    Administrative Assistant (CITAM Counselling Centre)

    JOB SUMMARY

    CITAM Seeks to recruit a born-again Christian who is experienced and self-motivated to fill the position of an Administrative Assistant in one of the Counselling centres.  The Administrative Assistant will provide efficient administrative and coordination support to the Counselling Centre to ensure smooth daily operations

    The position reports to the Pastor in Charge of the centre.

    Key duties and responsibilities:   

    • Provide general administrative support including answering calls, scheduling counselling appointments, managing correspondence, and welcoming clients with professionalism, sensitivity and empathy.
    • Support counselling operations by managing appointment calendars, maintaining secure client records, and providing administrative assistance to counsellors and Centre leadership
    • Maintain accurate, secure, and confidential client records in compliance with ethical standards, data protection policies, and counselling best practices.
    • Provide administrative support to counsellors and Counselling Centre leadership, including preparation of correspondence, reports, session documentation, and general office paperwork.
    • Support and coordinate plans for meetings, travel arrangements, accommodation, and unit programs or initiatives.
    • Manage office supplies and consumables, including inventory monitoring, ordering, and administrative requisitions in the Ministry ERP System.
    • Ensure a pleasant and professional office environment that supports client experience and staff comfort.
    • Take minutes and coordinate logistics for counselling centre meetings, case conferences, workshops, and training sessions, ensuring timely communication and follow-up.  
    • Supervise outsourced service providers to maintain quality service delivery in the unit.
    • Coordinate daily operations and regular activities of the Counselling Centre

    Requirements

    Requirements and qualifications  

    • Must be a born-again, mature Christian who conforms to the CITAM statement of faith.
    • A Diploma in Business Administration or Office Management, a certificate in counselling Pyschology or its relevant training is an added advantage
    • Minimum of 4 years’ experience in office management, experience in a counselling centre will be an added advantage
    • Strong organizational skills and attention to detail with multitasking abilities in a fast-paced environment
    • Previous work Experience in a school, a church, counselling centre or a parachurch organization will be an added advantage.
    • High level of integrity, discretion, and attention to detail
    • Excellent communication, organisational and interpersonal skills.

    Counsellor

    Job summary  

    CITAM Seeks to recruit a born-again Christian who is experienced and self-motivated to fill the position of counsellor in one of the Counselling centres.  The Counsellor will provide professional, ethical, and Christ-centred counselling services to individuals, couples, families and groups within the Ministry, and wider community. The role aims to promote emotional, psychological, and spiritual well-being in alignment with biblical principles, professional counselling standards, and Kenyan legal and ethical requirements.

    The position reports to the Pastor in Charge of the centre.

    Key duties and responsibilities 

    • Provide individual, couple, family, and group counselling in line with professional ethics and CITAM’s faith-based approach, including assessment, treatment planning, documentation, follow-up, and referrals where necessary.
    • Maintain accurate, secure, and confidential client records in compliance with counselling ethics, data protection requirements, and CITAM Counselling Ministry policy.
    • Provide crisis intervention within and outside CITAM, making appropriate referrals in accordance with CITAM safeguarding and referral protocols.
    • Integrate biblical principles with evidence-based counselling approaches within the approved scope of practice.
    • Participate in supervision, case reviews, staff meetings, ministry planning sessions, and Counselling Centre platforms and forums.
    • Support church-wide programs, seminars, mental health initiatives, and counselling-related communication with the congregation, including prayer support.
    • Collaborate with pastors, ministry leaders, and approved external professionals in the delivery of counselling services.
    • Motivate and encourage participation in the Counselling Centre, fostering team spirit and ensuring Counselling Centre workers and volunteers are well supported.
    • Adhere strictly to CITAM’s Code of Conduct, Safeguarding Policy, Doctrinal Statement, and HR Manual.
    • Participate in church services and broader ministry activities.

    Requirements

    Core competencies & values

    • Strong counselling, assessment, Communication and documentation skills
    • Ability to work effectively within structured ministry governance and accountability systems while engaging professionally and sensitively with diverse populations and sensitive cases.
    • Respect for confidentiality, boundaries, and safeguarding principlesQualifications  
      • Must be a born-again, mature Christian who conforms to the CITAM statement of faith.
      • Bachelor’s degree in counselling psychology, Psychology, or a related mental health field.
      • A master’s degree in Marriage and Family Therapy will be an added advantage
      • Minimum of 5 years’ experience in counselling experience, preferably in a church, clinical, or community setting.
      • Valid practicing license with the Counsellors and Psychologists Board (CPB)
      • Registration with a reputable counselling professional body (Registration with Kenya Counselling and Psychological Association (KCPA), or Kenya Association of Professional Counsellors (KAPC) will be an added advantage.
