    Secretary & Admin Coordinator

    We are seeking a skilled and organized Secretary & Admin Coordinator to join our team and contribute to the efficient functioning of our office. The ideal candidate will be a multitasker with experience in handling various administrative responsibilities, including reception duties, calendar management, flight bookings, and day-to-day support tasks.

    Responsibilities:

    1. Reception Management:

      • Greet and assist visitors in a professional and friendly manner.
      • Handle incoming calls, direct them to the appropriate person, and take messages when necessary.
      • Maintain a tidy and organized reception area.
    2. Calendar Management:

      • Coordinate and manage executive calendars, scheduling appointments and meetings.
      • Send reminders and ensure timely attendance at scheduled events.
    3. Flight Bookings:

      • Arrange domestic and international flight bookings for executives and staff as needed.
      • Monitor travel itineraries and communicate any changes or updates.
    4. Day-to-Day Administrative Support:

      • Provide general administrative support to the team.
      • Assist in the preparation and distribution of documents and reports.
      • Handle office correspondence and communication.
    5. Office Supplies and Equipment:

      • Monitor and maintain office supplies inventory.
      • Coordinate equipment maintenance and repairs as required.
    6. Document Management:

      • Organize and maintain physical and digital filing systems.
      • Ensure confidentiality and security of sensitive information.
    7. Collaboration:

      • Work closely with other departments to facilitate seamless communication and coordination.
      • Assist in organizing company events and meetings.

    Qualifications:

    • Proven experience as a Secretary or Administrative Coordinator.
    • Excellent organizational and time-management skills.
    • Strong communication and interpersonal abilities.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to handle multiple tasks and prioritize effectively.
    • Attention to detail and accuracy in work.
    • Previous experience in calendar management and flight bookings is a plus.

    Education and Experience:

    • Bachelor's degree in Business Administration or a related field.
    • Previous experience in a similar role is highly desirable.

    User License Administrator

    Position Overview:

    The User License Administrator will play a crucial role in managing and optimizing our software licenses to ensure compliance, efficiency, and cost-effectiveness. This position requires a keen eye for detail, excellent organizational skills, and a proactive approach to license management.

    Key Responsibilities:

    1. License Compliance:

      • Monitor and manage software license compliance to ensure adherence to vendor agreements and legal requirements.
      • Conduct regular audits to verify license usage and reconcile discrepancies.
    2. License Procurement:

      • Coordinate the procurement of new software licenses based on organizational needs.
      • Collaborate with vendors to negotiate terms, pricing, and licensing agreements.
    3. User Access Management:

      • Administer user accounts and access rights for various software applications.
      • Ensure timely provisioning and de-provisioning of user licenses as per organizational requirements.
    4. License Optimization:

      • Analyze usage data to identify opportunities for license optimization and cost savings.
      • Work with departments to understand their software needs and recommend adjustments as necessary.
    5. Documentation and Reporting:

      • Maintain accurate records of all software licenses, agreements, and related documentation.
      • Generate regular reports on license usage, compliance status, and cost analysis.
    6. Training and Communication:

      • Provide training and guidance to end-users on license compliance and best practices.
      • Communicate changes in licensing agreements and policies to relevant stakeholders.

    Qualifications:

    • Bachelor's degree in Information Technology, Computer Science, or a related field.
    • Proven experience in license administration, preferably in a technology-driven environment.
    • Familiarity with software licensing models and agreements.
    • Strong analytical and problem-solving skills.
    • Excellent communication and interpersonal skills.
    • Ability to work independently and collaboratively within a team.
