    Intern - DSS, Finance Management Support/Administration Assistant

    Responsibilities

    Daily responsibilities will depend on the individual's background; the intern's assigned office as well as the internship period.

    Under the direct supervision of the Department of Safety and Security (office), the intern will

    • Assist with inventory management for procurement
    • Assist with data management and creation for HR and recruitment information
    • Reviews, records, distribute and/or processes mail and other documents and follows-up on impending actions.
    • Assist in photocopying and scanning and delivery of mail and document s within UN offices.
    • Performs general administrative tasks as directed, arrangements for meetings and other events, reservations, etc.), to include preparing and/or processing administrative requests/documents, Agendas etc.
    • Maintains files (both paper and electronic) and databases for work unit.
    • Assisting Inspectors with receiving and delivery of ground passes request forms for their action.
    • Assist in compiling and updating staff details ;
    • Dispatch letters and maintaining data as requested.
    • Updating and maintaining motor vehicle fuel and repair records
    • Assist in verifying security transport vouchers.
    • Carry out an other duties as necessary

    Be computer literate in standard software applications.

    Intern - Public Information

    Responsibilities

    Daily responsibilities will depend on the individual's background; the intern's assigned office as well as the internship period.

    Under the direct supervision of the Project Manager, the intern will:

    • Ensure orderly and efficient management of data received from applicants and sponsors of the Young Champions Awards.
    • Assessing, shortlisting and ranking of nominees according to selection criteria and produce reports in various formats as required.
    • Liaise with applicants and sponsors to request additional information (telephone and email support) as required.
    • Provide technical support to the project manager and other agency staff.
    • Update project manager and other staff members on the status of the applications, advising when needed about gender balances and regional representation of nominees.
    • Liaise with the third party agency managing the contest management system to solve technical problems as required.
    • Coordinate with the rest of the team in out-posted offices
    • Develop and maintain database on nominees’ applications and prepare a portfolio for regional juries.
    • Maintain strict confidentiality in all aspects of the work.
    • Undertake any other tasks assigned by the Supervisor.

    Intern - Administration

    Responsibilities

    Under the direct supervision of the Head of the Programme Delivery & Management Unit of the Law Division, the intern will:

    • Assist in the coordination of Programme Delivery & Management Unit activities; prepare briefing notes on the Unit’s activities; assist in reviewing for correctness and consistency budgetary and other staffing tables and bringing to the attention of the Head of the Unit;
    • Provide general office assistance: set up and maintain electronic files/records; schedule weekly team meetings and other ad hoc meetings; handle routine administrative tasks as may be assigned; attend meetings when required and prepare minutes, monitor follow-up activities; ensure smooth functioning of the Head of the Unit through ensuring smooth and efficient information flow within the team.
