    HR Assistant

    The role entails offering technical and administrative human resource services in the HR functions of Recruitment and Staffing, Training, Employee Relations, HR Information and Database administration, Engagement and Welfare, and Insurance, Payroll and Administration. Your key duties and responsibilities will be as follows, but not limited to:

    Your day-to-day responsibilities will include:

    Recruitment and Staffing

    • Receive and maintain a database of job applications by sorting them per positions,
    • Source applications from recruitment companies, and or advertising for positions internally & externally as may be agreed. Administer the available Applicants Tracking System (Workable) in line with best practice, i.e. update all applications accordingly
    • Receive and file as appropriate New Employee Requisition Forms, and enforce usage of this form where it is not submitted by line managers, for necessary recruitment approval
    • Shortlist applications, and call and schedule candidates for interviews, carry out interviews for positions of up to agreed work levels alongside relevant line supervisors & manager
    • Capture and maintain interview notes and reports in required templates
    • Provide interview feedback to candidates as appropriate and timely
    • Execute due diligence on selected candidates, in particular contact minimum 2 previous employers of a candidate, and another minimum 2 personal referees
    • Contact respective education institution to certify the authenticity of college/university education testimonials provided by selected candidate as part of due diligence
    • Create personal files for new employees, have them fill out all necessary personal data forms, and collate all new staff statutory data for payroll
    • Coordinate the ‘Kitting’ of new employees with relevant uniforms, work equipment, tools etc, take a passport photo and process a Name Tag, business cards. Especially ensure that all SCs receive all working tools (coordinate with relevant stakeholders to get this done)
    • Create induction programs and drive induction and onboarding of new candidates as appropriate in conjunction with line managers, track daily progress and undertake induction progress reviews
    • Have appropriate induction record forms signed and filed in new employee files within 1st month of joining
    • Undertake Happy colleague check ins after 1st month, document process and advise feedback to HRO
    • Support and advise on staff retention plans
    • Any other duties that may be assigned within this function

    Learning & Development

    • Liaise with business managers and senior management to create and maintain the training agenda. Maintain the annual training calendar with the support of HRO, take lead role in supporting the coordination of Route 1 training
    • Coordinate scheduled monthly or ad hoc training both external and external as required. Liaise with external training consultants as may be needed.
    • U+ management - make necessary staff updates on U+ by close liaison with regional lead/UK, create Learning Plans and assign learners, track LP completion and regularly update relevant reports to business managers to assure 100% completion rates within timelines
    • Especially set up and ascertain 100% completion of all mandatory and compliance training on or off U+ as shall be rolled out from time to time
    • Support & drive learning on other training platforms as may be required, e.g. LinkedIn
    • Maintain the Training Register file, and collect all training attendance records from the various line departments for filing and capturing in softcopy reporting template
    • Organize, compile and maintain personnel records such as leavers, job changes and new engagements on company HRIS (or Workday where applicable) in line with audit requirements and liaise with regional capability leads for missing information
    • Any other duties that may be assigned within this function

    Performance Management

    • Sales Performance Assessment administration - work with the HRO in support for sales performance management plans
    • TPA administration - work with the HRO in support for performance management plans for service technicians
    • PDR support - work with the HRO in execution of performance development plans, support PDR eligible teams learn, access and create and carry out their PDRs on SPEED within required timelines
    • PIP admin support - support HRO in collating relevant documentation, and in driving compliance to the process of performance improvement plans
    • Any other duties that may be assigned within this function

    Engagement and Welfare

    • Support in coordinating the company staff engagement survey (YVC) when held and in organizing feedback sessions with teams as needful
    • Participate in HR projects/ad hoc (as per direction by HRO)
    • Maintain neatness and updates on all Company noticeboards, and update the Wall of Fame photos as necessary monthly, update company Whatsapp groups with leavers/joiners
    • Any other duties that may be assigned within this function

    Sales Team Leader

    Requirements

    A vacancy has arisen for Sales Team Leader in our Kenya business, to be based in Nairobi

    The purpose of this role is;

    • To provide leadership and focus for Sales colleagues in order to create an effective sales force, achieve or exceed budgeted sales into a new and existing customer base.
    • To achieve and improve on retention levels in the customer base and improve on this trend.
    • To effectively recruit and develop and retain sales talent.
    • Control and manage budgeted and unbudgeted sales expenses.
    • Introduce innovative ways of selling new business.
    • Motivate sales colleagues to achieve high sales targets
    • Ensure that the Branch is staffed appropriately at all times and a bench of sales talent is developed for each territory
    • Communicate job requirements to all sales colleagues, ensure that these basic requirements are met and that sales colleagues are held accountable for their job responsibilities.

    Your day-to-day responsibilities will include:

    • Turnover growth through gross sales, price increases and jobbing revenue, better than budget.
    • Effective management thereby ensuring the development and retention of quality sales colleagues.
    • Inspirational Leadership
    • Be hands-on, ensuring that infield training with all sales colleagues is being implemented on a regular basis to build more effective communication, enabling easy identification of training requirements, needs and shortfalls in the sales colleagues' abilities. Under 6 months - once a week infield assessments to be conducted, over 6 months - twice a month infield assessments to be conducted and 1year plus - monthly assessments to be conducted infield.
    • Accurately identify appropriate action plans to ensure development of all colleagues.
    • Ensure that correct planning takes place so that full territory management is achieved to obtain the best results.
    • Conduct Weekly 1on1 meetings with all sales colleagues to understand development requirements. Analyse measurements to identify individual performance ratios. Use the individual ratios to identify and agree individual training and development needs.
    • Using excellent coaching skills ensures sales colleagues are developed, mentored and developed.
    • Using individual performance ratios, agree to targets and objectives with all reports.
    • Manage activity by identifying areas for training and support through measurement and observation, through infield assessments.
    • Ensure appropriate training is delivered, reviewed and implemented.
    • Ensure accurate management measurement and management of all key activities, ie. customer contact, planning, calls, quotes, sales and value.
    • Assist and be responsible (with the SC’s) for all 1st yr terminations, ensuring 24hr response rate and full and accurate feedback to the business
    • Drive “unpaid since inception” list and assist with financial queries
    • Manage the vehicle fleet ensuring all vehicles are safe and clean at all times - monitoring service schedules and safe driving practise
    • Ensuring all company H&S regulations are adhered to at all times and the “everyone goes home safe” campaign is reinforced continuously
    • Monthly meetings with the regional sales manager, to identify and prepare action plans to effectively address all under performance in the team.
    • Set a strong example for all sales colleagues in areas of personal character, commitment, organizational and selling skills and work habits.
    • Schedule regular effective sales meetings with all sales colleagues to effectively communicate information.
    • Schedule regular weekly training sessions with all sales colleagues, incorporating product knowledge and Sales methodology.
    • Effective preparation of all sales colleagues for annual sales performance assessments, to ensure a high standard is achieved and maintained.
    • Weekly meetings with the branch manager, with feedback sessions on each individual sales colleague to ensure that areas of improvement are identified correctly, pipeline information is discussed and assessed.
    • Weekly forecast meetings are held with branch manager to ensure the quality of pipeline and forecasting information. Accurate sales forecasting through proper understanding of DSP/SOLO and the pipeline document.
    • Drive cross divisional leads
    • Hold monthly branch sales and service meetings where excellence is recognised and celebrated.
    • Hold regular quarterly sales and service meetings to recognise excellence across all divisions.
    • Conducting regular quarterly performance reviews with Sales colleagues to monitor development and career path.
    • Analyse service delivery in constructive communications with Service Manager.
    • Assist sales colleagues with preparation of proposals and presentations to board level.
    • Initiate and coordinate development of action plans to penetrate new markets.
    • Ensure that follow up is completed and effective communication with service takes place.
    • Ensure that effective recruitment and selection is achieved by complying with best practice and the divisional sales recruitment policy.
    • Invest energy and motivation of staff and create a “customer service” culture.
    • Drive all divisional and national reward and recognition schemes.
    • Develop effective communication between the functional management team.
    • Be aware and report any significant changes and competitor activity
