    Freight Forwarding Operations Supervisor - Declaration M/F

    Mission Description

    Acknowledge Receipt & Pre-Declaration Review

    • Acknowledge receipt of full sets of documents/files from IFFOS Operators.
    • Confirm the validity and completeness of clearance documents (pre-declaration check).
    • Allocate files to declarants for timely entry submission.
    • Liaise with the Team Leader, IFFOS Operators, and Operations Supervisor to confirm the appropriateness of documents and request any missing or additional information.
    • Ensure declarants carry out accurate and timely declarations in the iCMS system.
    • Ensure entries are updated in SPOT and WAY.
    • All PGA-CDs must be submitted in the TFP system in a timely manner. Once entries are paid, confirm that KEBS-CD and all other PA-CDs are fully submitted in TFP and shared with the team for clearance processing.

    Customs Entry Lodgment & Work Distribution

    • Lodge customs entries in the iCMS system.
    • Ensure fair and balanced allocation of files among declarants.
    • Ensure each declarant meets the daily KPI target of 100 lines per day.

    Continuous Monitoring & Follow-Up

    • Ensure declarants constantly check TFP and iCMS systems to monitor passing entries and permit approvals.
    • Promptly respond to any rejected entries or permits.
    • Escalate issues for support when necessary to avoid delays

    Support & Coordination

    • Support the Team Leader, Supervisor, and Port Operators with any inquiries or customs rejections.
    • Provide clarification and guidance on customs documentation, duties, requirements, and regulations.

    Query Resolution & Escalation

    • Handle customs queries in coordination with the Supervisor.
    • Escalate unresolved issues to the Managers within 24 hours.
    • Make physical interventions at relevant offices/ports where necessary to ensure resolution.

    Reporting & Monitoring

    • Share the Job Allocation Report daily.
    • Ensure each declarant submits their Daily Activity Report without fail.

    Duty and Tax Projection

    • Perform duty and other tax projections accurately and in a timely manner to support smooth entry processing and planning& bond projection

    Profile

    • Diploma in C & F or related field
    • ICMS training
    • East African Freight Forwarding Practicing Certificate will be an added advantage.
    • 5 years' experience in a busy logistics'/ freight forwarding industry.

    Operations Controller M/F

    Mission Description

    • Supervise Fleet Planners to ensure effective daily planning, vehicle allocation, and timely dispatch of transport operations.
    • Coordinate daily transport activities to ensure planned trips are executed efficiently while achieving operational KPIs.
    • Monitor fleet utilization, vehicle availability, and driver productivity to maximize operational efficiency.
    • Review transport schedules and make adjustments based on operational priorities, customer requirements, and fleet availability.

    Fuel & Telematics Administrator M/F

    KEY RESPONSIBILITIES

    • Monitor daily fuel consumption by vehicle, driver, and route to ensure compliance with approved fuel consumption benchmarks.
    • Reconcile fuel transactions against telematics and GPS data, identifying and investigating fuel losses, anomalies, or discrepancies.
    • Maintain accurate fuel records and prepare daily, weekly, and monthly fuel consumption reports.
    • Support implementation of fuel efficiency initiatives and monitor improvements against established KPIs.

    Cost Controller & Reporting M/F

    KEY RESPONSIBILITIES
    Operational Cost Control

    • Monitor daily transport operating costs, including fuel, maintenance, tyres, repairs, tolls, driver expenses, detention, demurrage, and subcontractor costs.
    • Review transport costs against approved budgets and identify cost variances.
    • Investigate abnormal operational expenses and recommend corrective actions.
    • Ensure all operational costs are accurately allocated to the respective trips, customers, or business units.
    • Monitor vehicle operating cost per kilometre and per trip.

    Financial Performance Monitoring

    Shipping Clerk M/F

    Key Responsibilities

    • Coordinate shipping documentation to support efficient transport operations for Container Operations.
    • Prepare, verify, and maintain transport documents, including Delivery Orders (DOs), Container Interchange Receipts (CIRs), Equipment Interchange Receipts (EIRs), waybills, transport manifests, gate passes, and Proofs of Delivery (PODs).
    • Manage container interchange activities, ensuring the timely collection, delivery, and return of containers in compliance with shipping line, depot, port, customer, and company requirements.

    RCN Generations/Driver Allowance Clerk M/F

    Key Responsibilities

    • Receive, verify, and process driver allowance claims and supporting documentation.
