Assists with visualizations and updating information material such as web pages or brochures.
    • Performing any other related duties.

    Education

    • High school diploma or equivalent is required.
    • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
    • Successful passing of the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters (UNHQ), Economic Commission for Africa (ECA), Economic and Social Commission for Western Asia (ESCWA), United Nations Office at Geneva (UNOG), United Nations Office at Vienna (UNOV), International Criminal Tribunal for Rwanda (ICTR) or International Criminal Tribunal for the former Yugoslavia (ICTY) may be accepted in lieu of the GGST.
    • The GGST is administered to applicants when required before the administration of a written assessment and/or interview.

    Work Experience

    • A minimum of five (5) years of work experience in administration, finance, accounting or related area is required.
    • Experience with MS Office Suite (Word, Excel, PowerPoint) and related applications is required.
    • Experience with Enterprise Resource Planning (ERP) systems such as Systems and Applications Products (SAP), in processing travel, requisitioning and budgets is desirable.
    • Experience in preparing budgetary inputs, cost estimates and expenditure monitoring is desirable.
    • One (1) year or more of experience in data analytics or related area is desirable.

    Languages

    • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is desirable.
