    Field Officers

    Reports to: Study Coordinator.

    Purpose

    1. To support community engagement activities, participant recruitment and retention activities for a research clinic team providing services to young and elderly in the general population.

    Responsibilities

    1. Work with the clinic team to identify and recruit eligible persons for study participation
    2. Identify and support activities aimed at maintaining high retention of study participants
    3. Conduct outreach activities in order to engage eligible participants
    4. Attend and participate in trainings, team/staff meetings, and other events as needed.
    5. Bring to the study teams’ attention any problems, challenges, observed in study activities
    6. Perform other duties as assigned or required.
    7. Education and Professional Training
    8. Diploma in Counseling, Social work, Nursing or Clinical Medicine from a recognized Institution

    Competencies

    1. Basic counseling
    2. Basic IT and social media skills
    3. Knowledge of non-communicable diseases care will be an added advantage
    4. Experience
    5. Minimum of 1 year experience with direct involvement in patient care or outreachespecially in non-communicable diseases clinics /centers
    6. Peer support, outreach and coordination an added advantage
    7. Should be familiar with the Ministry of Health systems
    8. The eligible candidates will be based in Thika with frequent travel to sites within the Central region.

    Receptionist

    Reports to: Study Coordinator.

    JOB PURPOSE

    To ensure that the front office is functioning in an effective and efficient manner

    RESPONSIBILITIES

    1. Maintains cleanliness and order of the front office
    2. Answers telephone and receives visitors and participants
    3. Sorts and distributes incoming mail and deliveries
    4. Delivers items to other departments.
    5. Schedules and reschedules participants
    6. Maintains visitors book and clinic diary
    7. Maintains routine clerical records, logs and data and compiles routine reports
    8. Maintains order and security at the front office by noting incoming and outgoing traffic.
    9. Any other duties assigned by supervisor

    Education and Professional training

    1. Kenya Certificate of Secondary Education or its equivalent qualifications from a recognized institution.
    2. Certificate in Front Office Management.

    Competencies

    1. Good customer service skills
    2. Knowledge of office telephone etiquette
    3. Team player
    4. Highly organized
    5. Working knowledge of IT skills

    Experience

    • Three years’ experience in front office management

    Study Driver

    Reports to: Administrator.

    Job purpose

    To drive organization vehicles and to perform a wide variety of office support and administrative duties in support of the administration department

    Responsibilities

    1. To drive site vehicles carefully at all times and ensure safety of the passengers, other road users, and the assigned vehicle;
    2. To transport participants, staff, visitors and deliveries when required Shipment of study samples to respective laboratories
    3. To ensure high level of professionalism while handling clients
    4. To ensure cleanliness of site vehicles at all times
    5. To perform thorough vehicle inspection before use
    6. Perform minor maintenance of vehicles and reporting all defects
    7. Recording time and mileage logs at all times
    8. To indicate the vehicle fuel and service costs
    9. To ensure all vehicle reports are done and submitted as per scheduled date;
    10. Checking all statutory requirements of all vehicles
    11. Adherence to vehicle maintenance schedules
    12. Proper and prompt reporting of any accident or damage involving site vehicles
    13. To assist in other duties in the office as assigned by the immediate supervisor when not undertaking driving duties

    Education and Professional training

    • Kenya Certificate of Secondary Education or its equivalent qualifications from a
    • recognized institution.
    • Valid and clean driving License classes –A,B,C, and E
    • Basic mechanical or equivalent certification will be an added advantage.

    Experience:

    1. A minimum of two (2) years in a busy institution

    Pharmaceutical Technologist

    Reports to: Pharmacy Lead

    JOB PURPOSE

    To dispense drugs to study participants and manage the Pharmacy under supervision of the pharmacy lead

    RESPONSIBILITIES

    • Dispense drugs to study participants
    • Counsel clients on drugs administration and compliance
    • Order corresponding supplies such as drugs, clinical items and other pharmaceutical items
    • from approved vendor(s) and sponsor organization(s).
    • Maintain drug logs and manage inventory to assure adequate and accurate inventory levels are
    • maintained
    • Prepare pharmacy budget as per the needs of the study protocols
    • Support and promote the safe and ethical use of investigational drugs
    • Develop standard operating procedures for pharmacy management as per study protocols.
    • Issue clinical items to clinicians and counselors
    • Perform other functions as requested by the supervisor

    Education and experience

    • Diploma in Pharmacy/ Pharmaceutical Technology from PPB accredited institution
    • Must be enrolled with the Pharmacy & Poisons Board and in a professional association

    Experience

    • At least three years’ experience
    • Experience working in clinical research setting is an added advantage
    • Experience and knowledge in vaccines and HIV care is an added advantage

    Terms of employment

    Employment is a one year renewable contract with a probation period for the first 3 months. Salary
    is negotiable within the appropriate grade depending on education, experience and demonstrated
    competency.

    Research Assistant

    Reports to: Study Lead.
    Job Purpose: The Research Assistant will be responsible for recruitment and data collection.

    Responsibilities

    1. Ensure all related records and reports are handled and managed in line with the study protocol and the Standard Operation Procedures
    2. Contact study participants as per study protocol and complete relevant study collection tools
    3. Prepare daily report on progress of each study participant contacted and update the study coordinator and field coordinator
    4. Liaise with field coordinator and lead clinician on home visits/trace-ups for study participants
    5. Assist the clinic team complete relevant data collection forms
    6. Provide study team with regular feedback on study activities
    7. Participate in regular team calls and meetings
    8. Other duties and responsibilities as may be assigned

    Requirements

    1. College Diploma in Clinical Medicine, Pharmacy or Nursing field
    2. Ability to work independently and as part of a team
    3. Excellent organizational skills
    4. Good interpersonal skills
    5. Immediate availability

    Terms of Employment

    Employment is on a one year renewable contract with a probation period for the first 3 months.
    Salary is negotiable within the appropriate grade depending on education, experience and demonstrated competency.
