    Head of Operations - Law Firm

    Key Tasks/ Responsibilities

    Expected Outcomes

    • Organizational Leadership
      • Spearheading the fulfillment of the firm’s vision and mission
      • Clearly defined goals and objectives.
      • Clearly defined strategy for attainment of the goals and objectives.
      • Measurable progress in attaining the firm’s vision, mission and objectives.
    • Developing and overseeing the implementation of the firm's strategic plan and goals
      • Providing leadership to the team
      • Clear leadership strategy.
    • Provision of guidance and direction to team members.
      • Modelling and re-enforcing the firm’s values and culture to create a productive and engaging culture defined by passion, high expectations, job satisfaction and results-oriented.
      • Modelling the firm’s values and culture.
      • Fostering a high productivity and values-driven work environment.
      • Leading and overseeing the firm’s departments, including: -
        • Legal
        • Finance
        • HR
    • Efficient and effective operations within each department.
      • Client satisfaction.
      • Job satisfaction.
      • Maintaining/developing guidelines/SOPs
    • Leading and overseeing the firm’s day-to-day operations and staff, with ultimate accountability for the success of the organization
      • Smooth functioning of daily activities.
      • Client and employee satisfaction.
      • Effective problem solving.
    • Client Relations: Developing and managing client relations
      • Maintaining good relations with clients.
      • Client satisfaction and retention.
      • Creation of a system for identifying and addressing client needs and concerns.
    • Business Development
      • Enhance firm growth by leading strategic business development initiatives.
      • Increased number of high-value clients.
      • Forming strategic partnerships.
    • Creating relevant systems and structures to guide the firm’s operations
      • Enhancing operational efficiency and effectiveness across all departments.
      • Streamlining processes.
    • Overseeing recruitment, managing, engaging and mentoring staff and ensuring that staff deliver high-quality legal services to clients, and maintaining team cohesion
      • A cohesive and high-performing team.
      • Recruitment of suitable candidates.
      • Managing high, average and poor performers.
      • High client and staff retention and satisfaction.
    • Succession planning
      • Develop and implement strategies to ensure seamless transitions in key roles.
    • Deepening and refining all aspects of communications – from web presence to external relations with the goal of creating a stronger brand.
      • Strengthen the firm's brand through improved communication strategies.
      • Enhanced visibility for firm to key stakeholders, including the legal profession, HR profession, business organizations, government, etc.
    • Staying current with the changes in the legal landscape
      • Implementing legal industry changes to inform firm strategy and decision-making.
      • Ensuring clients are updated on relevant legal changes.
    • Ensuring compliance with legal, tax, ethical and professional standards
      • Ensure adherence to legal, tax, ethical, and professional standards.
    • Finance: Review financial documents, statements, reports, etc and ensure compliance with relevant regulatory obligations.
      • Proper books of accounts and records of the firm’s operations and activities.
      • Accurate and timely reports for informed decision-making.
      • Timely invoicing and debt collection.
      • Regulatory compliance.
      • Prudent spending.
      • Adequate cash flow.
      • Enhanced cash reserves.
    • Technology and Information Management: Overseeing the adoption and utilisation of technology tools and software within the firm to streamline legal processes, improve efficiency, and enhance client service.
      • The adoption of technology to enhance legal processes and client service, including automation, where necessary.
      • Risk Management: Establishing and routinely assessing and updating Risk Management
      • Establish and maintain risk management protocols.
    • All other duties and responsibilities that fall within the docket of the head of operations
      • Ensuring smooth functioning and alignment with the firm's strategic objectives.

    Knowledge and Skills Required:

    1. Bachelor of Laws Degree (LLB) or equivalent from an accredited University.
    2. 8-10 years post-qualification experience as a practising Advocate/Attorney or Legal Head/Manager of a reputable firm/ company.
    3. Proven leadership and people management experience.
    4. Good understanding of managing business finances and financial statements.
    5. Exceptional managerial skills with the ability to inspire, motivate, and develop a high-performing team.
    6. Thorough understanding of the legal industry and the challenges faced by law firms.
    7. Demonstrated business acumen and the ability to identify opportunities for growth and profitability.
    8. Excellent communication and interpersonal skills, with the ability to interact effectively with clients, colleagues, and stakeholders at all levels.
    9. A commitment to achieving high levels of all-round excellence.
    10. A strong track record of leading teams to achieve ambitious results.
    11. Ability to think strategically, drive business analysis, and solve problems creatively and effectively.
