    Human Capital Administrator

    About the role

    The role of the Human Capital Administrator will be the heart of the delivery of human capital capabilities as well as the person responsible for ensuring that the organization has an operational document control system.

    The ideal candidate has experience delivering human capital procedures and can juggle various administrative tasks in a timely manner. They must be meticulous in detail, highly structured and well organized.

    KEY ACTIVITIES AND RESPONSIBILITIES OF THE ROLE

    Improve organization efficiency through administering human capital processes, procedures and policies

    • Serve as the first point of contact for employee support on issues and resolve queries by referring to documentation such as policy manuals, standard operating procedures and frequently asked questions on various programs and escalate when these cannot be resolved
    • Develop, collect and store employee documents for all the human capital processes and procedures including but not limited to recruitment and onboarding, performance management, training & development and offboarding.
    • Assist in payroll preparation by providing relevant data to the finance team, like absences, bonus, salary increase, leaves and employee exits.
    • Ensure all non-local employees are legally employed by coordinating with external parties to ensure they have the right documents
    • Communicate & educate employees regarding modified or added policies, procedures and benefits.
    • Coordinate administration of all employee benefits plans including health and welfare plans
    • Ensuring managers are informed and educated on all the Human Capital processes, procedures and processes relevant to their day to day work and people management
    • Ensuring disciplinary cases are conducted as per the standard operating procedures, policies and processes.

    Ensure Compliance

    • Ensure compliance with labour laws pertaining including the Occupational Health and Safety
    • Ensure the contracts and service agreements being administered are compliant with all relevant standards and policies (internal and external)
    • Input appropriate and approved employee actions and confidential paperwork into the HRIS system.

    Set and maintain a framework for how documents are approved, updated or amended, how changes are tracked and how documents are published (internally or externally).

    • Create and maintain a document control system that nurtures adherence with Standard Operating Procedures, organizational policy, and other essential quality processes.
    • Ensure individuals at every level of the organization are well trained on Pawame’s document control system, workflows and expected quality.

    KEY CROSS-FUNCTIONAL RELATIONSHIP & INTERFACES

    Finance

    • Submit human capital finance requisitions and follow up to ensure they are provided.
    • Provide Payroll inputs.

    Line Managers in all functions

    Educate and provide the field management team with developed tools, templates and other resources meant to enable them to perform and manage direct reports agents in a standard way.

    Requirements

    Required Education

    Bachelor's Degree in any Business area.

    Required Certification

    IHRM.

    Required Experience

    • At least 3 years experience in a Human Capital/Resource role
    • Document control management experience.

    Technical attributes and competencies

    • Knowledge of Human Capital capabilities.
    • Knowledge of Labor Law and employment regulations.
    • Data organization and storage knowledge.
    • Structured. Ability to bring structure to unstructured problems or situations.
    • Quality assurance. Ability to perform every work element correctly the first time.
    • Planning. ability to think about and successfully manage activities, with the help of any available resources, to achieve specific goals.
    • Conflict management & decision making. Ability to make judgments that may have legal ramifications following the right procedures.
    • Great with information technology.
    • English fluency.
