JOB PURPOSE
- To provide administrative and operational support to the Imports & Exports Department by assisting with CMS system data entry, import and export documentation, data verification, filing, tracking and other routine activities.
- The trainee will support the department in managing increased workload arising from the implementation and expansion of the CMS system and growing import/export volumes, while gaining practical exposure to customs clearance and international trade operations.
KEY RESPONSIBILITIES
CMS System & Data Entry
- Assist with basic data entry and updates in the CMS system.
- Input and update import/export information accurately and on time.
- Assist with entering and updating IDF, customs declaration and clearance-related information as instructed.
- Verify information entered into the system against supporting documents.
- Identify missing, inconsistent or incorrect information and escalate to the responsible officer.
- Maintain accurate electronic records and databases.
Import & Export Documentation
- Assist in preparing, organizing and checking import/export documentation.
- Support the team in organizing documents such as:
- Invoices
- Packing lists
- Bills of Lading
- Airway Bills
- IDFs
- Customs entries
- Certificates and permits
- Delivery orders
- Other relevant clearance documents.
- Ensure documents are properly arranged and readily available for reference.
- Assist with scanning, filing and maintaining both electronic and physical records.
Data Verification & Documentation Control
- Cross-check product descriptions, quantities, values and other information against source documents.
- Assist in checking HS codes and applicable tax rates based on information provided by the responsible customs/clearing officer.
- Assist with checking declaration information before submission.
- Support the reconciliation of documents and data after customs declaration.
- Maintain proper records of completed transactions.
Customs Clearance Support
- Assist professional Imports & Exports personnel with routine customs-clearance activities.
- Follow up on assigned documentation and outstanding information.
- Assist in tracking the status of import/export shipments.
- Update shipment trackers and departmental reports.
- Escalate delays, discrepancies or unusual issues to the supervisor.
Shipment Tracking & Reporting
- Maintain daily import/export tracking records.
- Update shipment status and relevant milestones.
- Assist in preparing daily, weekly and monthly reports.
- Monitor outstanding documentation and follow up with relevant internal teams.
- Support the team in maintaining an updated database of ongoing and completed shipments.
General Departmental Support
- Assist with other routine administrative activities within the Imports & Exports Department.
- Support document retrieval during audits and internal reviews.
- Maintain confidentiality of company, supplier, shipment and customs information.
- Perform any other duties reasonably assigned by the supervisor.
QUALIFICATIONS
- Diploma or Bachelor's Degree in Supply Chain Management, Logistics, International Business, Procurement, Business Administration, Customs Administration, Transport & Logistics or a related field.
- Recent graduate or student undertaking relevant studies.
- Basic understanding of imports, exports, logistics or customs processes will be an added advantage.
- Basic computer proficiency, particularly Microsoft Excel and Word.
- Willingness to learn and work with computerized systems such as CMS, ERP or other logistics systems.

JOB PURPOSE
- The Carton Factory Inspector will be responsible for monitoring and inspecting the quality of raw materials, production processes, and finished carton products to ensure that all products meet the required quality standards, specifications, dimensions, and customer requirements.
- The ideal candidate should have hands-on experience working in a carton, corrugated packaging, paper packaging, or related manufacturing factory and should be familiar with carton production processes and common quality defects.
KEY RESPONSIBILITIES
Raw Material Inspection
- Inspect incoming raw materials such as kraft paper, corrugated sheets, inks, adhesives, and other packaging materials.
- Verify materials against approved specifications and samples.
- Identify and report defective or non-conforming materials.
- Maintain accurate records of raw material inspections.
Production Process Inspection
- Conduct regular quality inspections throughout the carton production process.
- Monitor quality during:
- Corrugation
- Printing
- Die-cutting
- Slotting
- Folding
- Gluing
- Stitching
- Packing
- Check dimensions, board quality, printing, colour, alignment, cutting, folding, gluing, stitching, and finishing.
- Identify defects and ensure corrective action is taken promptly.
Finished Product Inspection
- Inspect finished cartons against approved samples, specifications, drawings, and customer requirements.
- Check carton dimensions, strength, appearance, printing quality, joints, folding, and finishing.
- Identify, segregate, and report rejected or non-conforming products.
- Ensure only products meeting the required standards proceed for packing and dispatch.
Quality Control
- Maintain inspection checklists, quality records, and production quality reports.
- Monitor rejection, rework, wastage, and recurring defects.
- Report quality problems to the relevant Production or Quality Supervisor.
- Assist in investigating the root causes of quality problems.
- Follow up on corrective actions to ensure that defects do not recur.
Production Support
- Work closely with machine operators, production supervisors, maintenance, stores, and quality teams.
- Provide timely feedback on quality deviations.
- Support production teams in maintaining consistent product quality.
- Recommend practical improvements to reduce defects, wastage, and rework.
Compliance & Safety
- Follow all company quality procedures and factory safety requirements.
- Ensure inspection activities are conducted safely and professionally.
- Immediately report major quality or safety concerns.
REQUIREMENTS
Education
- KCSE / High School education or equivalent is acceptable.
- A Certificate, Diploma, or Degree in Quality Control, Production, Manufacturing, Packaging Technology, Mechanical Engineering, or a related technical field is preferred.
Experience
- Minimum 2–5 years of relevant hands-on experience in a carton, corrugated packaging, paper packaging, or related factory.
- Direct experience in a carton factory is strongly preferred.
- Candidates with substantial practical carton manufacturing experience may be considered even without a Diploma or Degree.
Technical Skills

Raw Material Inspection

Production Inspection

- Assist with investigation of quality failures and customer complaints.
- Support root-cause analysis and corrective actions.
Equipment & Technical Inspection
- Monitor production equipment and identify conditions that may affect product quality.

PREFERRED CANDIDATE PROFILE
- The ideal candidate should have practical factory-floor experience in adhesive manufacturing, understand the production process and quality requirements, and be capable of identifying deviations in raw materials, production processes, equipment, and finished products.
- Technical education is an advantage, but relevant hands-on industry experience will be given significant consideration.
