Overview
As an integral support member of the Finance and Administration Department, the Administrative Officer will facilitate smooth day-to-day operations of the department. Under the direction and supervision of the Senior. Manager Finance and Administration, the Administrative Officer will ensure administrative and operational efficiency for organization success. In addition, this employee will serve as the organization’s receptionist.
Responsibilities and Activities
- Reception and Administrative functions
- Manage the Kenya front office, direct all visitors and adhere to front office security and safety procedures.
- Manage incoming and outgoing correspondences coming through the reception, open and date-stamp all general correspondence
- Responsible for monitoring the functioning of fixed telephone lines and extensions and report breakdowns and faulty lines
- Monitoring the correct functioning of the security doors and proper image and condition of the reception area and conference room.
- Receiving and screening all incoming visitors in accordance with CMMB security procedures.
- Receive mail/parcels delivered to the program, record in the mail register and distribute to the appropriate addressees.
- Coordinate collections and delivery of mail/parcels by courier service.
- Prepare internal telephone directory and ensure it is always up to date.

- equipment and other goods required for workshops and meetings
- Support in preparing payment requests for all purchases of goods and services, review and ensure all
- supporting documents including contracts are attached.
- Support in coordinating travel and accommodation for project staff, volunteers and visitors by making
- relevant travel arrangements and hotel bookings.
- Facilitate day-to-day activities such as meetings, conferences, special events and appointments, to include
- making catering/clean up arrangements, facilitating conference calls and setting up presentations.
- Manage taxi requests for staff including processing payments to vendors.Country Director’s Office
- Manage the Country Director’s filling system and ensure prompt retrieval of required documents and information on need basis.
- Timely manage the Country Director’s events/appointments to ensure efficiency and effectiveness in honouring the same.
- Follow up on other miscellaneous duties assigned from time to time by the Country Director.
- Asset Management
- Ensure assets are assigned stock numbers, bar-coded and tagged as per CMMB guidelines.
- Plan for and support the periodic physical inventories of office equipment to ensure accuracy of serial
- numbers, stock descriptions, net total on hand and exact location of property.
- Submit reports on physical inventories to the supervisor on a monthly basis, and reconcile these records
- with the General Ledger.
- Managing and maintaining a comprehensive electronic database of expendable and non-expendable
- property; enter data on all incoming expendable and non-expendable property, acquisitions, disposals,
- transfers, deletions, and corrections.
- Compile records of assets for insurance, ensuring the relevant classes of insurance are obtained for assets
- held, including liaising with the insurers on acquisitions, refunds on disposals and lodging claims on losses.
- Collaborate in the sale of non-expendable property declared surplus or unserviceable and in the destruction of property.
- Maintain records of all assets owned by the Country Office, assignment records to staff and partners,
- sales, donations, destructions and write-offs approved by the Country Director.
- Petty Cash Management
- Manage the petty cash funds in both USD and KSHS currencies as outlined in the policy.
- Ensure the safe provided is always placed in a secure place under lock and key
- Record daily disbursements and cash counts from OCH in the excel worksheets provided.
- Initiate replenishment for the petty cash when it reaches a level of 75% to ensure consistent availability of funds.
IT Support
- Liaise with New York IT department or contracted vendors to ensure that all laptops/computers are to be
- used configured and prepared for use.
- Act as the first point of contact for all staff in any IT related issue.
- Ensure all CMMB new staff, interns and volunteers take IT security training.
- Follow-up with all CMMB staff who have not completed assigned security training within 30 days.
- Ensure all IT policies (existing/new) are posted online (intranet) and follow-up with all CMMB staff to ensure
- they read and sign the policies
- Email envisaged monthly IT newsletter to CMMB staff

You are a nurse with a post-basic Diploma in oncology nursing. You have further acquired oncology nursing competencies to work at both operational and management level in oncology nursing.
Responsibilities
- Participates in cancer prevention and early detection activities.
- Perform comprehensive systemic health assessment on a patient diagnosed with cancer, recognize deviations, and intervene appropriately.
- Order, perform and interpret selected laboratory and diagnostic findings to make sound clinical decisions/ judgment in patient care according to relevant protocols and guidelines.

Overview
You will be part of a team overseeing delivery on the goals of the Cervical and Breast Cancer project which include primary and secondary prevention as well as optimization of utilization of cancer care and treatment services. You will be expected to work directly with communities in creating demand for screening services. You will also work with clinical teams in the health facilities to catalyse access to timely and quality cancer care and treatment. Lastly, the nature of this role will expose you to work with program team and other stakeholders including Ministry of Health teams towards stepped up advocacy and attention to the health of women.
Responsibilities
Support Service Delivery
- Support the overall implementation and day to day operations of the Cervical and Breast cancer project including planning/coordinating, providing technical support and field supervision to the health facility teams in terms of service delivery and capacity development.
- Support in planning, organizing and conducting trainings and capacity building initiatives for all program supported teams including healthcare workers, Community Health Volunteers to support implementation of project activities
- Assist in developing and standardizing programmatic tools and materials including: Standard Operating Procedures; Educational and Training Materials; Program Evaluations and Reports; IEC materials
- Work with the implementing team and Program Manager to plan, construct and manage project budgets.
- Support the beneficiary health facilities to manage equipment, commodities and supplies inventory, ordering, and distribution of supplies.
Monitoring/Evaluation
- Ensure technical rigor of program data collection, management, analysis and reporting. Collaborate with the M&E Officer and Program Manager to ensure that the quality of dashboards and reports – represent and evolve with the project.
- Participate in routine monitoring of mobile clinics and facility visits to identify gaps in quality assurance and ensure program goals are achieved.
- In close collaboration with the CHAMPS Manager and M&E to ensure project related data is collected and utilized to reinforce enhancement of patient management interventions.
- Monitor and evaluate implementation of program activities to identify gaps and challenges that should be taken into account in order to develop and implement more innovative and integrated programming.
- Contribute to the analysis of research data, interpretation of results and writing of manuscripts.
Stakeholder Management
- Work closely with MOH Kitui County Health Department to ensure cooperation as well as integration with county health and development plans, priorities, systems and service delivery structures.
- Liaise with county and national governments, donors, and other operational partners in Kitui via attendance at meetings, Technical Working Groups, consultations, and other forums with the objective of advocacy for Cervical & Breast cancer care identifying and building upon opportunities for collaboration that align with CMMB’s goals.

Responsibilities
Support Direct Service to Patients and Families
- Collaborate with the cancer care team in the identification of cancer patients/families requiring psychosocial services.
- Assess patients’ and families’ psychosocial needs and develops a treatment plan, in conjunction with the patient, family, and health care team, to address those needs and to enhance, promote and maintain optimal psychosocial functioning of the patient and family.
- Help the patient cope with the emotional, psychological, social, and spiritual and functional aspects of cancer and its treatment.
- Promote patient and family empowerment and reinforces a sense of autonomy and self-determination.
- Plan and coordinate interventions, provides counseling services based on accepted best practice standards.
- Communicate plan to interdisciplinary patient care team and evaluates effectiveness of interventions for identified patients and families.

Overview
Reporting to the Global Fund Program Manager, the Logistics Assistant/Driver will be responsible for the safe driving and care of CMMB vehicles and property. He/she will at all times comply with the traffic regulations and the Organizations’ policies and regulations on vehicle Management as well as the Kenya Traffic Act CAP 403, Laws of Kenya.
Responsibilities
Perform Daily, Weekly, Monthly Transport Duties
- Drive CMMB vehicles, and or equipment as shall be assigned by the Supervisor or in a safe and economical manner in conjunction with the regulations in place.
- The Driver is responsible for the routine check-up of the vehicles, routine check-up to include but not limited to oil, brake function, water, lights & tire condition, windshield wipers, etc.
- Confirm availability of vehicle tools and equipment’s before, during and after work.
- The Driver shall always maintain assigned vehicles clean and in good condition, properly for the convenience of the Organizations’ operations.
- The driver shall always stop the engine and electric power of assigned vehicles to save consumption of fuels and the general vehicle engine performance.
- He/she shall ensure compliance with the given directives.
- The Driver shall handover the assigned vehicles by doing a comprehensive handover report before departing for leave.
- Produce weekly records of approved mileage travelled.
- Assists with logistical matters, e.g., deliveries, visa applications, statutory payments, picking up and collecting mail from post office and other errands as assigned.
- Performs other duties as assigned by supervisor.
Ensure safety of the vehicle/passengers/materials.

- Ensure vehicle first aid kit and fire extinguishers and other vehicle safety equipment are available and in good condition.
- He/She shall carry only authorized passengers as per the Organization policies on vehicle management.
- The driver shall strictly observe Traffic Rules and Regulations and maximum speed limit as prescribed by the Traffic Act, Laws of Kenya.
- The driver shall at all times park the vehicles at the designated parking area/secure place with all doors and windows locked, keys kept safely.
- Ensure that all passengers are on safety belts for trips within, and outside Nairobi.
- The driver shall always drive vehicles safely and comfortably and must exercise defensive driving while on the road to prevent accident.
- Reckless driving shall be sufficient ground for the driver's recall and consequently be a cause of disciplinary action.
- He/she shall adhere to Safety and Security regulations/SOPs.
Ensure all vehicles legal documentation or condition is met by the organization.
- Check validity of vehicle insurance covers, road license and Police inspection stickers.
- Ensure the assigned vehicle is serviced as stipulated in the periodic servicing schedules.
- Report license expiry dates to the Supervisor on time to facilitate renewals.
- The Driver shall update vehicles log book particulars by making right entries.
- Clearly indicate in the Drivers’ logbook the amount of fuel taken and location.
Reporting of accidents and incidents.
- Report immediately to the Police and Supervisor; not accepting liability on behalf of Cmmb.
- Present a comprehensive report to the management within 24 hours.
Qualifications
- Minimum of Kenya Certificate of Secondary Education and Valid Driving license class BCE.

- You have significant relevant training or experience in defensive driving.
- You have a valid Certificate of good conduct.
