    Real Estate Manager

    Job Reference Number: HRJIC587 

    Role Purpose

    Assist the Head of Administration and Property in Maintaining and Managing Jubilee Premises and assets by ensuring that the properties are safeguarded and secure.

    Main Responsibilities

    • Assist the Head of Administration and Property Management in preparing budget for OPEX and CAPEX for approval by the Management.
    • Supervise Building Supervisors stationed in Nairobi and Mombasa.
    • Supervise Facilities coordinator, review contracts of the serviced providers
    • Managing a portfolio of tenants during their tenancy.
    • Marketing and leasing of Jubilee premises to potential tenants through lettings agents
    • Facilitating the processing of Letters of Offer both new and renewals
    • Facilitating collection of Rent and service charge
    • Collaborating with Finance Department for timely invoicing and collection of rent and service charge.
    • Liaising with Legal departments for lease facilitation, distress, and attending court for legal matters on tenancy as and when required.
    • Screen prospective tenants and share findings and recommendations with the Letting Committee.
    • Overseeing the outsourced Letting Agents and reporting on letting activities.
    • Coordinating lease renewals and processing letters of offer and new leases.
    • Monitoring and measuring tenant compliance to specified standards to ensure their operation within guidelines of their signed lease agreement obligations.
    • Identifying and ensuring that OSHA standards are communicated to all tenants and implemented accordingly.
    • Dissemination of information to the tenants on all operational matters.
    • Collating tenant issues and recommend viable resolutions.
    • Conducting pre and post vacancy inspections and end of lease procedures to maximize occupancy and minimize income lost through vacancies.
    • Designing, conducting, evaluating and interpreting tenant satisfaction surveys.

    Building Supervisor

    Role Purpose

    We currently have an exciting career opportunity for Building Supervisor. The position holder will report to the Facilities Coordinator and will be based at Head Office in Nairobi.

    Role Purpose
    Assisting the Property Coordinator in Monitoring, managing and overseeing the services offered to tenants and ensuring equitable distribution and maximization of costs.

    Main Responsibilities

    • Facilitating access to equipment to the outsource vendors for purposes of repairs and maintenance.
    • Keeping maintenance logs for each property and equipment.
    • Receiving and addressing tenant complaints and escalating major issues to the Property Coordinator and the outsourced agents.
    • Daily checks of all building service systems including but not limited to pumps, motors, lifts, ventilation, air conditioning, electrical, mechanical, generator rooms, fire alarm, equipment and completion of requisite inspection reports.
    • Ensuring that power supply is always available to all buildings and the generator is serviceable.
    • Checking on water inlet and ensuring that there is enough water supply to the buildings.
    • Checking on safety, security and reporting any anomalies to the Property Coordinator or Security Supervisor.
    • Performing minor repairs that do not require external Contractors/Sub-Contractors including lights bulbs and tubes, leaking taps and minor furniture/hardware repairs.
    • Ensure common area and Jubilee offices maintenance and cleanliness of the building at all times
    • Inspecting all areas and giving daily status reports on fabric, services and environment.
    • Supervising Contractors/ Sub-Contractors to ensure high job quality and that work is completed on time.
    • Reporting any sub-tenants to the Real Estate Manager.
    • Coordinating, facilitating and overseeing the various activities between Jubilee, tenants and Service Providers.
    • Striving to establish and maintain a consistent corporate image for the properties.
    • Ensuring compliance with environmental, health and safety regulations in liaison with the EHS Officer
    • Coordinating and supervising reinstatement of Offices and Shops after tenant vacate
    • Facilitating relocation of Tenants and Jubilee Departments as and when required
    • Liaising with Local Authorities for provision of basic amenities and facilitating payments
    • Sorting out Utility problems with the statutory bodies e.g. KPLC, Local Authorities Service Providers etc.
    • Participating in cost effective disposal of salvage goods

    Facilities Coordinator

    We currently have an exciting career opportunity for Facilities Coordinator. The position holder will report to the Real Estate Manager and will be based at Head Office in Nairobi.

    Role Purpose

    Monitoring, managing and overseeing the services offered to tenants and ensuring equitable distribution and maximization of costs, while ensuring supply of goods and services from external vendors and outsourced services are cost effective, reliable and of high-quality standards.

    Main Responsibilities

    • Coordinating, facilitating, streamlining and overseeing the provision of services both tangible and intangible and related activities between Jubilee Insurance, tenants, suppliers and service providers
    • Planning and providing overall supervision and maintenance of the company’s properties and reporting on the same
    • Procedural administration of service contracts
    • Facilitating the settlement of utility bills and Invoices to service providers and suppliers on a timely basis
    • Processing of building expenses and apportioning them as service charge adjustments to the tenants
    • Ensure necessary compliance to Local authorities and statutory regulatory bodies for Land Rent, Land Rates and NEMA approvals and adherence to (Environmental, Health & Safety (EHS) standards
    • Facilitating End year Audit with external Auditors
    • Coordinating and supervising reinstatement and renovation of premises for tenant occupation
    • Ensure timely servicing and maintenance of equipment e.g. Generators, Lifts etc.
    • Procuring of quotes for various goods and services and coordinating with Procurement department for supply of the same.
    • Resolving technical problems and responding to queries and complaints from tenants, Jubilee staff, suppliers and service providers and external parties either verbally or by written correspondence either letter or email within given timelines.
    • Conducting routine building and equipment inspections as part of ensuring safety and security of tenants and customers.
    • Overseeing maintenance and support services rendered by the outsourced vendors and keeping maintenance logs.
    • Ensuring prompt responses to emergencies while following relevant policies and procedures including safeguarding, incident management and Health and Safety emergencies.
    • Evaluating and processing work orders and maintenance requests and assigning tasks to the concerned vendor or staff.
    • Developing maintenance plans and implementing them.
    • Ensuring that all necessary permits and licenses are maintained.
    • Assessing maintenance procedures and making recommendations for improvement.
