    Driver

     Ref: SNP/04/12/16

    Job Purpose Drive college vehicles, to transport staff and students between college sites against a scheduled timetable and if necessary, on an ad hoc basis for educational and business visits among other duties.

    Main Duties and Responsibilities:


    1. To be responsible for transporting staff and students between college sites.
    2. To be aware of health and safety policies and requirements for students, staff. Provide first aid assistance during the hours that the college is open and assist management during any emergency evacuation, ensuring that roadways are clear so that health and safety policies are complied with.
    3. To carry out vehicles/bus checking process prior to each use.
    4. To maintain the vehicles/ bus on a daily basis, ensuring the vehicle is kept clean for use prior to each trip.
    5. To survey and carry out safety checks of all vehicles and report condition.
    6. Report any mechanical defects that render the vehicle unsafe to drive immediately.
    7. Monitor the college buildings and car parks as required, reporting any theft, graffiti and abuse of college property to administration so that a safe , secure, clean and comfortable environment is maintained for staff and students on a day to day basis.
    8. Undertake occasional general driving duties such as moving and setting up furniture and equipment ,reading utility meters , emergency cleaning , changing light tubes, periodic cleaning of carpets/windows to facilitate the smooth operation of the college.
    9. Assist with receiving, sorting and distributing goods and mail to all the college arrears so that an efficient service is provided at all times.
    10. Undertake any other duties commensurate with the grade for the post as requested by Chief Principal.

    Person Specification
    Essential Qualifications:

    • Full clean driving license
    • Recent vehicle/ bus driving test
    • Minimum level in literacy, numeracy and IT skills
    • First aid certificate, or working towards a one within six months of appointment.

    Essential Experience

    • Bus driving experience
    • Knowledge of relevant health and safety requirements and reporting processes.

    Desirable experience

    • Relevant health and safety training including fire safety
    • Experience of operating in a similar environment, ideally with young people.

    Skills and qualities

    • A professional, friendly approachable and outgoing person who will work well with both students and staff
    • Calm temperament
    • Ability to work flexibly with regard to duties and working hours
    • Good communication and interpersonal skills

    Internal Auditor

    Job Summary

    Assisting the Polytechnic completing audits and reviews of processes, procedures and methodologies; leading, developing and monitoring internal controls; conducting audits of internal funds; evaluating the degree of internal control exercised by each person and providing updated procedures for the polytechnic.

    Essential Duties

         • Developing and managing an effective audit process by assisting team with the use of accounting software both activity and college systems for the purpose of ensuring                 compliance with government guidelines.
         • Audits a variety of internal activities and/or procedures for the purpose of ensuring compliance with prescribed auditing standards, detecting issues occurring so proper                 resolution can be determined.
         • Collaborates with other staff members, college staff, independent audit staff, state agencies, etc. for the purpose of responding to questions with audits and/or preparing               work aids, manuals, policies and procedures for use by college personnel.
         • Coordinates the data processing system with financial data for the purpose of ensuring system is operating efficiently, effectively and accurately.
         • Participates in a variety of meeting for the purpose of conveying and/or gathering information required to perform functions.
         • Prepares a variety of reports, documents and other written materials (e.g. concise statistical, analytical reports, monthly travel report to Board, detailed audit findings,                   reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
         • Prepares payroll reports and invoices for college and other groups utilizing transportation services for the purpose of ensuring compliance with accounting policies and                   procedures.
         • Responds to inquiries from a variety of sources (e.g. staff, auditors, government agencies, etc.) for the purpose of providing information or direction related to polytechnic            accounting issues and clarification as needed.
         • Reviews Polytechnic internal processes and controls (e.g. travel reimbursement related issues, waiver reimbursement requests, college accounting manual, etc.) for the                 purpose of ensuring financial information is properly processed, reported, and safeguarded.
         • Performs other related duties as assigned by the Chief Principal for the purpose of ensuring the efficient and effective functioning of the work unit.

    Key Qualifications

        a) CPA (K) or its recognized equivalent
        b) A bachelor’s degree in Commerce, accounting or Finance or any other related discipline.
        c) At least five (5) years experience in an equivalent position in a busy educational institution and demonstrate outstanding professional competence.
        d) Ability to perform principles and practices of accounting and auditing including general ledger debit, credit, journal entries and audit procedures.
        e) Computer literacy in the relevant packages
        f) High level of integrity.
        g) Member of a relevant professional body.

    Estates Manager

    Ref: SNP/02/12/16 – Re-advertisement

    Job Purpose: To support the Polytechnic in the co-ordination of the Facilities function and effective running of the Estates office. Promote and develop an environmentally sustainable culture throughout the College.

    Key Responsibilities


        a) To assist in allocation of maintenance work between the maintenance team and outside contractors to maximum efficiency and best value.
        b) Manage facility, allocating requests to the Estates staff. Monitor the work distribution, quality and timely completion of jobs requested.
        c) To assist the Principal in refurbishment projects and supervision of work underway.
        d) Preparation of documents and enquiries and organizing meetings as required.
        e) To assist in the preparation of the budget and monitor costs throughout the year.
        f) Ensuring the general adherence to Health and Safety legislation.
        g) To liaise with the Cleaning Team Leaders to ensure the smooth running of the cleaning schedules during term time and in the closure periods.
        h) To undertake audits on energy use, suggest and implement improvements. To monitor and arrange waste management, including hazardous waste management in line with         government legislation and targets.
    Carry out such duties within the general scope of the post, which may be assigned from time to time.

    Knowledge and Experience

    • The job holder is expected to remain on the forefront of emerging industry practices applying the breadth and depth of their experience to act as a specialist point of reference on all aspects of across estate management and maintenance agenda of the Polytechnic.

    Requirements: 

    • A Diploma in Building construction and any other related field. The ideal candidate should have a minimum of three (3) years relevant experience. S/he should have analysis skills, excellent interpersonal and written communication skills, a self starter with the ability to plan and perform quality work without supervision.

    Chief Finance Officer

    JOB SUMMARY


    Under direction of the Chief Principal, will be responsible for a wide range of accounting duties in the analysis, preparation and maintenance of financial records and reports,budgetary control and management to ensure effective and efficient utilization of resources in line with Government financial management policies and procedures.

    SPECIFIC DUTIES

       1. Coordinating developing of budgetary planning, reviews and information to other departments.
       2. Coordinates and oversees internal and external audit of College accounting records, financial statements and funds from the ministry.
       3. Provides leadership, Plans ,organizes, supervises and evaluates the work of finance staff
       4. Ensuring compliance with Government financial regulations.
       5. Prepares comprehensive college financial statements and reports, presenting quarterly and periodic reports to the Board
       6. Conducts special projects expenditure analysis and reports
       7. Establishes and maintains internal control procedures and ensures that accounting standards are met.
       8. Forecast cash flow positions and ensure sufficient funds are available to meet ongoing operational requirements.

    QUALIFICATIONS

      a) CPA (K) or its recognized equivalent
      b) A bachelor’s degree in Commerce, accounting or Finance or any other related discipline.
      c) At least five (3) years experience in an equivalent position in a busy educational institution and demonstrate outstanding professional competence.
      d) Masters in relevant field is an added advantage
      e) Ability to perform principles and practices of accounting and auditing
      f) Posses excellent Communication, supervision and negotiation skills..
      g) Be a team player
      h) Computer literacy in the relevant packages
      i) High level of integrity.
      j) Member of a relevant professional body.
