    Teleradiology Assistant (Shift Supervisor)

    Core Functions / Responsibilities:

    In particular he/she will:

    • Provide quick and real-time support to the assigned the Teleradiology using field country operations through live chat methods and emails for general support to the Teleradiology users, getting information on the daily caseload, fast notification of status of cases, correcting chest x-ray bio-data errors, guiding the staff on standard bio-data formats, and coordinating any related issues or changes in the CXR reports.
    • Perform identification checking of the CXRs of immigrants and refugees sent to the Teleradiology Center for reading including full name, ID, age, sex and date of birth before uploading the image to eMedical to prevent substitution.
    • Timely & properly upload the chest x-ray (CXR) images to eMedical website using the compression and renaming tool and cross check the correctness of the uploaded image for cases bound to different countries using the eMedical system such as Canada, Australia, and New Zealand, , which are sent from panel sites for Teleradiology chest x-ray reading and submitting the report to the website.
    • Coordinate with the Teleradiology systems administrators for cases with issues which need system checking, troubleshooting or other technical actions in the Teleradiology systems.
    • Notify the assigned Teleradiology Radiologists in the Telerad system when image uploading for each case is complete so that the radiologist will submit the chest x-ray reports to eMedical system. And assist the IOM Teleradiology Radiologist in copying the X-ray reports to eMedical, when needed.
    • Make sure all the chest x-ray send from the field operations are all read and submitted to the eMedical system by checking the data in the Teleradiology systems and eMedical and following up the respective radiologists or field operations as needed.
    • Prepare the daily summary of statistical reports on chest x-ray readings and eMedical submissions, send the reports to the field operations by email daily, and file the records in Teleradiology Center accordingly.
    • Do the daily update of correct records/files in shared folders with complete biodata in a timely manner.
    • Coordinate with the staff in IOM Teleradiology Center, Migration Health Support unit and Telerad support colleagues in Migration application Unit when necessary for getting more information and assisting others.
    • Assist Teleradiology Administrative work such as Keeping track of consumables, follow up of purchases and payments and data reporting in the unit, when needed.
    • Scan, photocopy and file medical documents, as required.
    • Provide support during weekends, holidays, and night shifts or outside working hours as well as “stand-by” focal on a rotation basis as may be requested.
    • Perform such other duties as may be assigned.

    Required Qualifications and Experience

    Education

    • University degree Information Technology, Business Administration, Psychology, Science fields, or a any other related field from an accredited academic institution, with two years of relevant professional experience preferably in administrative capacity or;
    • Completed High School degree from an accredited academic institution, with four years of relevant professional experience.

    Experience

    • Experience with digital radiology and Teleradiology systems an advantage.
    • Experience in Migration health work, screening health assessments and eHealth/eMedical services an advantage.

    Skills

    • Comprehensive computer skills in Microsoft Office, especially Excel.
    • Advanced computer knowledge an advantage.

    Languages

    • Fluency in both written and spoken English and Kiswahili is required. Knowledge of French is an advantage.

    Administrative Assistant (Teleradiology)

    Core Functions / Responsibilities:

    In particular he/she will:

    • Facilitate the timely and efficient completion of the administrative work of the Teleradiology Center in terms of procurement, human resources, or any other related matter and coordinate with respective units for the different activities, and perform housekeeping activities,
    • Actively participate in various radiology related reports, data analyses and surveys. And assist in compilation of the monthly, quarterly, and yearly Teleradiology activity reports, in coordination with the respective colleagues, and assist in editing other material produced by the Center.
    • Prepare the monthly invoices for billing non-IOM clinics for the Teleradiology service and the request for payment for the Teleradiology consultant radiologists, based on the summary caseload prepared by the Teleradiology data reporting and coordinate with the appropriate units and the clinics, and follow up to ensure timely billing and payments.
    • Assist the documentation of resources and updating the information in the Teleradiology web-page keeping the records up to date and uploading current events and activities, guidelines, SOPs, manuals and other information related to the radiology services, in coordination with the respective colleagues in the Center and colleague in the field operations.
    • Keep records and track expiry dates of the Teleradiology Center documents including contracts, Teleradiology service agreements, professional license, invoices, receipts, purchase requests and timely notify the respective bodies, and ensure timely renewal.
    • Provide the necessary assistance to new staff providing the needed items and orientation including account creation, the necessary office equipment, and arranging security trainings.
    • Coordinate the logistic arrangements for the Center events such radiology training workshops, staff travel, preparations for the meetings and high-level visitors, and yearly team building activities and social events of the Center as needed, in coordination with the respective units and staff in the Center.
    • Coordinate with IOM country operations globally, the Teleradiology technical support team for different administrative matters as needed.
    • Assist the Teleradiology workflow when needed, such as checking the bio-data on the Chest X-Rays, uploading the Chest x-rays to eMedical system, coordinate with focal persons in the country operation, the radiologists when the cases are ready for submission, and producing the daily start summary and communication the field missions.
    • Provide support during weekends, holidays or outside working hours as well as “stand-by” focal on a rotation basis as needed.
    • Perform such other duties as may be assigned.

    Required Qualifications and Experience

    Education

    Senior Teleradiology Assistant

    Core Functions / Responsibilities:

    In particular he/she will:

    • Supervise the daily activities of the Teleradiology Assistants, ensuring that they effectively carry out their responsibilities. Handle any escalated issues that the G5 may be unable to resolve.
    • Train new Teleradiology Assistants in procedures, tools, and software. Ensure that they are familiar with protocols and provide refresher when necessary.
    • Implement a quality control process to review and ensure the accuracy of the work performed by the Teleradiology Assistants, including the correct uploading of CXR images and the accuracy of biodata.
    • Monitor and evaluate the performance of the Teleradiology Assistants, providing feedback, addressing areas of improvement, and recommending training or development as needed.
    • Identify and implement strategies for process improvement within the Teleradiology operations, ensuring greater efficiency and effectiveness.
    • Engage with Regional Radiology Coordinator, the International Radiologist and colleagues from missions to discuss the needs, improvements, and challenges related to the Teleradiology workflow.
    • Design and update SOPs for the department to ensure consistency in operations and to accommodate any changes or new requirements that arise.
    • Act as the primary point of contact for resolving conflicts or disputes either within the Teleradiology team or with external stakeholders.
    • Regularly communicate updates, challenges, and results to higher management. Also, review the daily statistical reports prepared by the Telerad Assistants to ensure accuracy and comprehensiveness.

    Required Qualifications and Experience

    Data and Research Coordinator (P3) Nairobi

    Core Functions / Responsibilities:

    • Oversee both operational aspects and analyses of all data collection and research products, MEAL, IM, research capacity and policies, as well as supporting tools, standard operating procedures, and other guidance documents.
    • Oversee the implementation of all aspects of Displacement Tracking Matrix (DTM) in Kenya, including DTM tools and products adapted to the local context to respond to the information needs of government stakeholders and humanitarian and human mobility actors.
    • Oversee the Information Management (IM) aspects of the Mission’s projects and programmes, including maintaining Mission’s information platforms, databases, dashboards, and information portal with relevant and up-to-date information.
    • Develop and/or adapt operational structures, methodologies, and tools as required for the production of relevant data, research, MEAL, and IM reports, including but not limited to, analytical and statistical reports, displacement profiles, assessments, maps, and other relevant products.
    • Act as primary focal point for and provide expert technical advice and support for the assessment of emerging mixed migration and displacement situations in the country, and where appropriate, regionally and beyond.
    • Establish, manage and coordinate field assessments with multi-layered data collection techniques to gather and analyze timely information about displacement, population mobility, movement flows, and any other source of data required.
    • Act as the custodian of mission relevant data, in line with IOM’s Data Protection Principles,
    • Data Governance Policy, and related policies and procedures.
    • Ensure the implementation of activities that aim to build government capacity in the generation, management, and use of migration data.
    • Manage and coordinate joint migration research activities between IOM and partners. Ensure capacity building on good research practice and responsible data collection and use.
    • Identify synergies between the research initiatives of different thematic units and promote and substantively contribute to cross-cutting analysis for a holistic understanding of the conditions, vulnerabilities and needs of migrants.
    • Provide guidance to the different thematic units in the planning of research interventions, development of survey and assessment tools, and analysis of data.
    • In coordination with relevant Units, contribute to the development of resource mobilization efforts for IOM data and research activities by developing concept notes and project proposals in response to needs identified by regional, national and local counterparts.
    • In coordination with Media and Communications colleagues, ensure that data and research related outputs and products are widely disseminated in audience-friendly formats.
    • Ensure the provision of timely, accurate, standardized, and adequate information (including
    • Data and Research reports, factsheets, etc.) to all relevant stakeholders regarding mobility trends, conditions in migrant-hosting areas, as well as the situation of vulnerable groups.
    • Liaise with IOM colleagues (Global Data Institute (GDI), Regional Data Hub (RDH), and other thematic units, as applicable) at a regional/global level to support dissemination of information, contribute to internal and external communication materials, ensure complementarity and compatibility of activities, feed into relevant regional or global reporting, and support global data and research development initiatives, including through identification of best practices, new approaches and technologies.
    • Ensure the integration of gender perspectives and attention to specific needs of vulnerable populations, such as pregnant women, persons with disabilities, older persons, children, as well as other highly vulnerable groups within data collection and research activities, including through mainstreaming of Prevention of Sexual Exploitation and Abuse into data collection operations.
    • Ensure strict adherence to IOM’s data protection principles across all programming interventions and build capacity of data and research staff, enumerators and research partners in the field of data protection.
    • Perform such other duties as may be assigned.

    Required Qualifications and Experience:
    Education

    • Master’s degree from an accredited academic institution, preferably in data and research related fields such as Statistics, Economics, Data Science, Political or Social Sciences,
    • Development Studies, International Relations or Law with a minimum of five years of relevant professional experience; or,
    • University degree in the above fields with seven years of relevant professional experience.

    Experience

    • At least five years of experience in research, statistical analysis, data processing and reporting with proven knowledge of data collection mechanisms, risks and mitigation solutions ensuring data protection;
    • Demonstrated experience in project implementation, data collection and analysis, and/or information management activities, preferably with an international or intergovernmental organization working on issues related to migrants and vulnerable populations;
    • Demonstrated experience implementing and/or overseeing displacement tracking tools and methodologies;
    • Experience in supervising and managing large teams;
    • Experience in organizing and delivering workshops, trainings, webinars and briefings in the fields of data analysis, research, data collection and/or reporting;
    • Experience in working with national and/or local government counterparts in the field of migration data would be considered an advantage; and,
    • Experience in the utilization of cloud computing solutions and/or software for data processing (in Microsoft Azure and/or AWS), data and statistical analysis, as well as visualization and reporting solutions such as Power-Bi and/or Tableau is an asset.

    Skills
