    Program Management Systems Assistant

    Overview

    The Project Management System Assistant will support oversight, monitoring and managing CIFOR-ICRAF’s Project Management System (PMS). This will require some initiative and judgment as well as an understanding of the link between the system and project management procedures.

    Summary of responsibilities

    Ensure the Project Management System in myTREE works well

    • Seamless link between Unit 4 Business World (Agresso) and myTREE without issues.
    • Addressing issues quickly as soon as identified.
    • Seamless link between PMS portal and the Resource Mobilization (RM) portal in myTREE.
    • Seamless link between PMS portal and Finance Module on Agresso.
    • Seamless link between the PMS and the public website of CIFOR-ICRAF where applicable.

    Support the continuous improvement of the PMS

    • Ensure it serves as a knowledge management as well as a project management tool.
    • Monitor how the various fields available in myTREE are being used and report on issues identified.
    • Deal with end-user systems queries and process requests in relation to problem solving, systems configuration and technical faults in liaison with the Management Information System Unitbrand).

    Requirements

    • Bachelor’s degree in Business Administration, Social Sciences or a relevant field is required (Master’s degree preferable).
    • Minimum 3 years of relevant experience in project administration and systems management, with a good understanding of workflow procedures.
    • Excellent written and spoken English.
    • Strong computer skills in word processing, database and other relevant office applications. Personal attributes and competencies:
    • Ability to multi-task with little supervision.
    • Competent in organization and priority setting, with the ability to work effectively under time pressure and manage multiple priorities.
    • Have initiative and capable of working independently as well as an effective team player.
    • Good interpersonal and communication skills, with the ability to effectively interact with people in a multi-disciplinary and multi-cultural environment.
    • Experience working with a wide and diverse network of groups and individuals.
    • Proactive, target driven, detail oriented and diligent.
    • Works with trustworthiness and integrity.
    • Sound planning, analytical and organizational abilities.
