    Operations Officer - Registration

    Mission 

    • Reporting to the Operations Manager – the Operations officer, will be responsible for running the day-to-day operations of the business unit by taking lead in all business-related projects and providing advisory to clients on all mandatory and statutory obligations related to opening and operating a business in Kenya. 

    Responsibilities 

    • Manage registration procedures for companies; Incorporation, KRA, NSSF, NHIF, NCA, NITA, E-Citizen, etc. 
    • Ensure mandatory payments such as business licenses, annual subscriptions and permits are made to the relevant bodies on a timely basis 
    • Assist the Operations Manager with strategy development and implementation for the business units 
    • Follow-up services to ensure constant high-quality standards 
    • Share weekly updates and final documents to clients via the platform 
    • Provide valuable insight to clients and advise them on best practices e.g. statutory and other mandatory obligations related to their requested services 
    • Suggest new processes to optimise the company’s business and operating models 
    • Managing and updating clients' database and allocated project status on CRM and the platform 
    • Ensure customer satisfaction through excellent customer service 
    • Find new partners and build productive long-lasting business relationships 
    • Remain knowledgeable on services offered and discuss available options 
    • Develop expertise on services offered and contact with related online procedures 
    • Any other related task assigned by the Operations Manager. 

    Profile 

    • Bachelor’s Degree in a Business-related field 
    • Working knowledge of expatriation market dynamics and requirements 
    • Customer service focus and attention to details 
    • Computer use competency (Office 365, Microsoft Teams, CRM, Perfex, etc.) 
    • Good knowledge of Compliance & Registration of Companies procedures in Kenya. 
    • Self-motivated and results-driven personality

    Senior Finance Officer

    • We are seeking to fill our Senior Finance Officer position in Nairobi (KE) with an enthusiastic and autonomous individual, who also has a strong work ethic and a commitment to teamwork. The goal is to contribute to the sustainability and growth of our business across Africa to achieve our long-term success.

    Mission

    • The Senior Finance officer will improve our internal financial procedures, ensure compliance with local administrations and support the company’s growth through error free accounting reports. He/she will play a key role in implementing strategic management policies and defining financial and accounting policy for the company. This role will primarily focus on the financial management of the Kenyan and Uganda offices.

    Responsibilities

    • Providing leadership, direction, and management of the finance team
    • Implement strong internal control systems in the finance department.
    • Review and recommend optimization of accounting systems and procedures.
    • Produce monthly feedback on resources allocation and cost effectiveness.
    • Participate in financial standards setting and in forecast process.
    • Preparation of documents required in end of fiscal year audit.
    • Take a lead in ensuring the annual internal and external audits are conducted smoothly.
    • Ensure all audit recommendations are implemented in subsequent months.
    • Maintain strict compliance with KRA/URA through ensuring strict adherence to all taxation laws.
    • Act as the key point of contact with all our banks and perform all bank agent related roles.
    • Ensure all bills and statutory deductions for ABC EXPAT and clients are paid on time.
    • Track all cash, cheque and online transactions and perform cash and back reconciliations.
    • Ensure transactions are properly recorded on QuickBooks.
    • Prepare weekly, monthly, quarterly & annual financial reports that will help inform management’s decision making.
    • Oversee office petty cash management, held by the finance officer and take joint responsibility of safe cash.
    • Manage annual budget preparation process, supervise expenditure and approve any variances on a monthly basis.
    • Prepare monthly cash flow forecasts for all administrative and project related expenditure to aid in planning.
    • Supervise finance staff on tax audits and tax returns.
    • Verify accounts payable and receivable.
    • Take lead in month-end and year-end close process.
    • Comprehensively analyze overdue invoices and collect debt from clients.
    • Negotiating payoff deadlines and repayment plans with clients.
    • Computer use competency (Office 365, Microsoft Teams, CRM, Perfex, etc.)
    • Provide finance and accounting services for ABC EXPAT Uganda office and assigned clients.
    • Any other mission requested by the CFO/ Managing Director/CEO.

    Profile

    • BS degree or master’s in accounting, Finance or relevant
    • Relevant certification (e.g. CMA/CPA/CFA/ACCA/ICPAK Membership)
    • Proven five years of experience in Finance in international companies.
    • Awareness of accounting and financial regulations in Kenya
    • Thorough knowledge of accounting procedures, WHT returns, VAT returns, P9, ETR Receipts and Payroll management of PAYE, NHIF, NSSF
    • In-depth understanding of Generally Accepted Accounting Principles (GAAP) & International Financial Reporting Standards (IFRS)
    • Familiarity with financial accounting standards across East Africa
    • Experience with iTax systems and the month-end/year-end closing processes.
    • Hands-on experience with accounting software package, QUICKBOOKS, XERO, SAGE etc.
    • Computer use competency (Office 365, Microsoft Teams, CRM, Perfex, etc.)
    • Advanced MS Excel skills including VLOOKUP and pivot tables.
    • Accuracy and strong attention to detail
    • Aptitude for numbers and quantitative skills
    • Adept problem solver and details-oriented decision maker
    • Exceptional communication & presentation skills
    • Detailed oriented, focused & methodical.
    • Proven transformative leadership skills
    • Working knowledge of expatriation market dynamics and requirements
