    Accounts Clerk

    Key Responsibilities

    • Verify patient bills to ensure that all items have been corrected and accurately billed for both internal and external services before finalization.
    • Sharing and giving clarity on the bill items to the patient/next of kin as and when requested.
    • Process bills and forward them to prepaid, insurance and direct credit companies.
    • Receive payment by cash, cheques, credit cards, vouchers, or other approved mobile money transfer and issuing of receipts.
    • Develop accounting policies and ensure adherence/compliance.
    • Management of petty cash.
    • Payroll and statutory management.
    • Issue refunds and credits to customers following the due process
    • Post and allocate funds/invoices as required.
    • Carry out departmental reconciliations and submit daily reports.
    • Ensure daily banking of all the collected cash.
    • Participate in departmental budget formulations and reviews.
    • Prepare monthly departmental performance reports.
    • Any other duties as may be assigned.

    Job Requirements

    • Bachelor of Commerce Accounting/Finance or any other relevant qualification.
    • At least CPA part II
    • 2 years of working experience preferably in a similar environment
    • Excellent skills in using Microsoft Office applications.
    • Attention to detail.
    • Must be accountable and reliable.

    Nurses

    Key Responsibilities

    • Ensure a safe operating environment for all; Supervise the cleaning and disinfection of the Hospital, ensure proper handling and storage of medical waste, screening of visitors and patients for infectious illness, proper training and orientation of staff on safety, enforcing the use of PPE, reporting deficiencies and implementing corrective measures.
    • Ensure consulting rooms are efficiently utilized and kept clean & orderly at all times as per defined protocols.
    • Ensure medical equipment and other supplies required are available and in good working condition.
    • Ensure that the emergency trays are well stocked, emergency equipment (laryngoscopy, ECG, Nebulizer, delivery set, etc) are available and in working condition, and emergency drugs and supplies (oxygen, etc) are in good supply.
    • Report any losses, breakages or damages immediately and ensure that replacements are ordered / provided in a timely manner, while maintaining an updated tracker.
    • Assist with queue management and inform the patients of any anticipated delays.
    • Supervise and mentor the Nurse Assistants and ensure that they accurately take and record temp., pulse, resp. and BP and that they can competently interpret and report any abnormalities to the Consultants/Doctors.
    • Manage the Hospital’s triage process, prioritizing care to emergencies and needy cases.
    • Manage the Hospital’s diary- book patients and inform patients of any changes, delays, cancellations or other relevant information.
    • Hospital’s Specialists Clinics and Chronic Care patients follow up; keep an updated list of the special Hospitals/Chronic Care patients, manage their follow up by active call back, defaulter tracing , address or escalate their concerns.
    • Care for inpatients as per TKH nursing protocols and standards, Best practices and by established national and international nursing standards
    • Coordinate the Hospital’s referral and admission processes; booking a bed, arranging for appropriate transport, informing the patient/next of kin on progress and necessities, updating the receiving hospital on material changes in the patient’s condition, coordinating with the admission desk/reception on getting the necessary approvals.
    • Managing and assisting the doctors in running the Ante Natal, Well Baby, Diabetic, Obs/Gynae, VCTT, Review & other Hospitals, per PKMC guidelines.
    • Ensure all reports are availed within the stipulated timings. Ensure statutory compliance of services.
    • Record and report all incidents, and assist the Hospital in implementing Medical Quality QIPs.
    • Assist the Pharm Tech to ensure that all stock movements are entered into the computer, all prescriptions are appropriately charged and with regular stock takes.
    • Ensure billing of all the services offered and the consumables used.
    • Report all incidents as per established policies and implement all QIPs.
    • Any other duty as assigned by the supervisor in line with the job description.

    Job Requirements

    • Diploma or Degree in Nursing from a recognized institution.
    • Registration with the Nursing Council of Kenya and possess a Valid Practice License.
    • Computer literate.
    • Good interpersonal relationship

    Pharmacy In-Charge

    Key Responsibilities

    • Establish and ensure standard procedures are adhered to in order to maintain quality in the delivery of pharmaceutical services.
    • Update the formulary of drugs and supplies in collaboration with clinical staff and Ministry protocols to meet hospital needs.
    • Compile and analyze consumption data to identify patterns of drug usage on a monthly basis to verify drug stock versus usage.
    • Ensure that drugs are ordered and delivered on time and maintain pharmacy inventory by checking pharmaceutical stock to determine stock levels; anticipating needed medications and supplies; placing and expediting orders; verifying receipt; removing outdated drugs.
    • Ensure all dispensed medication is correctly billed to capture revenue.
    • Work with Head Clinician to determine drug needs on a regular basis and monitor stock levels of essential drugs, and manage/rotate stock to minimize expiry.
    • Prepare purchase orders for the procurement of necessary medications, equipment, and supplies from vendors and suppliers.
    • Prepare and compile internal & external reports as required by the management and government agencies.
    • Ensure that pharmacy equipment is kept in good working condition.
    • Ensure prevention of medication errors during dispensing by counter-checking and verifying the prescription on doses, allergies, patient identification, right drug, legibility, and giving clear usage instructions.
    • Ensure timely and accurate entry of invoices into the hospital management system.
    • Participate in multi-disciplinary facility management committees.
    • Any other duty as may be assigned.

    Job Requirements

    • Diploma in Pharmaceutical Technology from a recognized institution.
    • Must be registered and licensed by the Pharmacy & Poisons Board.
    • At least 3 years of experience working in a busy hospital pharmacy.
    • Proven leadership and managerial skills.

    Laboratory Manager

    Key Duties

    Administrative Responsibilities

    • Defining, implementing, and monitoring the accepted standards of performance in quality control, quality assurance, and cost-effectiveness of the laboratory service as well as the actual delivery of those services.
    • Ensure that the laboratory participates effectively in required quality management programs.
    • Provision of effective and efficient administration of the laboratory services, including budget planning and control.
    • Liaise with the Administrator to ensure optimal staff levels including reallocation of staff depending on staffing needs, as well as efficient use of overtimes and locums.
    • Ensure that deserving staff are recognized/rewarded and disciplinary action is undertaken without undue delay and per defined policies.
    • Participate in recruitment and performance management of the laboratory staff.
    • Identify training gaps and liaise with the administrator to facilitate training.
    • Ensure timely and accurate billing of laboratory services.
    • Ensure that all procedures and tests performed by the medical and technical staff are within the scope of education, training, and experience of the relevant staff.
    • Carry out monthly stock takes of lab supplies and submit stock take reports as required.
    • Ensure proper management of stock to avoid expiries and stockouts.
    • Develop laboratory guidelines and procedures and ensure compliance.
    • Ensure client satisfaction through the provision of high-quality services, effective communication, prompt feedback, and escalation of any unresolved issues as required.
    • Participate in multi-disciplinary facility management committees.

    Clinical Responsibilities

    • Monitor all work performed in the laboratory to ascertain that reliable medical data is generated.
    • Ensure data is aggregated and disseminated appropriately to care providers within the acceptable timelines
    • Provide medically useful, accurate information in a timely fashion to support the provision of accurate and reliable medical services to patients, regardless of whether the testing occurs on-site or is referred out to another laboratory.
    • Carry out Kits validation and evaluation to determine diagnostic accuracy, analytical sensitivity and analytical specificity.
    • Ensure that the fridge temperatures and ambient temperature and humidity are charted as required.
    • Review and act on the EQA/IQC reports.
    • Ensure the laboratory operates within the applicable accreditation and regulatory standards.

    Job Requirements

    • A Bachelor’s degree in Medical Laboratory Technology.
    • Registered by the KMLTTB.
    • A minimum of 3 years’ experience in the same position.
    • Excellent managerial skills

    Nurse Manager

    Key Responsibilities:

    • Develop and ensure implementation of nursing guidelines and standard procedures.
    • Provide supervision to all the nursing teams ensuring delivery of professionalized and high-quality nursing services.
    • Delegate assignments and provide supervision for the nursing & support staff in accordance with their level of training.
    • Plan and execute the performance management circle for the nursing team.
    • Review and ensure that nursing care plans are scientific, evidence-based, and address the priority needs of the patients
    • Manage the departmental budget and develop cost containment strategies within the unit.
    • In charge of maintaining and updating the nursing equipment and consumables inventory.
    • Take lead in managing quality improvement and patient safety programs within the facility.
    • Develop infection control initiatives and ensure compliance.
    • Facilitate learning opportunities to ensure personal and professional growth of the departmental staff.
    • Participate in multi-disciplinary facility management committees.
    • Participate in the recruitment of the nursing staff.
    • Play the link between the nursing unit and other departmental heads.
    • Preparation of management reports
    • Any other duties as may be assigned from time to time.

    Job Qualifications & Skills

    • Bachelor’s Degree in Nursing.
    • BLS /ACLS training is a must
    • Training in leadership and management will be an added advantage.
    • Minimum 3 years’ experience in a similar position.
    • Demonstrated knowledge of effective management and supervisory practices
    • Good knowledge of the Kenyan Healthcare system.
    • Proven interpersonal skills
    • Organizational skills
