    Protocol Officer

    Main purpose of job:

    To provide support to the Head of Protocol in the delivery of efficient, effective and timely protocol services for the British High Commission Staff. Processing official documents, correspondence and liaison with the Ministry of Foreign Affairs, National Transport and Safety Authority, Kenya Revenue Authority, Kenya Airports Authority, other Embassies and High Commissions.

    Roles and responsibilities:

    1. Processing of Duty exemptions - PRO 1B forms for personal effects, vehicles and official goods.
    2. Administration of BHC’s diplomatic TIMS Portal
    3. Registration of Private and official vehicles
    4. Obtaining duty calculations for official and private vehicles for departing officers
    5. Processing vehicle disposal Forms PRO1C and liaising with agents for customs processing
    6. Obtaining import permits for medical supplies
    7. Obtaining permanent and temporary airport passes for entitled staff
    8. Raising Purchase Orders through the online FCDO Finance system
    9. Updating MFA diplomatic Corp’s directory
    10. Maintaining upto date record of diplomatic staff on the Ministry of Foreign Affairs IPMIS Portal
    11. Line Management of the Protocol driver
    12. Updating Corporate Services Kenquiry through CS Helpdesk
    13. Leave cover for the Team Leader
    14. Cover for Protocol Assistants
    15. Other Protocol Team Responsibilities:
    16. Accreditation of UK Based staff with the Ministry of Foreign Affairs
    17. Kenya Revenue Authority PIN applications
    18. Processing applications for Diplomatic ID cards
    19. Processing of local driving licenses
    20. Processing of resident permits
    21. Processing third country visas for official travel
    22. .       VAT exemption applications
    23. Resources managed (staff and expenditure):

    1 Protocol Driver

    Essential qualifications, skills and experience  

    1. Experience in Protocol processes through government departments
    2. Experience of delivering high quality customer service
    3. Extensive experience of developing good working relationships with key stakeholders at all levels;
    4. Excellent computer skills (Excellent working knowledge of Microsoft Excel, Word, MS Teams and Outlook);
    5. Good communication skills, attention to detail and initiative.
    6. A flexible approach and good team working skills
