    Administrator

    Job Purpose: Our client the Embassy of Sweden seeks to recruit an experienced administrator to the Development Cooperation Section, with a strong background in managing agendas as well as booking, planning and organising meetings. The position will also support travel planning and visits and perform other administrative and finance tasks as assigned.

    The work environment is dynamic and characterised by high tempo. Flexibility and ability to quickly adjust to change and new directives is essential.

The Embassy represents and advances Swedish policies, interests and values in political and economic relations, development cooperation, trade and investment promotion and cultural and information matters. It provides consular services to Swedish nationals and migration services to non-nationals.

    Key Roles & Responsibility

    • Provide administrative support to the Head of Cooperation, including scheduling, correspondence, travel arrangements, and logistics.
    • Support in planning and organising meetings, workshops, and events with a strong focus on details and time management.
    • Manage the Head of Cooperation´s calendar, meeting agendas, and document preparation.
    • Preparation of Sections DHL dispatch.
    • Responsible for maintaining the archive in order.
    • Assisting the team with travel logistics.
    • Ensure high-quality, professional communication by editing and proofreading materials, managing social media presence for the Head of Cooperation and the team, and maintaining effective internal and external communication channels.
    • Monitor and follow up on tasks, ensuring timelines are met.
    • Perform other duties as assigned by Head of Cooperation to ensure effective operations.
    • Cooperate with other administrative functions within the Embassy.

    The work environment is dynamic and characterised by high tempo. Flexibility and ability to quickly adjust to change and new directives is essential.

    The above tasks are performed in a team and they are often closely connected and overlapping with other staff in the Section. The work requires close cooperation with all sections at the embassy, as well as with external parties.

    Skills, Qualifications & Experience

    • University degree/diploma in administration or other field related to the post
    • Minimum (3) three years of experience in administrative work.
    • Experience from working as administrator, secretary or personal assistant. Experience from working in context of high pace and with short lead times
    • Good writing skills and strong attention to detail
    • Very good organisational and time management skills and commitment to on-time delivery
    • Strong communication skills, dynamic and proactive approach/working methods.
    • Fluent in English, both written and spoken
    • Strong team working skills; understanding the need to build and maintain contacts and networks
    • Punctual & Responsible
    • Proficiency in basic MS Office programs: Word, Outlook, Excel, Facebook, Instagram. LinkedIn, X etc.

    Sales & Operations Lead – Tours & Travel

    Role Overview

    Our client is a newly established company seeking a highly driven and strategic Sales & Operations Lead to spearhead revenue growth and oversee day-to-day operational excellence. This role sits at the intersection of sales performance, product development, and seamless safari delivery.

    The successful candidate will be responsible for designing compelling safari packages, driving inbound and outbound sales, and ensuring smooth coordination of operations—from client inquiry to trip execution. This is a leadership role requiring both commercial acumen and hands-on operational oversight.

    Key Responsibilities

    Sales Strategy & Revenue Growth

    • Develop and execute sales strategies to drive inbound and outbound safari bookings
    • Design and price competitive safari packages aligned with market demand
    • Identify new markets, partnerships, and distribution channels (agents, OTAs, direct clients)
    • Monitor sales performance, forecasts, and conversion rates to meet revenue targets

    Team Leadership & Performance Management

    • Lead, mentor, and manage a team of sales executives
    • Set clear KPIs, monitor performance, and drive accountability
    • Provide coaching and continuous training to improve sales effectiveness
    • Foster a high-performance, customer-focused culture

    Operations Management

    • Oversee end-to-end safari operations including bookings, logistics, and itinerary execution
    • Coordinate with suppliers (lodges, transport providers, guides) to ensure service quality
    • Ensure operational efficiency, cost control, and timely service delivery
    • Handle escalations and ensure excellent client experience throughout the journey

     Product Development & Customer Experience

    • Create innovative and market-relevant safari packages (luxury, mid-range, budget, niche experiences)
    • Continuously improve offerings based on customer feedback and market trends
    • Ensure exceptional customer experience from inquiry to post-trip follow-up

    Policy Implementation & Process Improvement

    • Implement company policies, procedures, and service standards
    • Establish and optimize internal workflows for sales and operations
    • Ensure compliance with industry regulations and best practices

    Requirements

    • Minimum 5+ years' experience in a sales leadership role, preferably in tours, travel, or hospitality
    • Proven track record in inbound and outbound travel sales
    • Degree or diploma in Tourism Management, Business, or related field
    • Strong leadership skills with experience managing and motivating teams
    • Deep understanding of safari destinations, products, and logistics (East Africa preferred)
    • Excellent communication, negotiation, and relationship management skills
    • High level of adaptability

    • Experience in a start-up or high-growth environment
    • Strong network within the travel trade (agents, DMCs, suppliers)
    • Commercial mindset with ownership of revenue targets
