    Project Assistant - Sudan

    Key responsibilities include:

    • Support in setting up systems for comprehensive staff records, project trackers and documentation, together with ACTED HR
    • Help organize travel, accommodation, and logistical arrangements, anticipating operational needs.
    • Coordinate onboarding, orientation, and administrative guidance for new staff.
    • Support with the management of workspace allocation, office resources, and procurement.
    • Serve as the primary interface between REACH Sudan and ACTED Kenya FLAT departments, ensuring timely processing of administrative, HR, and logistical requests.
    • Identify and implement workflow improvements, standardize procedures, and maintain knowledge management systems.
    • Oversee administrative processes for REACH Sudan, document management, and compliance with organizational standards.

    REQUIRED QUALIFICATIONS AND EXPERIENCE

    • Diploma or Bachelor’s degree in Business Administration or related field.
    • At least 1 year of experience in administrative support, logistics or coordination roles (INGO experience an asset).

    • Excellent communication skills in English.

    GIS Officer-Sudan

    GIS ACTIVITIES

    Preparation, conception and production of maps

    • Identify map information needs.
    • Identify and access map information sources.
    • Ensure accurate linkages between spatial databases and assessment data,
    • Ensures that the produced maps meet the requirements of REACH and concerned partners.

    Supervision and monitoring of mapping related data collection

    • Conceptualize methodologies for collecting data in the field, as according to need;
    • Organize and supervise GIS field missions;
    • Monitor accuracy of data collected.
    • Cross check data collected in the field, ensure regular updates and solve eventual discrepancies;

    GIS product conceptualizing

    • Implementation GIS components in approved projects and developing map templates;
    • Contribute to the strategic and programmatic development of the country team

    GIS capacity training

    • Develop internal training for assessment, and where relevant ACTED staff on data management, GIS and mapping

    DATABASE/DATA MANAGEMENT ACTIVITIES

    The REACH GIS Officer will manage the maintenance of database(s) for the consolidation of all assessment-related and GIS data in country. He/she will ensure the capitalization of tools and procedures related to mapping and databases. Furthermore, he/she will support the assessment team in the collection and management of spatial datasets, verification and update of the collected data. He/she will monitor the accuracy of collected data.

    TECHNICAL SUPPORT

    The REACH GIS Specialist will contribute towards the identification and implementation of effective and adapted technical solutions and partnerships. The REACH GIS Specialist will provide technical backstopping of database to GIS/DB team and provide capacity-building to GIS/DB team related to database maintenance and advanced GIS techniques. He/she will also support the collection of spatial datasets and integration with REACH activities. The GIS/Data specialist will also contribute to drafting and implementation of a high-level GIS and Data management strategy.

    RESEARCH DESIGN

    In collaboration with the in-country assessment team, and under the supervision of the GIS Specialist, the Data/GIS Specialist will be responsible for providing support to the design of AGORA. This includes:

    • Mapping and analysing secondary data in coordination with the assessment officer(s);
    • Contributing to the drafting of the assessment ToRs with a specific focus on the analysis plan, and related mapping, as well as data management plan;
    • Supporting the development of qualitative and quantitative data collection tools, ensuring GIS requirements of the assessment are met;
    • In coordination with relevant assessment officer(s), support construction of quantitative sample and qualitative checks.

    RESEARCH IMPLEMENTATION

    Under the supervision of the Senior GIS Officer, in collaboration with the assessment and field teams, the Data/GIS Officer will be asked, to support the implementation of data collection, regarding:

    • Tool design and testing;
    • Training of enumerators for primary data collection and technical support during data collection if needed;
    • Oversight of data collection, in line with agreed TORs, including data quality checks, cleaning, spatial verification and validation as part of daily assessment checks;
    • Ensure that collected data is properly geo-referenced, enabling the production of maps and related products.

    EXTERNAL ENGAGEMENT

    • Promote active use of datasets and research findings by partners and the broader humanitarian community for their decision making.
    • After validation by line manager, present research findings to relevant third parties in order to enhance their use and impact;
    • Ensure that all partner engagement and all external relations are clearly documented and communicated with the line manager and relevant colleagues.
    • More generally, contribute to the creation of a positive image and overall credibility of the organization, notably through the application of IMPACT’s mandate, ethics, values and standpoint with regard to other actors.

    OUTPUT PRODUCTION

    In collaboration with the in-country assessment team and the Report unit at IMPACT HQ (Geneva), the Data/GIS specialist will be responsible for producing and/or overseeing the production of Data/GIS products (datasets, dashboards, maps), which comply with IMPACT’s guidelines. This includes:

    • Ensure that all Data/GIS products are validated by IMPACT HQ before external release;
    • When relevant, in close coordination with IMPACT HQ, support the regular maintenance and update of web GIS products;
    • Liaise with IMPACT HQ on the procurement of UNOSAT services and satellite imagery.

    DATA CONFIDENTIALITY AND PROTECTION

    The GIS Specialist will maintain the strictest confidentiality on all data collected and related processes, ensuring full compliance with IMPACT’s data protection policy and SOPs. He/she will actively take measures to prevent the unauthorized sharing of any information and data belonging to IMPACT and its partners, or collected during his/her assignment with IMPACT.

    EXPERIENCE AND QUALIFICATION

    • Master degree in a relevant discipline (Geography, Geomatics, Computer Science, Computer Engineering, Information Management Systems, Statistics, Mathematics, etc.). Or, Bachelor’s degree in GIS or related discipline with additional relevant work experience;
    • 3 year of experience in GIS/Database/Remote sensing, preferably in humanitarian context;
    • Excellent analytical skills;
    • Proficient knowledge of QGIS/ArcGIS;
    • Experience with cleaning and analysing large datasets required;
    • Strong skills in Excel required;
    • Good understanding of various sampling frameworks;
    • Experience with or willingness to learn on R software;
    • Ability to operate in a cross-cultural environment requiring flexibility;
    • Ability to work independently;
    • Written and spoken fluency in English required;
    • Experience with or willingness to learn: ArcGIS Online environment, FME, Google Earth Engine, OpenStreet Map, R, and/or Tableau;

    Data Officer

    RESPONSIBILITIES

    The Data Officer’s responsibilities include:

    RESEARCH PLANNING

    • Contribute towards the identification and implementation of effective and adapted data management and analysis solutions for IMPACT research in Sudan, in line with IMPACT’s relevant research and data guidelines.
    • Support (as designated by line manager) sampling design, creation and management of data collection tools (ODK or KoBo), training on data cleaning and management techniques, support for data analysis set up (specifically conducted in the R environment).
    • Contribute to draft research ToRs with a specific focus on sampling, data collection tools, the data analysis plan, as well as data management plan;
    • Support the development of qualitative and quantitative data collection tools, ensuring requirements of research cycle/assessment are met;
    • In coordination with relevant assessment and GIS officer(s), support construction of quantitative sample;
    • Keep track of progress and delays of all assigned tasks throughout the research cycle. Ensure that delays or identified problems are reported by writing and orally in a timely manner.

    RESEARCH IMPLEMENTATION

    • When relevant, support the identification and training of enumerators for primary data collection;
    • When relevant, support oversight of data collection, in line with agreed TORs (including their Annexes), including data cleaning processes, checks and data cleaning scripts;
    • In coordination with relevant assessment officer(s), document all changes in data collection that lead to a modification in the agreed TORs, ensuring that the IMPACT CC/CR and IMPACT HQ are informed and agree on the modifications.

    DATA MANAGEMENT, CLEANING AND ANALYSIS

    • Monitor accuracy of data collected in line with IMPACT’s Data Cleaning Minimum Standards Checklist.
    • Manage the analysis pipeline from the point where data has been collected to the products produced. Seek to standardise and automate wherever possible.
    • Cross check data collected in the field, ensure regular updates and solve eventual discrepancies; • Manage, update and deploy monthly questionnaire.
    • Maintain, update and expand R-based systems of data management and analysis for data dissemination and reporting.
    • Serve as focal point for statistical analysis and quantitative reporting on assessments.

    DRAFTING OF PRODUCTS

    • Ensure that all IMPACT analysis products the requirements of IMPACT and concerned partners.
    • In support of the Research Manager or CC/CR, as requested, provide regular communication with IMPACT HQ on progress and deadlines for analysis outputs
    • Ensure the drafting of timely and accurate data and analysis products (such as factsheets, graphics, webmaps, dashboards), which comply with IMPACT’s guidelines.
    • Ensure findings are accurately reported given the data collection and analysis methodology planned in TORs.
    • Ensure that all analysis outputs are validated by IMPACT HQ before external release.
    • When relevant, in close coordination with IMPACT HQ, support the regular maintenance and update of online products.

    PROJECT CYCLE MANAGEMENT

    • Upon request of the line management:
    • For relevant projects, ensure compliance to project cycle management requirements and guidelines at all phases.
    • Before project start, support the organization of a kick off meeting and the availability of key project management documentations to plan the efficient use of assets, financial and human resources;
    • In close coordination with line management, finance and grants colleagues, monitor and regularly update the use of assets, financial and human resources, in full compliance with IMPACT’s guidelines; this includes maintaining an oversight of budget availability and expenditure for assessment activities.
    • Ensure that project deliverables and requirements are tracked, met and complied to;
    • Ensure that any issue in relation to project implementation is reported to the line manager, finance and grants colleagues, and HQ;
    • Ensure that a project completion meeting is held and documented for all relevant projects.
    • Support the line manager, finance and grant colleagues in drafting of relevant project narrative and financial reports.
    • Other tasks as requested by supervisors

    REQUIREMENTS

    • Academic Excellent academic qualifications, preferably including a Master degree in relevant discipline;
    • Research skills Demonstrable experience of data science. Excellent data analysis skills.
    • Software skills Advanced knowledge of R essential, additional knowledge of STATA, Python or equivalent statistical software helpful. Proven knowledge of Microsoft office including Word, Excel, and PowerPoint. Knowledge of ArcGIS an advantage.
    • Years of work experience At least 3 years of relevant working experience. Experience in humanitarian settings highly desirable;
    • Communication/reporting skills Excellent communication and drafting skills for effective reporting;
    • Multi-tasking skills Ability to multitask with tight deadlines, on numerous research cycles;
    • Level of independence Proven ability to work independently;
    • Cross-cultural work environment Ability to operate in a cross-cultural environment requiring flexibility;

    REACH Data Officer

    KEY ROLES AND RESPONSIBILITIES

    • Ensure the drafting of timely and accurate data and analysis products (such as factsheets, graphics, web maps, dashboards), which comply with IMPACT’s guidelines;

    Knowledge sharing and learning processes

    • Provide content and contributes to lessons learned exercises

    Capacity building

    • In coordination with line manager, conduct induction for new staff members, including training in basic technical data processing and analysis competencies
    • Support the REACH GIS Manager in the development and implementation of capacity training plans for data and other team members within the Horn of Africa.
    • Be available to provide regular support and technical backstopping to all teams and units within the country office.

    Internal Coordination

    • Actively participate in regular team meetings.
    • Ensure regular coordination and exchange with relevant colleagues.
    • Engage in the development and implementation of IMPACT’s strategy in Somalia and Kenya.

    Data Confidentiality and Protection

    The Data Officer will maintain the strictest confidentiality on all data collected and related processes, ensuring full compliance with IMPACT’s data protection policy and SOPs. He/she will actively take measures to prevent the unauthorized sharing of any information and data belonging to IMPACT and its partners or collected during his/her assignment with REACH.

    REQUIRED QUALIFICATIONS AND TECHNICAL EXPERTISE

    • Masters’ degree in a relevant discipline (Computer Science, Data Engineering, Information Management Systems, Statistics, Mathematics, etc.). Or, Bachelor’s degree in relevant discipline with relevant work experience;
    • 5 years of experience in Data Science, Statistics, programming or GIS, preferably in a humanitarian context;
    • Excellent analytical skills;
    • Proficient knowledge of R programming language, Python, and other relevant data management software
    • Experience with cleaning and analyzing large datasets required.
    • Ability to design interactive dashboards using Power BI or R Shiny
    • Proficiency in Git/GitHub for collaborative coding and reproducible workflows
    • Ability to build ETL pipelines for cleaning and transforming data efficiently.
    • Ability to apply machine learning techniques for humanitarian data analysis, such as Predictive modeling and Classification and clustering for population segmentation.
    • Strong skills in Excel required;
