    File Library Assistant

    Primary Purpose

    This position is primarily responsible for data entry of refugee case files in the File Library including receipt, filing and logging out case files from the File Library to ensure accuracy and integrity of the records in accordance with RSC Africa and PRM standard operating procedures. This position will act as the backup when the File Library Supervisor is on leave.

    Essential Duties

    • Arranging, labeling, storing, moving/transferring of records and/or supervising the same.
    • Preparing and sending case files to USCIS/FOD’s Office in the U.S. embassy Nairobi in accordance with standard operating procedures.
    • Receiving case files from USCIS/FOD’s Offices in the U.S. embassy Nairobi and IOM, updating the records in the file library database and transferring the case files to Adjudications and USCIS Admin Units’ Supervisors for review, updates or dissemination to any other staff that the case file may be addressed to.
    • Opening the file library and the file cabinets in the file library in the morning and closing in the evening after close of business.
    • Checking in and out case files from the file library by entering the records in the file library Management System, and/or in the manual record books.
    • Receiving newly created case files from Programs staff, associating them with RFIDs and updating the Library Management System.
    • Checking and confirming case file statuses in the START database and updating new case file location in the file library database in accordance with standard operating procedures.
    • Filing all case files in the file library cabinets according to their alphabetical order.
    • Pulling, arranging and organizing Denied/Closed Post CIS cases in USCIS boxes ready for transferring to USCIS Nairobi for onward transfer to National Record Centre according to the standard operating procedures.
    • Pulling Closed Pre CIS cases, updating START statuses and Library Management System and then shredding/destroying them
    • Preparing and organizing case files in the file library according to their statuses as per the requirements of other operations units.
    • Assisting other operations staff in tracking down the location of case files in the File Library database and other manual records.
    • Retrieving case files or departure records from the Scan Server and printing scanned documents upon request by Supervisors and Field Team Leaders.
    • Complying and ensuring compliance with Library SOPs and the USRAP Integrity and Compliance Guide.
    • Serving as the contact person for all inquiries directed to the file library while the File Library Supervisor is on leave.
    • Participating in conducting regular file audits.
    • Assisting File Library Supervisor in preparation of statistical reports.
    • Other duties that may be assigned by the supervisor to enhance the efficiency of the file library operations.
    • This position also undertakes other duties assigned by CWS RSC Africa Management.

    Experience

    Qualifications:

    • Three (3) years of paid work experience is required

    Skills

    • Demonstrated beginner level computer skills, especially Microsoft Word, Excel, Outlook, and Access

    Education & Certifications

    • High school diploma or equivalent is required.

    Abilities

    • Analyze and solve complex problems and make sound decisions;

    Data Analyst

    Primary Purpose

    This position is primarily responsible for ensuring the timely and accurate preparation of standard and ad hoc statistical and operations reports.

    Essential Duties

    • Prepares routine and ad hoc CWS RSC Africa statistical reports as needed for various CWS RSC Africa staff .
    • Prepares and automates regular sectional quality control reports to ensure data accuracy and identify training needs.
    • Prepares reports designed to track CWS RSC Africa administration division productivity for an overall improvement in efficiency.
    • Carries out annual inter-departmental process review and recommends improvements in quality control.
    • Works closely with IT to ensure that reports run in the most current software environment and in publishing QC reports in a user-friendly interface.
    • Continually works on converting as much of the DI reporting portfolio into an automated format on Tableau.
    • Works with Administration as needed to assist with their reporting needs.
    • Works closely with Programs staff to ensure that they have adequate reporting tools available to them to enable their departments meet RSC quality standards and adhere to USRAP processing guidelines.
    • Serves as the contact person for all inquiries directed to the Data Integrity Unit while the Data Integrity Supervisor is on leave.
    • Actively works on and resolves all work order tickets raised by administration staff.
    • Other duties as assigned.

    Experience

    Qualifications:

    • 5 years paid work experience required
    • Good understanding (2+ years required) of databases and Tableau (or other business intelligence tools)
    • Experience using Microsoft Visual Studio 2016 in the context of SQL Server Reporting Services required.

    Skills

    • Advanced knowledge in TRANSACT SQL and Microsoft SQL Server database design, stored procedures, views and functions.
    • Advanced computer knowledge, specifically with MS Office (Access, Outlook, Word, PowerPoint). Advanced knowledge in using Tableau Business Analytics software.

    Abilities

    • Maintain the integrity of official records;
    • Analyze and solve complex problems and make sound decisions;
    • Work with minimal supervision

    Data Integrity Supervisor

    Primary Purpose

    This position is primarily responsible for leading technically involved projects within Data Integrity (DI), and assisting the Data Integrity Manager in increasing the technical capacity of Data Analysts.

    Essential Duties

    • Provides leadership to the Data Analysts, including performance evaluations, participating in hiring and annual leave coordination.
    • Assists the Data Integrity Manager in developing, updating, and implementing of DI Standard Operating Procedures.
    • Ensures that all incoming report requests are created and published on the Tableau site.
    • Ensures effective and timely communication with management and the Leadership Team in response to report requests.
    • Oversees and manages the daily workload of Data Analysts in the Data Integrity Unit.
    • Reviews and monitors team and individual progress towards section goals.
    • Develops and implements training for new Data Analysts.
    • Develops and implements training modules for new staff and provides regular re-training in regards to data integrity.
    • Takes the lead on the more technically challenging projects assigned by Data Integrity Manager.
    • Assists the Data Integrity Manager to improve the technical knowledge and practices of the Data Analysts.
    • Prepares and automates regular sectional quality control reports in Tableau to ensure data accuracy and identify training needs.
    • Works closely with the DI and Programs staff to identify training needs at the RSC.
    • Coordinates and oversees -annual inter-departmental process review and recommends improvements in quality control.
    • Maintains a current understanding and keeps abreast of any updates of RSC SOPs.
    • Other duties as assigned.

    Experience

    Qualifications:

    • Eight (8) years paid work experience is required.
    • Six (6) months of working experience as a Data Analyst is preferred.
    • One (1) year of direct supervisory experience is required.
    • Twelve (12) months of working experience with the tableau a must.

    Skills

    • Advanced knowledge in TRANSACT SQL required
    • Queries, stored procedures, views and functions Microsoft SQL Server database design required
    • Knowledge and Experience using Microsoft Visual Studio 2008 in the context of SQL Server Reporting Services.
    • Advanced computer knowledge, specifically with MS Outlook, MS Excel or other statistical analysis programs required.

    Abilities

    • Supervise staff to ensure policies and procedures are implemented and executed in accordance with guidelines and standard operating procedures;
    • Maintain a high performance standard with attention to detail, completing tasks within set timeframes;
