The Danish Refugee Council (DRC) is a humanitarian, non-governmental, non-profit organisation founded in 1956 that works in more than 30 countries throughout the world.
Overall purpose of the role:
Supports in ensuring effective and efficient HR and Administrative support to the DRC Kakuma and Lodwar Field Office
Responsibilities:
- Support the Program Support Coordinator and HR Coordinator in developing, establishing, maintaining, archiving and auditing HR and administrative systems
- Act as a focal point on issues related to HR Policies in liaison with the Coordinator
- Monitor and supervise HR assistants in Kakuma
- Ensure personnel files are complete and updated while ensuring adherence to highest levels of confidentiality
- Maintain the R&R schedule and maintain leave tracking to ensure complete documentation for movement at all times for Kakuma based staff
- Receive new employees and conduct preliminary induction and introduce them to all departments and staff.
- Act as Liaison between DRC and the Catering and Cleaning company and follows with its representative on the general compound cleanliness, hygiene, and services provided
- Participate in the recruitment process in KKM to ensure compliance with DRC hiring procedures as outlined in the HR Manual as well as preparation for contracts for incentive staff.
- Administer exit interviews and monitor clearance by exiting staff.
- Assist the HR Coordinator in coordinating the annual performance appraisal exercise. Liaise with relevant supervisors to ensure all the relevant appraisal forms /documents are submitted in a timely manner.
- Supports the HR Coordinator in carrying out and archiving staff recruitments, as well as maintaining a preferred-candidates roster in the Kakuma office
- Manage disciplinary and grievances issues arising from the area office
- Ensure up-to-date personnel records are maintained according to organizational best practice and compliant with both organizational policy and the appropriate local legislation.
- Assists with completion of necessary reports or compilation of information as requested
- Ensures that efficient filing and record-keeping systems are established and maintained (both HR and Admin functions)
- Updates and distribute Kenya Program contact list (phone, email, Skype) and organogram
- Ensure up-to-date personnel records are maintained according to organizational best practice and compliant with both organizational policy and the appropriate local legislation.
- Provide basic ad hoc procurement support to the Logistics Department
- Handling incoming and outgoing mail/correspondence and distribution and filling of the same
- Assist in organizing and coordinating logistical arrangements pertaining to various events such as meetings, briefings and work-related travel/accommodation and attend meetings, take and prepare minutes and distribute the same to relevant parties
- Coordination of accommodation booking in for visitors in KKM and ensure they are invoiced for payments.
- Liaise with security focal person and the officer responsible that there is sufficient lighting and firefighting equipment installed.
- Ensures that office premises, furniture and equipment are properly managed and maintained
- Promote and share ideas for improvement of the support function
- Attends to other administrative support, program support and other duties as assigned
Experience and technical competencies:
- 5years experience in HR/Admin role
- At least 3 Years’ experience as a HR/Admin Officer
- Experience working in international organization
- Minimum of a Degree in Human Resources and/or Administration from a recognized institution an added advantage
- Cheerful presence and people skills
Education:
- Bachelor’s Degree in Human Resource Management
- Member of a professional body such as IHRM
Languages: Fluent in English & Swahili

Conditions:
Contract: 9 months contract with possibility of extension, subject to funding and performance. Salary and conditions will be in accordance with the Danish Refugee Council terms of employment for National staff.
Availability: April 2021
Duty station: Kakuma /Kalobeyei refugee camp. (The position is entitled to accommodation/R&R)
Key stakeholders: (internal and external): UNHCR, Vendors, All Staff, Peer HR’S, Government.
