    Project Administrative Assistant

    This position is responsible for supporting the CGIAR Excellence in Breeding Platform (EiB) /ABI-BR Initiatives team based in Africa. This position will work in coordination with the EiB finance and admin teams in HQ.

    Duties and responsibilities

    • Administrative support to Africa based CGIAR EiB/ABI-BR Initiatives staff and projects.
    • Coordinate all communications with members of the organization, external stakeholders and meeting follow-ups
    • Managing the CGIAR EiB/ABI/BR infrastructure, including procurement of supplies.
    • File correspondence inserts data and maintains records as instructed by senior staff members.
    • Organize and lead all logistics and travels related to meetings/trainings/workshops including visa applications (applications, invitation letters etc.) and accommodation.
    • Preparing for EiB/ABI/BR meetings at regional locations with local CGIAR partners and doing basic budgeting
    • Responsible for coordinating Sabbaticals (staff exchanges) and updating/uploading information to the Learning Management System (LMS)
    • Making payments and keeping a simple account of payments/reimbursements
    • Monitor and review expenses and make sure that they are charged to the correct ICCs.
    • Capture and review of collaborators' expenses
    • Liase with Corporate team in the hiring process of staff and consultants and onboarding
    • Support the CteH digitization and mechanization projects in Africa.

    Education, knowledge and experience

    • Bachelor’s degree in Business administration or diploma professional qualification requiring 2 or more years’ study
    • Knowledge of administrative and/or operating protocols and procedures of research support function.
    • Basic Supervisory skills and experience.
