    Contracting Officer

    Key Responsibilities

    • Ability to understand and read Hotel Rates.
    • Conversant with Tour Plan, Res Request, Granit E and Wetu, Systems.
    • Ability to pay attention to details and ability to read the fine print.
    • Verbally able to communicate/ negotiate rates and deals with suppliers.
    • Ability and expertise to in-put all rates in systems as required.
    • Excellent communication skills.
    • Education in the Tourism Sector with a min experience of 5 years of being a Contracting Officer in Tour Operations.
    • Ability to train users on the above-mentioned systems.

    Minimum qualifications:

    • Bachelors/Diploma in Tours Management.
    • Diploma in Travel & Tourism Management.
    • Knowledge of IT and Data Base administration is an added advantage.

    Tours Manager

    Key Roles & Responsibilities

    • Coordinating Tours Department and ensuring that the department is running smoothly.
    • Making sure all travel arrangements run according to plan and that accommodation, meals and service are satisfactory.
    • Ensuring that travel consultants are delivering all travel-related requirements which are to be carried out in a proficient manner and in accordance with the company’s policy and procedures, and client-specific tours.
    • Guiding Tour Consultants on development of domestic and international packages.
    • Coaching and guiding staff, to ensure optimum performance and high-end services at all times.
    • Bringing in new business to the company by preparing packages for prospective clients, visiting/sourcing clients and groups
    • Ensuring that bookings are made through preferred suppliers wherever possible.
    • The Tours Manager must be familiar with all preferred suppliers, and the applicable commission rates.
    • Designing flexible tour packages to meet the needs of different clients.
    • Welcoming groups of holidaymakers at their starting point and announcing details of travel arrangements and stop-over points.
    • Communicating a range of information on itineraries, destinations and culture.
    • Informing guests of arrival and departure times at each destination on the itinerary and ensuring that all members of the group are back on the coach before departing from each stop.
    • Ensuring that the tours and safaris are running smoothly for individual members of the group.
    • Developing mechanisms to achieve the client’s/group needs/objectives.
    • Tracking budgets and expenses while providing activity/statistical summary reports.
    • Liaising with hotels, coach companies, restaurants and other clients.
    • Advising about facilities, such as sights, restaurants and shops, at each destination.
    • Arranging for clients transportation from the airport to the hotel or from one hotel to another both locally and internationally.

    Qualifications and Experience required

    • Degree in a related Tourism or Business-related field.
    • 3-5 years and above experience as a Tour Manager in a Tours and Travel company.

    Tours Consultant

    Key Roles & Responsibilities

    • Preparing and translating itineraries to clients for the various destinations of interest and making sure that all travel arrangements run according to the program.
    • Preparing itineraries to the various destinations of interest.
    • Responding to inquiries regarding hotels and safaris within 24hrs.
    • Ensuring that tours quotations are competitive inclusions, exclusions as well as terms and conditions of a quotation should be highlighted to reduce disputes with clients.
    • Ensuring payment for each tour booking is received in advance or proper authorization is received from a potential guest prior to credit sale.
    • Creating contact with hotels, car hire, sightseeing attraction and other service providers for best competitive contract rates.
    • Ensuring bookings that do not mature are cancelled in time to avoid cancellation penalties especially for hotels.
    • Exploring and identifying new business opportunities.
    • Creating and selling innovative tour packages to meet market demand
    • Doing tour bookings – both inbound and outbound.
    • Making follow-ups for tour quotations.
    • Researching, developing and creating interesting tour packages to clients to meet market demand.
    • Accompanying travel groups if need be.

    Reservations Consultant

    Key Roles & Responsibilities

    • Dealing with all travel enquires via telephone, the internet, and e-mail.
    • Assisting and advising customers who may be choosing from a variety of travel options.
    • Booking reservations for the client for air, travel, hotel, safari tours and car rentals, and following up with the client when necessary to secure the reservation.
    • Matching the correct Product/Package with the client.
    • Checking availability of Products/Packages with suppliers, holding reservations, and then responding promptly to the client with various options.
    • Making reservations for customers based on their various requirements and budgetary allowances.
    • Checking the availability of accommodation or transportation on the customers’ desired travel dates.
    • Helping plan travel itineraries by suggesting local tourist attractions and places of interest.
    • Processing payments and sending confirmation details to customers.
    • Sorting out any issues that may arise with bookings or reservations.
    • Selling and promoting reservation services.
    • Answering any questions customers might have about the reservation process.
    • Up-selling, when appropriate, by informing customers of additional services or special packages, such as tour tickets, travel insurance, or upgraded seats/accommodations.
    • Providing support to customers who may need to amend or cancel a reservation.
    • Maintaining and promoting professional and courteous client relations by being prompt and accurate in communications.
    • Following up with clients on completion of their trip for feedback on the experience.
    • It is a Reservation Consultants duty to remain informed of all industry rules, processes and regulations.
    • Selling mid-range products/packages like self-catering accommodation, hotels, car rentals, nature reserves, national parks, guest houses and day trips.
    • Sell mostly single and straight forward products/packages but still have basic understanding on how to combine two products with transfers/flights/car hire
    • Up-selling and offering alternatives.
    • Demonstrating professional customer service skills
    • Maintain excellent business to business relationships.

    Qualifications and Experience required

    • Degree in a related Tourism or Business-related field.
    • 3-5 years and above experience as a Tour Manager in a Tours and Travel company.

    Core Competence:

    • Sales driven - Sales ability potential.
    • Ability to handle high volume enquiries.
    • Good level of understanding of touristic geographical locations as a whole.
    • Confidence in selling products/packages within multiple regions within the country.
    • Very good product knowledge and basic logistical understanding.
    • Some personal and educational travel to destinations and regions within Kenya.
