The School Administrator will oversee the smooth day-to-day operations of the school, ensuring effective management of academic, financial, human resource, and institutional resources. The role requires a highly organized individual with strong leadership, communication, and problem-solving skills to support both staff and learners, while fostering a culture of excellence, accountability, and community engagement.
Key Responsibilities
Administration & Operations
- Oversee daily school operations to ensure efficiency and compliance with school policies.
- Maintain student records, admissions, and enrollment processes.
- Support the implementation of school policies, timetables, and staff schedules.
- Manage administrative staff and coordinate with teaching staff for seamless operations.
- Maintain proper records, reports, and documentation for regulatory and internal purposes.
- Manage school transport and logistics.
Finance Management & Accounting
- Prepare and manage the school’s budget, ensuring accountability and transparency.
- Monitor income streams (fees, grants, donations) and expenditures.
- Maintain accurate financial records, ledgers, and reconciliations.
- Prepare financial statements, reports, and forecasts for management and the board.
- Ensure compliance with statutory financial and audit requirements.
- Proficiency in accounting software and financial reporting tools.
Human Resource Administration
- Assist in staff recruitment, onboarding, and record keeping.
- Support payroll processing, benefits administration, and leave tracking.
- Maintain confidential staff personnel files and ensure HR policy compliance.
Procurement & Resource Management
- Oversee procurement of school supplies and services in line with financial policies.
- Manage inventory and ensure efficient use of resources.
- Supervise maintenance of school facilities, equipment, and infrastructure.
Learners’ Welfare & Security
- Ensure the safety and security of all learners within the school premises.
- Establish and implement safety protocols, including emergency preparedness and child protection measures.
- Oversee health, safety, and welfare standards to safeguard learners and staff.
Stakeholder Engagement & Institutional Development
- Communicate effectively with parents on administrative and financial matters.
- Support the organization of school events, meetings, and activities.
- Liaise with education stakeholders, government bodies, and the wider community to strengthen partnerships.
- Foster a positive school culture that promotes discipline, inclusivity, and academic excellence.
School Transport Management
- Develop and implement a sustainable and profitable school transport strategy.
- Monitor vehicle usage, fuel efficiency, and maintenance schedules to optimize costs.
- Coordinate transport routes and schedules to maximize coverage and minimize idle time.
- Ensure compliance with safety standards, insurance, and licensing requirements.
- Promote transport services to parents and community to increase uptake.
- Maintain accurate transport records including ridership, costs, and revenues.
Performance Measures (Key KPIs)
- Conduct quarterly stakeholder meetings to enhance engagement and transparency.
- Ensure all student records are updated and verified within 5 working days of admission or change.
- Complete procurement processes for school supplies within 10 working days of request submission.
- Maintain a minimum of 90% positive feedback from parents and staff on administrative services through biannual surveys.
- Resolve administrative issues within 48 hours to maintain smooth daily school operations.
- Ensure 100% compliance with Ministry of Education regulations and statutory requirements by conducting quarterly audits.
- Achieve at least 95% budget adherence each term through effective cost control and monitoring.
- Ensuring transport project full cost coverage by onboarding many usage of school transport.
- Submit accurate monthly financial reports by the 5th working day of each month.
- Achieve at least 90% utilization of available transport capacity each term.
- Ensure transport revenue covers 100% of operational costs by end of Term 2.
- Reduce transport-related complaints by 50% within the first year through improved service delivery.
- Conduct monthly transport performance reviews and submit reports by the 7th of each month.
- Maintain 100% compliance with transport safety and regulatory standards through quarterly audits.
Requirements
- Bachelor’s degree in education, Business Administration, Accounting, or related field.
- At least 3-5 years of experience in school administration or institutional management.
- Strong knowledge of financial management, budgeting, and reporting.
- Proficiency in MS Office (Word, Excel) and accounting software.
