    Unit Service Cordinator, Adult A&E

    Responsibilities:

    • Update daily census on the computer system and ensures accurate bed allocation and billing class for the patients in the unit.
    • Manage Unit admissions, transfers and discharges, and communicates these movements to the Nurse Manager.
    • Ensure accurate filing of patients’ records such as insurance forms, diagnostic and clinical reports as per hospital policy.
    • Ensure availability of required stationery in the unit and in the nursing stations.
    • Responsible for unit stocks and prompt billing of used consumables, drugs and professional fees after unit procedures.
    • Assist the nurse manager with distribution and collection of Satisfaction Survey Questionnaires and is familiar with the Complaint handling System.
    • Maintains open communication of available beds for admission with patient services staff and duty managers.
    • Maintains physician fee for service book and ensure physicians have signed afterward rounds/procedures.
    • Responds to enquiries by visitors and staff and provides appropriate directions.
    • Alerts nurse manger about dissatisfied clients, incidences and any other unusual occurrences.
    • Ensures patient records are sent to Medical Records Department upon patient discharge.
    • Collaborates with Consulting Clinic staff to make follow up appointments for discharged patients
    • Handles incoming calls and directs them to the appropriate persons.
    • Works closely with security officer of the unit to control visitors

    Requirements:

    • Minimum O ’level Certificate
    • Certificate/experience in Front Office Management.

    Quality Advisor, Quality Department

    Job Summary

    • Support the implementation of quality and patient safety; enforce compliance with the hospital quality program across assigned departments, working together with the unit leadership and to carry out scheduled quality audits, guiding in corrective action formulation and implementation.
    • Support the implementation of utilization management across assigned clinical departments in order to deliver cost effective patient care and address risk.
    • Provide Physician liaison and clinical corporate client support, working closely with care managers.

    Responsibilities

    • Provide support/guidance in the review of relevant policies to conform to the quality and patient safety standards of the hospital
    • Lead the development of Policies and procedures as and where required
    • Support assigned departments in process reengineering to optimize operational efficiency and patient care
    • Guide the interpretation and implementation of developed policies and procedures in the context of the quality and patient safety framework.
    • Constantly involved in the training and communication of quality and patient safety issues and standards/best practice throughout the assigned areas.
    • Review accreditation and regulatory agencies survey /internal quality audit findings and support the development and implementation of corrective/preventive action plans to address non-compliance.
    • Directs and supports the collection, measurement and presentation of data required for monitoring and improving quality and patient safety.
    • Leads the Hospital in conducting Root Cause Analysis (RCA) for sentinel and adverse events
    • Identifies opportunities for continuous quality improvement and supports the implementation of CQI activities in assigned areas.
    • Support departmental leaders in identification of relevant utilization management indicators
    • Support departmental leaders in the collection and application of utilization management data in quality improvement activities
    • Provide timely utilization management outcome reports to the clinical director and clinical departmental leaders to facilitate utilization improvement initiatives.
    • In liaison with the clinical department support persons and departmental leaders, support the creation of wholesome QVRs that incorporate all quality indicators for the department.
    • Train departmental leaders and staff in utilization management data collection.
    • Identify gaps and challenges in timely data collection within the clinical departments and escalate to the clinical director for action.
    • Support the departments in timely updates of the QVRs as set in policy, month by month.
    • Liaise with the hospital statistician to achieve the integration of data in departmental QVRs into an institutional QVR.
    • Coordinate the clinical departments support persons under the guidance of the clinical director for clinical quality data validation.
    • Aggregation and analysis of clinical audit data
    • Continuously audit compliance with the hospital quality and safety program in assigned areas.
    • Coordinate the closure of matters arising from physician feedback for improved physician satisfaction and participation
    • Develop appropriate indicators and targets and regularly report performance.
    • Provide clinical support to Corporate clients via care managers
    • Carry out any other lawful tasks as may be assigned by Quality Director /COS from time to time. 

    Requirements

    • University degree level – preferably with a Master’s Degree, Medical/Clinical qualification preferred.
    • Health Management background would be an added advantage
    • Minimum 3 (three) years’ experience in direct and indirect clinical care activities in a healthcare institution.
    • In-depth understanding of good clinical practice requirements;
    • Have strong experience and knowledge of clinical monitoring functions with knowledge of clinical research. 
    • Excellent problem-solving skills and the ability to manage multiple tasks.
    • Excellent data analytical and presentation skills.
    • Good leadership skills.

    Medical Officer, Outreach Clinic Ruai

    Responsibilities:

    • Review and examine patients consistently by performing such duties as taking case histories, conducting physical examinations, and ordering diagnostic laboratory and radiology studies in compliance with evidence based practice and established protocols.
    • Monitor acute and chronically ill patients’ progress on a regular basis.
    • Initiate discussions with patients and care givers to enable better diagnostic and therapeutic medical care and services.
    • When necessary, carry out privileged and potentially life-saving emergency surgical and medical procedures.

    • Successful completion of at least 2-years post-graduate Internship.
    • Registration by the Kenya Medical Practitioners and Dentists Board
    • Valid Advance Cardiac Life Support (ACLS) Certificate

    Associate, Grants Accountant, AKU Finance

    Key Roles and Responsibilities 

    • Work Closely with the Grants Manager and program staff, to ensure transactions are properly recorded and agree to the grant/contract agreement, while also ensuring sub-recipients/subcontracts costs are correctly captured.
    • Preparation of internal grants reports to be shared with the Principal Investigators.
    • Prepare donor reports as per their specifications and on a timely and accurate basis.
    • Prepare invoices and requests for payments to funding agencies and reconcile grant expenses to funder reports.
    • Ensure donors' compliance requirements are met with perfection.
    • Monitor sub-recipients. Review budgets and reimbursement requests for appropriateness, and ensure sub-recipients follow established administrative and financial policies, procedures, and sound business practices.

    • Ensure that the budgets are prepared, taking into consideration the AKU policies and granting agencies' terms and conditions.
    • Exercise judgement to ensure that all decisions relating to research grant management are made in accordance with relevant rules, legislation, and policies and to check that the university’s best interests are served by the decisions.
    • Building Effective communication strategies with a variety of stakeholders and colleagues to ensure that information exchanges are timely, accurate and useful.
    • Facilitate Internal and external grant financial audit.
    • Provide support documentation and explanations required by Internal and external auditors for grants.
    • Review requisitions raised by the different departments to ensure spending is within the approved budgets.
    • Ensure all requisitions are adequately supported and approved by the department heads.
    • Ensure requisitions are done in a timely manner and charged correctly.
    • Pass Journal Entries in Ledger related to grants.
    • Review Trial Balance of Grants and prepare reports accordingly.
    • Maintain efficient electronic and paper filing systems for financial records and submit required documents to relevant donors.
    • Any other task assigned by management.

    Relevant Experience and Qualifications 

    • Undergraduate degree in Business Administration /Accounting or Finance
    • CPAK/ ACCA qualifications
    • 2-3 years of professional experience in finance and accounting.
    • Prior experience in a granting agency will be an added advantage.
    • Excellent command of MS Excel and MS PowerPoint will be an added advantage.

    Clinical Instructor, School of Nursing and Midwifery

    Job Purpose/Summary

    The clinical instructor is responsible incorporating evidence-based practice into teaching activities at SONAM. The person is responsible for teaching in primarily clinical and laboratory settings (CIME) as well as classroom teaching at the School of Nursing & Midwifery (SONAM). Assists faculty in creating high quality clinical experiences for students as liaison between faculty, clinical sites and Center for Innovation in Medical Education (CIME) laboratory.

    Key Roles and Responsibilities 

    • Coordinates skills lab (CIME) nursing clinical activities and ensures courses get equitable opportunities for lab and simulation usage.
    • Work with course leads to ensure lab requirements for each course is met and ensure all equipment and supplies are available as per learning plans.
    • Work with course leads to prepare CIME related practice modules, skills check forms, software use etc.
    • Work with course leads on skills practice sessions and assessments e.g. OSCE
    • Coordinate with CIME team to ensure students are oriented and facilitated in their clinical skill practice in CIME.
    • Facilitates clinical placements in conjunction with course leads.
    • Facilitates orientation of students to new clinical sites.
    • Ensures all correspondents with clinical sites are completed each semester and permissions for use obtained.
    • Seeks new placement sites as necessary in conjunction with SONAM administrators.
    • Organizes clinical placements scheduling, attendance, and on-site assessments and troubleshoots any placement issues.
    • Ensures all required student documentation is completed as required.
    • Participate clinical site regulator inspections, semester evaluations and recommend as necessary.
    • Utilize innovative and student engaging strategies in teaching and learning of courses as allocated.
    • Ensure course outlines, lesson plans and any other teaching and learning materials are uploaded on the learning management platform e.g., Moodle on a timely manner.
    • Planning and implementing teaching/learning sessions in class and in clinical areas.
    • Preparing lesson plans and maintaining records to monitor student progress, achievement, and attendance. Assist with supervision of undergraduate students.
    • Participate in the development, administration and marking of exams and other assessments.
    • Engage in research in identified areas of interest in clinical practice and teaching / learning.
    • Participate in professional scientific conferences.
    • Publish research findings in peer reviewed journals.
    • Identify an area of clinical practice relevant to expertise and subjects taught.
    • Develop periodic clinical practice objectives to meet learning needs. 
    • Using identified objectives, engage in clinical practice.
    • Maintain a current nursing practice license and basic life support (BLS) certification.
    • Pursue higher academic qualifications as required by the Commission of University Education (CUE).
    • Develop and maintain personal faculty portfolio.
    • Identify and attend continuous development programmes.
    • Participate in faculty and departmental seminars, workshops aimed at building capacity, sharing research outcomes and building interdisciplinary collaboration within and outside the department.

    Relevant Experience and Qualifications 

    • Bachelor’s degree in Nursing/Midwifery and a master’s degree from an accredited and recognized university. 
    • Be registered for a PhD programme or equivalent doctoral programme. 
    • Be registered with the Nursing Council of Kenya and have current licensure.
    • Must have current Basic Life Support (BLS) certification.
    • Should have at least 2 years clinical practice
    • University teaching experience will be an added advantage
    • Should possess excellent communication/interpersonal, organizational, and counselling skills.

    Administrative Officer, Office of the President

    Key Roles and Responsibilities 

    • Responsible for developing the schedule for the President’s visits to Nairobi and the region and providing full administrative and logistical support as required.
    • Coordinating and organizing all meetings for the President/VPHS and Director & Deputy Board Secretary, including developing and circulating agenda and taking minutes and ensuring timely transcription and circulation to meeting attendees.
    • Undertaking active follow-up with entity heads and other management team members on all matters pending resolution for leadership’s attention and decision.

    • Assisting the Director in expanding and strengthening the stakeholder relations portfolio.
    • Effective management of the OP EA front office; reviewing correspondence, prioritizing for the Director's attention, and responding to emails/letters as may be required.
    • Managing office expenses and reimbursements as required.
    • Ensuring up to date hard/soft copy filing systems are in order and well maintained; safe and secure storage of confidential information.
    • Managing stocks of office supplies; ensuring that all machinery and audio-visual equipment in OP EA are functional; keeping track of the assets inventory in line with the asset management policy.
    • Overall management and coordination of regional and international travel for the President/VPHS/Director.

    Relevant Qualifications, Experience, Skills, and Behaviours

    • Bachelor’s Degree (Management, Administration, Communication, or a Social Science). Preference will be given to master’s holders in any of these disciplines. Practical knowledge of Finance, Governance, Project Management, and Risk Management is an added advantage.
    • Computer literacy is mandatory, with experience of applicable software programs – good knowledge of the digital workspace and information and data literacy.
    • 5 years’ experience in an administrative role in a busy executive office, preferably in a multinational organization.
    • Strong interpersonal and public relations skills.
    • Excellent written/verbal communication skills; ability to adapt communication to multiple stakeholders.
    • A team player and ability to relate well with colleagues in multicultural settings.
    • A creative thinker with analytical and problem-solving ability.

    Administrative Assistant (Locum), GSMC

    Job Purpose/Summary 

    The administration assistant works as a key member of the GSMC team in ensuring that all the Academic and administrative deliverables are completed on time and in an effective manner.

    Key Roles and Responsibilities 

    • Assistance with the preparation of GSMC administrative documents such as budget tracking, processing invoices, petty cash management, and initiating low-value procurement of office and academic supplies. ROPs, contracts, PRs, invoices, TOR etc.
