    Legal and Risk Management Coordinator (Re-Advertisement)

    The job holder will support the Head of Internal Audit, Risk and Compliance in all aspects of law to ensure that WWF-Kenya processes and procedures comply with local & international legislation. They will also be responsible for updating and implementing the risk management policy and framework; coordinating risk management and internal control activities; and regular risk reporting.

    Major Duties and Responsibilities:

    Legal and Compliance

    • Develop and manage the implementation of appropriate strategies, processes and procedures to ensure legal compliance with statutory provisions.
    • Provide effective and efficient in-house legal support to WWF-Kenya’s programmatic and operational work.
    • Advice on legal issues related to the conservation programme policy and legislation whilst keeping abreast with the legislative environment that impacts the organisation operations.
    • Technical input to drawing and critically reviewing legal matters and contractual agreements in order to ensure that any risks and consequences are mitigated.
    • Review existing agreement templates, policies, procedures and clauses therein for compliance with relevant WWF network Standards and applicable laws and regulations.
    • Assist with litigation management of new and outstanding litigation. Liaise with and manage external lawyers.
    • Prepare legal opinions and legal interpretations on various matters as required including interpretation of court and arbitral rulings affecting WWF-Kenya.
    • Advise on institutional matters, including governance, grievances process, investigations as well as human resource related matters. 

    Risk Management 

    • Coordinate and facilitate risk assessments with programme and operational units, document these risks and appropriate risk mitigation actions, responsibilities and timelines. Champion the identification of root causes of risks, and propose mitigating measures with a focus on prevention.
    • Facilitate, monitor and report on the implementation of agreed mitigation actions.
    • Develop and implement procedures to collect relevant data and efficiently track and report specific issues, trends and cross-cutting matters representing a high risk to WWF-Kenya from a legal perspective.
    • Integrate risk management, ethical and integrity considerations through training WWF-Kenya staff and partners in order to raise their awareness and increase their capacity.
    • Promote and disseminate the enterprise risk management framework.
    • Provide regular updates on matters related to risk, compliance and quality, including on emerging risks and opportunities.
    • Provide risk management and compliance content for inclusion in the annual report.
    • Participate in the development of the organizational business continuity plan.

    Required Qualifications

    • Bachelor of Laws Degree
    •  Advocate of the High Court
    • At least five (5) years post admission experience in a busy law firm
    • Certification in Enterprise Risk Management and demonstrated experience in practice including risk management in Kenya.

    Required Skills and Competencies

    • Experience in court processes including prosecuting and defending cases. Demonstrate knowledge of, and experience with laws dealing with commercial/contract administration and labour laws.
    • Understanding of environmental and NGO legislation would be beneficial.
    • Strong experience in drafting and negotiating contracts.
    • Excellent analytical judgment, with an ability to assess risk and provide alternatives.
    • Demonstrable ability and experience in analyzing and resolving complex risk management issues involving multiple stakeholders and implementation of risk management mitigation strategies at all levels of the organization.
    • Able to work independently as well as work effectively as a member of a team to meet set deadlines.
    •  Proven ability to communicate well at all levels – with Management, staff, HoD’s, and all stakeholders verbally and digitally. 
    • Able to solve problems and build relationships.
    •  Strong writing and presentation skills.

    Administration & Facilities Assistant

    Main Purpose and Scope of Role: 

    Under the direct supervision of the Operations Manager, the position holder will take responsibility for the Administration support and executing effective and efficient administration, facilities and asset management; maintaining transparency, integrity and compliance with established rules and regulations of WWF-Kenya, Best Practise and the respective donor regulations.

    Roles and responsibilities:

    • Ensuring employees are properly accommodated in a workplace that supports their needs and expectations
    • Participate in identification and evaluation of new office facilities to ensure fitness for purpose
    • Ensure all lease agreements are up to date and terms reviewed before renewal
    • Support the development and implementation of fleet management and asset management policies as well as the implementation of key administration & logistics plans.
    • Maintain records of all permits, licenses, registrations granted to WWF-Kenya by National or County Governments and other relevant regulatory agencies/authorities.
    • Ensure adherence to standards of health and safety, hygiene and security in all WWF-Kenya offices; including providing office keys to selected staff only in the Nairobi office.
    • Oversee the management, maintenance and usage of official telephone services.
    • Develop and implement recommendations to reduce costs and enhance service delivery in all the offices.
    • Manage the Nairobi office to ensure that the maintenance and repair of office equipment/furniture and building is effective and presents a professional image.
    • Ensure that the office is clean, the grounds and pool maintained
    • Manage service providers to ensure that annual service contracts are delivered as and when required (security, cleaning, gardening etc.)
    • Records management through ensuring that all logistics and administrative records are regularly filed, up-to-date, accessible to authorized persons only, and safe. This includes both hard copy and soft copy data in WWF-K systems.
    • Develops and maintains an archive policy based on contractual and legal requirements; ensure that the archiving system is properly used and that documents being regularly archived are easily accessible.
    • Support the development and implementation of WWF-Kenya’s Asset Management Plan for offices, buildings and other assets; ensuring that all WWF assets are properly safeguarded, insured and tracked.
    • Preparation of the yearly asset insurance listing ensuring the general, travel and asset insurance covers are procured on time;
    • Coordinate with field based teams and make sure all assets are recorded and tagged as per the organization’s Asset policy to ensure maximum return on investment ;
    • Ensure physical count and asset verification process of WWF-Kenya’s assets every 2 years;
    • Recommend disposal of Assets as per WWF-Kenya’s and Donor’s regulation coordinating with relevant Program and finance teams;
    • Coordinate the implementation of asset maintenance providing professional input to protect WWF-Kenya’s resources;
    • Assess and manage risks associated with assets and work to minimize losses on asset efficiency;
    • Maintains good working condition of office equipment; issuing work orders for repair/maintenance and raising requisitions for replacement;
    • Sets up and improves processes that facilitate everyday operations—from maintenance requests to meeting room reservations.
    • Any other duties assigned

    Experience:

    • Work experience in a reputable Organization in a similar role for at least 3 years.
    • Administration experience for delivering quality service with cost saving benefits.
    • Demonstrated experience in business evaluation and advice, risk management e.g. insurance.

    Qualifications:

    • Degree in Business Administration, Business Management, Commerce or Supply Chain Management.
    • Training and certification in Administrative and Facilities Management is an advantage
