In this position, the incumbent will have an opportunity to acquire skills and knowledge in the following areas:
Gain valuable experience while being part of a world class shipping Company
Provide Customer service front desk and administrative responsibilities as first point of contact for both internal and external customers. Receiving guest at the reception as per SOP
Management of all travel logistics for all visitors to the Mombasa office, ranging from VISA processing, flight bookings, airport transfers, accommodation etc.
Management of all meeting facilities in the Mombasa office, and in liaison with the Nairobi office, provide support in scheduling of meetings as per request.
Organizing of all official staff functions within Mombasa office.
Management of all office projects within the Mombasa office, ranging from refurbishments, general maintenance and other ad hoc projects as arise.
Monitoring and responding to all emails received on the personal address promptly
Management of the switchboard operations ensuring seamless flow of communication in and out of the office.
Management of correspondence to and from the office by thorough reviewing of all incoming memos, letters, faxes, submissions, and reports and managing their distribution in accordance with their relevance and significance.
Management of the daily mailbag for efficient flow of correspondence between Nairobi and Mombasa by ensuring that letters to the mail bag are logged and dispatched on time and distributed accordingly upon receipt from Nairobi office.
Raising of LPOs for the different purchases approved by authorised Manager.
Ensure correct and accurate billing for lunch meals every month.
Ensure adequate supply of groceries and responsible for the monthly replenishment of the same.
Ensure adequate supply, monitoring and replenishment of stationery for the Mombasa office.
Arranging and training back up staff for the reception.
Ensure thorough office cleanliness in the Mombasa office by directly supervising the cleaning staff.
Provide back up support for the Enquiries counter especially in the issuance of refund cheques and receiving of Export documents in the absence of the Enquiries coordinator.
Preparing and maintaining an updated internal telephone directory
Any other tasks that may be assigned from time to time by your manager
We are looking for
Minimum Bachelor’s degree in Commerce/business
Strong Customer Orientation. Previous experience in Customer service or in manning an Organization’s Front Desk is an added advantage.
Excellent Interpersonal skills to deal with staff, customers, service providers etc;
