    Senior Program Assistant, Living Labs

    Job Description

    • PATH is currently recruiting for a Senior Program Assistant to provide administrative support to a fast-paced and iterative human-centered design initiative to foster user involvement across the innovation lifecycle in support of multiple PATH projects and programs.

    Responsibilities:

    • Provide meeting planning and logistics activities which may include scheduling internal and external meetings, workshops, and other events as necessary, and drafting activity notes and coordinating review, distribution, and filing.
    • Coordinate collection of relevant user demographic information in line with approved protocols and maintain a database of users engaged across all project activities.
    • Support ongoing and periodic engagement of the user advisory group (UAG) members through established UAG WhatsApp groups, Google forms, online surveys and any other platform/ tool that may be in place for UAG engagement.
    • Support Living Labs training compliance, serving as point person for tracking human-subjects trainings through PATHwise and Salesforce.
    • Contribute to Living Labs tools and support for knowledge management to help them navigate and comply with PATH policies and team procedures (updating documents as needed on Box, SharePoint, Smartsheet, etc.).
    • Seek and identify opportunities for process improvement; help develop Gand implement solutions in consultation with wider Living Labs team.
    • Provide general administrative support to maintain coordinated and organized team logistics. This may include working closely with the Living Labs program team and the project administrator to initiate the coordinate procurement of both services and supplies.
    • In consultation with relevant staff, plan and coordinate the production and distribution of weekly activity reports and other communications materials as requested.
    • Ensure local and international travel management for assigned programs teams (visa process, flight & hotel booking, cash advance, expense report and follow up.) 
    • Participate in staff meetings, produce minutes for activity meetings and workshops and assist in following up on recommendations or actions.
    • Plan and coordinate full range of logistics for workshops, meetings & field work exercises; develop detailed budgets for activities using established formats; manage cash disbursements to meeting, workshop and field work exercise participants as needed; prepare financial reports of workshop, meetings and field work exercises.
    • Facilitate processing of transactions, liaising with the Finance Officer for processing and generating of payments, purchase orders, following PATH Kenya established processes and procedures.

    Required Experience

    • Bachelor’s degree, plus a minimum of three years of directly related administrative and program support experience, or an equivalent combination of education and experience. Masters degree will be an added advantage.
    • Advanced Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint.
    • Basic research skills
    • Excellent interpersonal and communication skills.
    • Ability to work with multiple teams across diverse background
    • Strong organizational skills.
    • Adaptable to changing priorities.
    • Effective time management.
    • Experience working under deadlines.

    Temporary Human Resources Associate

    Job Summary

    • PATH Kenya through USAID Nuru Ya Mtoto Project seeks to recruit a HR Associate who will provide HR support to the USAID Nuru ya Mtoto supported sites in the execution of HR policies, programs, and any other related activities. The HR Associate will be responsible for providing support to the HRH and Project leadership in the various human resource functions, which include recruitment, staffing, training and development, performance management and day to day HR support.

    Job Responsibilities:

    • Provide support to the county health HR unit in all HR issues relating to the contract staff for service delivery in USAID Nuru ya Mtoto
    • Support in the implementation of the county HRH priorities.
    • Support the county to adopt and implement the prevailing HRM policies and guidelines.
    • Assist in coordination and participate in the recruitment process i.e. drafting job advertisements for vacant positions, screening applications, short listing, interviewing and deploying heath workers to USAID Nuru ya Mtoto sites for efficient service delivery.
    • Provide first line support by responding to queries via phone or email. Ensure queries are addressed in line with stipulated turn-around times. Escalate all issues that cannot be resolved.
    • Support the management of contract health workers in the county i.e. supervision, timesheet management and grievance handling. Management of timesheet processes include receipt, recording, tracking, stamping, onward transmission for payroll processing.
    • Coordinate the implementation of performance management systems and staff appraisals in the county.
    • Ensure timely communication and coordination with the Project and County leadership on matters relating to contract workers transfers, disciplinary issues as well as work attendance monitoring.
    • Maintain up-to-date and accurate staff records and filing systems and ensure the HRH data is updated. Maintain accurately updated health workers personal files and staff master lists. Both internally and support the County office to have the same.
    • In liaison with facility in charges conduct verification of staff presence daily, spot checks.
    • Update facility supervisors and the project of any changes that occur in terms of staff movement, absenteeism, etc.
    • Prepare required reports (monthly, quarterly & semi-annual reports).
    • Perform any tasks as may be reasonably assigned from time to time.

    Key Competencies required:

    • Excellent interpersonal relationship
    • Excellent communications skills – both oral and written
    • Highly motivated, self starter able to work on own initiative in difficult conditions.
    • Proficiency in computer skills is mandatory.

    Required Experience

    • I higher National Diploma in Human Resources Management / A bachelor’s degree in human resource management or a degree in any business-related field backed up with a diploma in Human Resources management.
    • Minimum 4 years’ work experience in a busy HR office, preferably in an NGO.
    • IHRM Membership (of good standing)
    • Experience in managing the HRH (Human Resources for Health) is highly desirable and an added advantage.
