    Commercial Data Clerk

    Job summary:

    To ensure the firm’s records are managed, recorded, digitized and easily accessible. To successfully promote the firm’s brand visibility & reputation internally and externally. Achieve your KPIs. Deliver & optimize the Firm’s strategic objectives.

    Proper and timely Order processing, for the local and export market with the aim of placing the customer at the heart of the business for optimal outputs in sales performance.

    Duties and Responsibilities

    • Records Management to ensure accuracy and easy traceability.
    • Set up and maintain databases and file records (in the registry, server &physical file) and Sort and distribute historical Data
    • Provide historical reference by developing and utilizing filing and retrieval systems maintain transcripts; document and maintain evidence.
    • Sort and scan historical data to SharePoint storage (Assets Deployment and retrieval Contracts)
    • Ensuring that Company data is protected and kept confidential. Classifying and indexing records.
    • Destroying or archiving finished data/records. Ensuring that records are easily accessible when (Storage limitation Principal)
    • Ensure all orders and transfers are accurately and effectively processed for the customer.
    • Prepare and submit various weekly and monthly reports for management review.
    • Compile and categorize data used for monthly operational metrics for the proper planning by the business.
    • Embed and enhance controls and compliance culture on the entire End-to-End cycle.
    • Ensure that all orders are delivered On Time In Full and With No Error (OTIFNE). Achieving a target of 100%
    • Circulation of the daily dashboards capturing the generated orders for easy mapping with the actual consignments.
    • Coordination with the Field Logistic Coordinators to ensure that all orders are delivered to the respective customers.
    • Compile and send hourly reports.
    • Do all postings on SAP on customer deliveries.

    KNOWLEDGE, SKILLS AND EXPERIENCE:

    • Diploma
    • Written communication
    • File management and data back-up,
    • E-mail and internet,
    • Documentation and record keeping
    • Presentation preparation and editing (Microsoft PowerPoint) REQUIRED
    • Credit Management Experience
    • Planning and forecasting
    • Problem solving and analytical skills

    Transport Recovery Data Clerk

    DUTIES & RESPONSIBILITIES:

    • Recharge reconciliation
    • Monthly recharges reconciliation with haulers.  Follow up with haulers on responses to recharges shared monthly.
    • Recharge postings
    • Follow up with BTL team in recharges posted to hauler account wrongly month on month.
    • Recharge set off and reporting
    • Share final agreed amounts with transporters with claim lead for set-off/payment
    • Documents retrieval and dispatch
    • Bulk scanning documents for soft copy to share with transporters Historical claims data capture and confirmation
    • Closure on Reconciliations
    • Following up with finance team to ensure recharges are shared to transporters on time for reconciliation
    • Hauler Management
    • Manage daily hauler trucks allocation on dashboard and TMS
    • YEMR and YSTD Management
    • Manage and reduce the Nil truck return and ensure Truck utilization is maintained at the Target KPI for all categories and deliveries.
    • Report writing
    • Daily reporting on truck deliveries and truck availability for loading as per the dashboard requirement
    • Controls Compliance
    • Ensure the laid-out Diageo compliance standard are met.  Audits of the compliance conformance with the haulers
    • Load Outs
    • Delivery time accuracy (Primary and Secondary deliveries).  Manage the total load outs vs the orders and the total returns vs the actual dispatch from distributors.
    • Truck Management
    • Follow up on Truck availability as per the Dashboard allocations and timely exiting of the trucks from site
    • Tier Meeting
    • Run the Transport Tier meetings and prepare all the reports timely for the meetings.

    KNOWLEDGE, SKILLS, AND EXPERIENCE:

    • Bachelors Degree
    • Must have 2 years of continuous work experience in the relevant field. i.e data or transport industry.
    • Presentable with good communication skills
    • Self-Motivated and experience in developing pipeline.
    • Excellent oral and written communication skills, plus a good working knowledge of Microsoft Office
